Whittier PTA, Seattle Council, 6.15.370 1 Whittier PTA General Membership Community Meeting March 15, 2017 Meeting Minutes Meeting was called to order at 7:00 p.m. Proper notice was given to all members, with quorum present. See sign-in sheet for list of attendees. 1. Welcome and introductions. Sascha Demerjian welcomed the group to the Community Meeting and gave an overview of topics to be covered during the meeting. See slide presentation. 2. Approval of Meeting Minutes. Tracy Yetter moved to approve the November 2016 meeting minutes. The motion was seconded and unanimously approved. 3. Upcoming Outreach Events & Fundraising. Tracy Yetter advised the membership of the Annual Book Drive for Bailey Gatzert. The goal is to collect 600 books before Spring Break. Ann Ilgen updated the membership on the Science Fair on March 23. Volunteers are still needed for the Science Fair, from set-up to break-down to everything in between. In addition, the PTA is looking for volunteers to take over organization of the Fall Carnival. There will be an organizational meeting April 6 at 7pm. Karen Gustafson announced an Auction organizational meeting on March 30 at The Barking Dog Alehouse. Karen also reminded the membership of the upcoming Spring Carnival, an adults only “fun”raiser coming in May. There is still a need for volunteers to organize classroom buckets and sign-up parties. See the sign-up genius in the Wildchat or on the website. Justin Fenton announced a Jog-A-Thon on Friday, June 2. This year the organizers have a modest goal of raising $15,000. More information will be forthcoming. 4. Special Project Updates. Amy Bryan gave an update on the special projects approved at the November 2016 general PTA meeting. The F&P reading assessment kids arrived in early February and are being used by classroom teachers. The final cost was $6,500, which was on budget. The Sound System was installed in February and is working well. The final cost was $4,830, which was $570 less than the budgeted amount. SPS is planning to re-seal the blacktop. Deloitte is considering Whittier for an “Impact Day” at which volunteers from Deloitte would come paint the lines on the blacktop, Snorkel, perform grounds work, etc. 5. Treasurer’s Report. Andy Liese gave the treasurer’s report. Financial reports are available on request from [email protected]. 6. PTA Budget Process. Tony Toppenberg and Sascha Demerjian gave an overview of the budget process. This year’s PTA Budget Committee was comprised of 9 people (8 board members and one parent-at-large member).

Meetingwascalledtoorderat7:00p.m.Propernoticewasgiventoallmembers,withquorumpresent.Seesign-insheetforlistofattendees.

1. Welcomeandintroductions.SaschaDemerjianwelcomedthegrouptotheCommunityMeetingandgaveanoverviewoftopicstobecoveredduringthemeeting.Seeslidepresentation.

2. ApprovalofMeetingMinutes.TracyYettermovedtoapprovetheNovember2016meetingminutes.Themotionwassecondedandunanimouslyapproved.

3. UpcomingOutreachEvents&Fundraising.

• TracyYetteradvisedthemembershipoftheAnnualBookDriveforBaileyGatzert.Thegoalistocollect600booksbeforeSpringBreak.

SaschaDemerjiangaveanoverviewoftheFamilySurveyResults.Thehighestprioritiesweremaintaining3full-timePCPspecialprograms,providingresourcestothewholechild(social,emotionalandacademic)andacommunitydesirehelp,advocate,stayinformedandbeinvolved.Shealsodiscussedtheconsiderationsthebudgetcommitteetookintoaccountwhenpreparingthisyear’srecommendationforthestaffinggrants(seeslides).

7.PrincipalsReport.MelissaSchweitzergaveanoverviewoftheschool’svaluesineducatingstudentsandhowthattranslatestotheschool’sandtheBLT’sapproachtothebudgetprocess(seeslides).Shealsogaveanoverviewofhowtheschool’sallocationfromtheDistrictforstaffingwoulddifferbetween2016-17and2017-18.TheDistrict’sexpectationisthattheschooloperatesunderthis“worstcasescenario”situation,andifthelevycliffisresolved,theremaybereallocationtoschools.WhetherthatisintheformofdollarsorFTEisunknown.InordertomaintaintheHeadTeacher,the.5PCP,the.1LiteracySpecialist,andthe.2Nurse,theSchoolisaskingthePTAtofund$177,987for2017-18.

Ms.SchweitzergaveadditionaldataonthenumberofstudentsservedbyboththeHeadTeacherandtheLiteracySpecialist.

Question:HowwillthisaffecttheAccessprogram?Ms.Schweitzerrespondedthattheteacherandinstructionalassistantratioissetandisnotaffectedbythebudgeting.

Question:IfthePTAGeneralMembershipdoesnotapproveanyportionoftheSchool’sask,doestheSchoolhaveaback-upplan.Theanswerisno.Ifaportionofthebudgetisnotapproved,thentheSchoolwillgowithoutthatstaffing.

8.BudgetCommitteeUpdate.TonyToppenberggaveanoverviewofchangesfornextyear’sbudget.Seebudgetcirculatedtothemembership.Thisbudgetisnotfinal.ItwillbefinalizedinMayforapprovalbytheGeneralMembership.Thebiggestchangeinthebudgetontheexpensesidefornextyearistheeliminationoffundingproposals.

Question:WhyisthereanincomeandexpenselineforNatureBridge?Thisitemwon’tbefinalizeduntiltheMaybudgetandisopenfordiscussion.TheintentionistodiscussfortheMaybudget.Ms.ChildersandMs.SchweitzerrequestedassistancefromthePTAformanagingaccountingandprocess.

Question:Whyisthereonly$5,000budgetedforincomefortheSpringFling?Theorganizersanticipatethattheeventwillbreakeven.Itisnotafundraiser.Follow-upquestion:Whatarethebucketsandthesign-uppartiespayingfor?IsthatmoneygoingtofundtheSpringFlingorisitgoingtothePTA?Ticketsshouldcovertheexpenses,andbuckets/sign-uppartieswillgotothePTA.
