EADI Standard

Standard based on the EAD-international standard. As part of the project, a committee was

established, which evaluated the standard in light of the unique needs of most of the

archives in Israel. The committee made adjustments and changes, and the result was the

EADI-Israel standard.

The standard is used for the transfer of archival information from the various archival

institutions to the Israel Archives Network. The standard is also recommended for use for

transferring archival information in Israel not in the framework of the Israel Archives

Network. .

EADI Usage notes

Guiding notes regarding EADI tags

Multi-language support The EADI standard supports multi-lingual occurrences of the same field.

The multi-lingual fields support a special repeatable tag - <language> - that allows you to

specify the input languages.

For example, you can provide the title of a record in several languages:

<unittitle><title><language @langcode="heb">כותרת בעברית</language><language

@langcode="eng">English title</language></title></unittitle>

You can still use the multi-lingual tags without specifying the input language:

<unittitle><title>כותרת בעברית</title></unittitle>

In this cases, the default language input expected is always Hebrew.

Restricting records and digital reproductions <accessrestrict> Preventing an item from displaying in the internet should is classified as followed:

Fully blocked

Only digital files are blocked

No block

This should be done by filling the attributes:

@digitalObjectsAccess = True / False

@metadataAccess = True / False

Fully blocked: @True; @True

Only digital files are blocked: @True; @False

No block: @False; @False or no use of the attributes at all.

Related material <relatedmaterial> This complex type contains:

<head>; description of the relation

<p>; - description of the relation

<unittitle>; the unit title (and possible date) of the related material (to be used if the unit-id

is non-existant)

<unitid>; - the unit id of the related item

<repositoryCode> - archive to which to the item related belongs (for internal links, specify

the same repository code. e.g. IL-NLI

Material Type specific fields <genreSpecificData> the genre-specific fields all will be placed here under:

- Maps <maps>

o All map imprint data goes to <c><bibliography><bibref><imprint>

o <mapType>

o <scale> (this tag type is also used by the "documentations" genre.

o <isMetricSystem>

o Position of the upper-left corner and the lower-right corner should be

resgistererd.

- Photographs <photographs>:

o When using the Studio field – consider using origination when you are

describing the creator or the accumulator of the described contents.

- Oral history <oralhistory>:

o When an oral history item has a video and/or audio recordings, one should

employ the fields of both type of material "oral history" and "video" and/or

"audio", while the specified type of material (in <genreForm>) remains "oral

history".

Dimensions <dimensions> - It is important to specify @type="height" or @type="width or @type="depth",

@type="duration" when using this tag, as well as @unit="minutes" or

@unit="centimeters" etc.

- The Formatted value (numeric only) should be specified in @formattedValue

attribute. As such, it will be displayed in the appropriate field along with @type and

@unit attribute values. Unformatted value (alphanumeric text such as: "10 cm X 15

cm") should be specified in the dimensions tag itself.

- In IAN project, failure to provide formatted value will result in putting the

unformatted value as text in the notes field, with a prefix "Extent:". The rest of the

attributes will be disregarded if @formattedValue is not specified.

EAD Header <eadheader> <filedesc> is a required sub element of eadheader in all EAD encoding standards

such as ApeEAD and LOC ead, but since the filesdesc entails that the EAD file is the

encoding of a physical finding aid, and most of the EAD file will be an export of a

group of records within a CMS of an archive, there will not be an imprint to encode

in the <filedesc> element. Therefore it is not defined as a required sub element of

<eadheader> like in ApeEAD and EAD LOC.

For a future mapping into one of the above mentioned standards, this should be

taken under consideration.

For those fields which are a part of a controlled vocabulary, it is required to use the SOURCE

and AUTHFILENUMBER attributes, to indicate the controlled vocabulary and the record Id

from which it is taken from. The SOURCE of a NLI thesaurus entry should be for example

@source=”NLI-SH” (National Library of Israel Subject Headings).

Archival Description <archdesc> The tag has an attribute @rootUnitId that enables you to deliver a partial catalog. If the

attribute is not specified, it is assumed that <archdesc> tag serves as the catalog root.

Alternatively, this attribute can be supplied with a reference code. In this case, it means that

the parent of the upper-most <c> element (the one that is under <archdesc><dsc>) will not

be considered as the root of the catalog, but as a specific record which is identified by the

reference code supplied in @rootUnitId.

Creating an EADI file When creating an EADI file one can specify the update date and the details of the revision as

represented in the EADI file. This should be stored in the

<EadHeader><RevisionDesc><Change> using <date> to specify the update date and <item>

to add free text describing the update.

Cataloging date should be placed within a "chronitem" element, when specifying event as

"Cataloging date". Example:

You should be aware that not specifying anything in <AccessRestrict> field will result in

displaying the data to the public on the internet.

Geographic coordinates in EADI must be specified in WGS-84 geographic coordinate system.
