Definition of Event

• Eventus: outcome, success, result• Robert Jani 1955 : “a special event is that which

is different from a normal day of living” • Getz 1997: “temporary occurrences, either

planned or unplanned” • a special event is a “one-time or infrequently

occurring event outside a normal program” (Getz, 1997, p. 4).

• Dr. Joe Goldblatt (2002): defined special events as a unique moment in time celebrated with ceremony and ritual to satisfy specific needs

Stakeholders

Stakeholders are people or organizations who have invested in an event.

1. External: media, municipal office, city agancies etc.

2. Internal: member of the board, the professional staff of the organization, a guest etc.

Purposes of Events

Goldblatt (2002; pp. 8–9) suggests that there are 4 purposes for special events:

• Celebration:Social life-cycle events, festivals, religious observances,

political events,weddings,anniversaries• Education:Commencements, alumni events, training, meetings,

conferences, edutaintment• Marketing:To create awareness and persuade prospects to

purchase goods and service• Reunion:

• Promote a product or service, create brand awareness, launch a product or activity, generate publicity,

Terms And Glossary• Association:

Any group of individuals who form an organization to bring ideas together for a non-profit cause or for their trade / industry. • Association Meeting:

An event hosted by an association with the purpose of gathering its members and affiliated sponsors.• Attendees: An individual, registered for or participating in any conference or event delegates, exhibitors, media, speakers, and quests. • Agenda:

A list of speakers, timings and presentations handed to conference delegates as part of the onsite registration.• AV:

Audiovisual Event production, equipment and materials used in sound and visual presentations. E.g. television monitors, projectors,  video, sound equipment, etc.• Auditorium:

Often raked seating similar to university lecture theatres. Many auditoriums are exceptional conference venues and provide excellent audio-visual facilities.

A meeting to discuss a common concern or issue with two or more people participating. • Exhibit

An organization's booth at a public show that is used for competition, demonstration or sale. • Exposition

Refers to a public trade show where many companies or organizations of the same type exhibit the latest products or services their company offers. • Trade Show

An exposition; an event at which goods and services in a specific industry are exhibited and demonstrated - Trade shows are primarily a business-to-business event, although some trade shows are open to consumers• Meeting

Formal or informal deliberative assembly of individulas called to debate certain issues and problems, an to take decisions. Formal meetings are held at definite time, place and duration.(Organizational metting, stakeholder,Operational meeting (sales meeting, employee)• Seminar

Formal presentation by one or more experts in which the attendees are encouraged to discuss the subject matter. • Congress- Convention

Metting convened for a specific purpose and for general attendance.

Identifying sign, tag or emblem worn by event participants. The conference people can produce name badges before the event and also onsite to the same high standard.• Break-Out Sessions:

Small group sessions, panels, workshops or presentations, offered concurrently within the event, formed to focus on specific subjects.• Complimentary:

Comp. Service, or item provided free of charge.• Conference Center:

A venue which provides a dedicated environment for events, especially small events.  • DB&B:

Dinner, Bed and Breakfast.

The person attending the meeting or event.• Destination Management Company (DMC):

A Destination Management Company serves as a third party planner that specializes in assisting corporations or associations with planning large events in a specified city. They are particularly helpful when planning tour programs that require specific knowledge of a given destination.• Event:

An arranged occasion, examples include meeting, convention, exhibition, conference, special event, gala dinner, etc.  All of which can be professionally organized by The Conference • Exhibition:

An event (can be free or a chargeable event) where suppliers can showcase their products and services.• Exhibitor:

1) Organization that showcases its products or services at an exhibition.  2) Event attendee whose responsibility is to staff their exhibition stand.

Terms And Glossary• Event Management:

The process of managing every aspect of an event including site selection ,sourcing and negotiation, budget management, online registration, event advertising, and post event follow up with a survey. Event management should strive to increase event attendance and decrease costs and therefore ensure a maximum return on event

• Food & Beverage (F & B): Any catering service provided by a venue during an event i.e. refreshment breaks, lunch, drinks reception.

• Green Events:  Broad guidelines for a greener event are that it should be organized electronically, minimize carbon emissions for traveling delegates.

Catering prepared according to Islamic Law including meat slaughtered in a particular manner and permissible food.• Incentive Travel:

A travel reward given by companies to employees to stimulate productivity.• Interpreter:

An individual who translates during a meeting, presentation or conference.• Meeting:

An event that is exclusively designed for attendees to participate in meetings and to socialize with other attendees at set activities throughout the event. Meetings do not include an exhibit element.• MICE - Meetings, Incentive, Conference/Congress, & Exhibition:

Updating a venue by redecoration to make it look more aesthetically pleasing or more substantial work to maintain and fix any substandard areas of a venue.• Registration Area:

Area set aside solely for event registration. • Return on Event (ROE):

The ratio of money gained or lost by investing in an event relative to the amount of money invested in the production of an event. Increase attendance, decrease costs and maximize your ROE• VAT:

Value Added Tax.  In any TCP proposal clients will always be informed as to what items include or exclude VAT.

a place to hold your meeting, exhibition, conference etc TCP can include hotels, conference center and unusual venues etc.  when you can TCP we will complete a comprehensive proposal with 24 hours (UK) or 48 hours (overseas). • Video Conference:

A meeting which takes place between delegates that are not located in the same area/town etc.  This can be organized in any venue with the aid of specific audio visual equipment.• VIP:

This can include a Managing Director / CEO of a company, who will get additional benefits i.e upgrade to suite for overnight Accommodation on a • Waitlist:

Term used when a specific date already has an interested party who are holding space provisionally, the new client will then be waitlisted (also known as 2nd option).
