General Catering Policies
Meeting Rooms There is a base charge for event space, the base room charge may be reduced with food & beverage purchase. If a change from the original setup is requested on the day of the function, a labor charge will be added to the banquet check. Any items put up in the meeting room or lobby walls, or any directional signs must be approved by the hotel. We reserve the right to move your function to an alternative room in order to accommodate the number of people involved.
Menu Final menu selections and setup requirements must be made at least (3) weeks prior to your function. In order for us to be prepared for the best possible service, we require a 72 hour (3 business days) guarantee of the number of people who will be in attendance for all food and beverage functions. The customer is responsible for providing the guaranteed count to the catering office. If a guarantee is not given 72 hours in advance, we will use the estimated number stated in the original contract as the guarantee. Due to license restrictions, remaining banquet food must remain with the hotel and is used at the discretion of Kitchen Management. All banquets will be charged 100% of the guaranteed number, or the actual number served, whichever is greater.
Tax and Service Charge Food and beverage selections are subject to an 18% service charge and applicable tax. Service charges will be distributed accordingly at the discretions of management. Hotel rooms are subject to a 12% sales tax.
Outside Food and Alcohol No food or beverage items are permitted to be brought into the Conference Center. The only exception would be special “theme” baked goods, such as wedding cakes. Please contact our catering department for prior approval.
Payment & Cancellation A non-refundable deposit and credit card guarantee is required at the time of booking. All event charges must be paid 72 hours (or 3 business days) prior to the function and a credit card must be on file for additional charges incurred the day of your event. Hotel will hold space for the exclusive use of your group. If a portion (or the entire) event cancels, the Hotel will collect, as liquidated damages, fees according to the following schedule of total estimated revenue:
0 – 14 days @ 100% 15 – 21 days @ 50% 22 – 30 days @ 30%
Hotel Reservations Group hotel reservations will be held until three weeks prior to arrival. Room blocks must be guaranteed by credit card Hotel cannot guarantee room locations. Group rooms are placed by room type and are not necessarily in the same area of the hotel.

Wedding Procedures
Timing We recommend planning your ceremony so dinner coincides with your dance time (allow an hour and a half between serving time and dance).
Reception Hosts Many of your guests may have never visited the Clarion Inn Mason City. To ease the flow of your guests, we suggest you designate hosts to deliver your guest book (from the church), guide attendees to the social hour, and help welcome them into the Ballroom for dinner. Additionally, hosts (or another designee) should assist as “gift runners” (to accept gifts as they arrive and secure them before dinner). All decorations and accessories must be removed from the ballroom after the dance (these items cannot be left until morning).
Seating A head table to accommodate your wedding party may be elevated on risers or on floor level (or both). Reserved round tables will be positioned immediately in front of the head table (for parents and close family), Round tables seat 8 people per table.
Service Clarion Inn provides free of charge linen service (white tablecloths & white napkins). For any such items as flowers, toasting goblets, cake knife, guest books, gifts, or cake pieces, please have designated people responsible to remove these articles that day.
Cake Please have your cake designer contact us at least 48 hours prior to arrival so that we may set up delivery instructions.
Decorating Due to high demand of our space, we cannot guarantee availability for decorating prior to your booked time. If extensive decorating is needed, an extra days’ room rental may be required. You are responsible for your own decorating. Glitter and confetti are not permitted. Clarion Inn is not responsible for items left after the day of the function.
Wedding Dance It is your responsibility to hire the wedding band or DJ of your choice. Please plan your dance time to end no later than midnight. Additional equipment and setup needs for entertainers are their sole responsibility.
Financial Arrangements A deposit of $500 as well as a credit card on file in the sales office is required to hold your date. Deposit is nonrefundable pending rebooking of all space. Payment in full is due 72 hours (3 business days) prior to the event.
