    To ALL West Midlands Trainees in Obstetrics

    and Gynaecology. ( Copy to all College Tutors)

    How to sort out your e-portfolio in easy steps:

    Click on PROFILE1. Personal details Complete. Its self explanatory2. Supervisor details Complete and get their signature3. Agreements and guidelines eg. all the documents from Deanery and school4. Courses Load up all details and get confirmatory signatures and certificates5. Personal library. In this should be your recent CV, Audits, Posters,

    presentations, publications,patient letters, patient complaints, SUIs etc.6. Reflection All reflective practice and teaching sessions attended.

    Click on FORMS

    All appraisal forms, WBA and TO1 forms should be generated on line.

    TO1 are generated using the ticket system via email. Meet with college

    tutor/supervisor asap to agree who to send TO1 to. Responses should come back to

    College Tutor, who should load up TO2 to your e-portfolio and discuss atAnnual Review Meeting before ARCP deadline.

    1. Summary overview. Should be 2 x TO2 (November 2011 & May 2012),3 X Induction and Appraisal for 2011 -2012, at least 1 AARF. CBD x6,

    Minicex x 6. If you have done these on paper you will have to scanthem in.

    2. WBA All osats including basic ultrasound, (Ultrasound Mandatory forST5 ) If you have done these on paper you will have to scan them in.

    Click on CURRICULUM

    1. For ST6/7 go to core competences and get all modules signed off ascomplete at intermediate level.( should have been done at ST5)

    2. ST6/7 go through all modules and load up progress in each one towardsadvanced level and get it signed by supervisor on line. ST7 have to

    complete all modules to advanced level. ATSM progress must also be

    recorded. This can be added to Personal File if it is not included in theCurriculum.

    3. For ST5 and below go each module and load up each part from your paperlog book and get it signed by your supervisor on line. Load up all the

    information yourself and then book an appointment with your supervisor

    to sign the information you have transferred. They will have to sit withyou, log into e-portfolio as themselves, open up your e-portfolio and sign

    everything on line that is signed in your paper log book. For some of you

    this may take hours and you must warn your supervisors that they must to

    this. Once this is done, you should update the curriculum with yoursupervisor every 3 months. ST5 must have e-portfolio evidence of having

    completed all the modules/competences at intermediate level.4. EVERYTHING IS TO BE ON E-PORTFOLIO from now on. NO trainee

    who is using the Gold guide is exempt. That will include all trainees whoentered training after 1st August 2007 and any who have transferred from

    the Orange guide after that date.

    An awful lot of you have not engaged with the completion of e-portfolio evidence despite

    4 documents from the School. The first was in August/September 2011 and the other wasin February/March 2012 from the Head of School. I have sent out ARCP advice in March

    2011 and 2012, which makes it quite clear that the June 2012 ARCP process will be

    online only, and the trainee representative Dr Morse has also informed you of this. It is

    also on the Deanery website. The school feels that you have had sufficient warning about

    this and if you have not received the e-mails due to a change of e-mail address, thatomission will be deemed your fault, as you have an agreement with the Deanery to

    update them of any changes in your circumstances.

    I must warn you now that paper evidence will no longer be accepted for trainees ST1-7

    who are normally issued with ARCP outcomes annually. Only those of you who still haveRITAs (can only be a few in sub speciality training or in their last year) can continue with

    paper log-books and paper evidence.

    If the evidence presented on your e-portfolio shows insufficient progress OR there isinsufficient evidence to make an assessment when the panel reviews them week

    beginning the 11th June, YOU WILL BE ISSUED WITH AN ARCP2 OR ARCP3.

    Those of you who are in this situation will be called to attend the panel face to face on

    28th

    June. Once the outcome is issued you will have 10 days only to appeal in writing tothe Head of School, Mr Cartmill. No other process of appeal will be accepted.

    Similarly ALL trainees actually in post in the West Midlands Deanery must complete theJEST and GMC forms. Only trainees Out of Programme (OOP) physically outside the

    Deanery or on maternity/sick leave when the questionnaires are sent out are exempt.

    Failure to do so will result in an ARCP2. You have 5 days to appeal in writing to theSchool and explain why you did complete the questionnaires, once the outcome is issued.

    Now please sort yourselves out. I cannot believe that I have to write something like this

    to intelligent professionals. There is still 6 weeks.
