EXECUTIVESUMMARY

As part of the projectmanagement activitieswe have set up awalled-garden environment available toproject partners, which allows them to safely and easily communicate, share information and storedocuments,usingthefollowingtools:

● Bitrix24: a collaboration platform that provides a complete suite of social collaboration,communication and management tools, including CRM, files sharing, project management,calendars,andmore.

● GoToMeeting:thisisthewebconferencingsolution,whichisusedforstatusmeetings,WPmeetings,etc.

● GoogleDrive: cloudbased file storage and synchronization service,which allows safe storageofdeliverables,projectdocumentation,meetingreports,etc.

● GitHub:arepositoryfordistributedversioncontrol,sourcecodemanagement(SCM)andwiki.● Mailinglists:whichallowinformationsharingwithinspecificmembersgroups.

Thisdocumentdescribes thedifferent tools inuseasabasis for sharingandcommunicating informationduringtheprojectprocess.

1. INTRODUCTIONAs part of the project management all project partners need tools and an environment in order tocommunicate and share information with each other in a convenient way, as these partners aregeographically spread out. Therefore ENG has setup an environment, which allows for directcommunicationusingacollaborationplatform,webconferencefacilities,documentsharing,distributedversioncontrolandsourcecodemanagementrepositoryande-mail.

Inthisdocumentwewilldescribethetoolsusedandtheirpurpose.

2. COLLABORATION,COMMUNICATIONANDFILESHARING

Aprojectteamreliesheavilyoncollaboration,communicationandsharingofinformation.Wedistinguishthefollowingactivities:

• Collaboration:consortiumactivitiesarecollaborativebydefinition.That’swhyweadoptasuiteofsoftwareinstrumentstofostercollaborationinprojectactivities.

o Bitrix24,asuiteofsocialcollaboration,communicationandmanagementtools,includingCRM, filessharing,projectmanagement,calendars,andmore, thatwillhelp tosupporttaskmanagementoftheprojectactivities.

o Trello, a web-based project management application that we’ll use to support agilemethodologyinsoftwaredevelopment.

o GitHub, a web based hosting service for distributed version control and source codemanagement(SCM).

• Communication: communication is key during any project, especially when teams aregeographicallydistributed.Thereforewe’lladopt2typesofcommunication.

o Webconferencing:asteamsaregeographicallyspreadout,livecommunicationshouldbeenabled using video and audio conferencing facilities. Therefore we opted forGoToMeeting,whichgiveseasyaccesstowebconferencingfacilities.

o Mail:e-mailisusedasamoreformalwaywheninformationneedstobesharedwithintheconsortium.WehavesetupaConsortiumGoogleGroups,whichmakesiteasiertoaddressallconsortiummembers.

• Filesharing:nexttocommunicationtherearealsoa lotofdocumentsandotherfiletypesthatneedtobeshared,soteammemberscancollaborateonthesedocumentsandhaveacentralpointwheretheycanaccessalldocumentsrequired.

o AscentralfilestoragewehavechosenGoogleDrive,whichoffersreal-timecollaborativeeditingfeatures.

o Papers,articlesandtoolsstrictlyrelatedtothetechnicalaspectofR&DactivitieswillbeinformallysharedontheFANDANGOProjectGitHubWiki.

2.1 COLLABORATIONANDPROJECTMANAGEMENT–BITRIX24Bitrix241 is a suite of social collaboration, communication andmanagement tools, including CRM, filessharing,projectmanagement,calendars,andmore,thatweadoptasprojectmanagementtooltocontrolplanandrunFandangoproject.

Bitrix24helpstodefinethegoalsandobjectivesofFandangoanddetermineswhenthevariousWPs/Tasksaretobecompletedandbywhom.ThroughBitrix24, infact, theWPsandTasks leaderscanconstantlymonitortheresourcesandtheactivities.

Monitoring the time spent on activities can prevent deviations from the work plan and the relatedcorrectiveactionstoundertaken.

2.2 COLLABORATIONANDSOFTWAREDEVELOPMENTMANAGEMENT–TRELLOTrello2 is anwebbased application/tool, designed for group collaboration andprojectmanagement. Itorganizesmultipleprojectsintoboardsandatthesametimeyoucanseewhat'sbeingworkedon,who'sworkingonwhat,wheresomethingisinprocess.

InTrello,boardsrepresentprojectsandtheycontainlistsinotherwordstasklists.Eachlistcontainscards,whichcorrespondtotasks.Notonlyuserscanbeassignedtocardsbutalsousersalongwithboardscanbegroupedintoorganizations.

We’lluseTrellousetosupportagilesoftwaredevelopmentprocess.

2.3 COLLABORATIONANDSOFTWAREDEVELOPMENTMANAGEMENT–GITHUBGitHubisaweb-basedhostingservicefordistributedversioncontrolandsourcecodemanagement(SCM).ItoffersallfunctionalityofGitplusitsownfeatures.Itprovidesaccesscontrolandseveralcollaborationfeaturessuchasbugtracking,featurerequests,taskmanagement,andwikisforeveryproject.

ProjectsonGitHubcanbeaccessedandmanipulatedusingthestandardGitcommand-lineinterfaceandallofthestandardGitcommandsworkwithit.GitHubalsoallowsregisteredandnon-registereduserstobrowsepublicrepositoriesonthesite.

Registeredusers are able todiscuss,manage repositories, submit contributions toothers' repositories,andreviewchangestocode.

We’ll use GitHub as a software repository with distributed version control and source codemanagement(SCM)features.

2.4 WEBCONFERENCING–GOTOMEETINGGoToMeeting3isaweb-hostedservice.It isanonlinemeeting,desktopsharing,andvideoconferencingsoftwarethatenablestheusertomeetwithothercomputerusers,customers,clientsorcolleaguesviatheInternetinrealtime.

GoToMeetingwaschosenbecauseit’sacost-efficientwaytosetupvideoandaudioconferencingandissupportedonawiderangeofdevices.

2.5 MAILINGLISTUsually e-mail is being used to set meeting appointments, share Doodle requests and more formalcommunication.

Toeasilyshareinformationviae-mailwehavecreatedaGoogleGroup4inordertocommunicatewithallconsortiummembers.

2.6 DOCUMENTANDFILESHARING-GOOGLEDRIVEGoogleDrive5isafilestorageandsynchronizationservicedevelopedbyGoogle.iTallowsuserstostorefilesontheirservers,synchronizefilesacrossdevices,andsharefiles.Inadditiontoawebsite,GoogleDriveoffersappswithofflinecapabilitiesforWindowsandmacOScomputers,andAndroidandiOSsmartphonesand tablets. Google Drive encompasses Google Docs, Sheets and Slides, an office suite that permitscollaborativeeditingofdocuments,spreadsheets,presentations,drawings,forms,andmore.FilescreatedandeditedthroughtheofficesuitearesavedinGoogleDrive.Accesstofilescanbegivenorrevokedbytheteammemberswhenevernecessary,butitalsoallowseasycollaborationthankstothecommentingfeaturesandgroupeditingofdocuments.

WehavecreatedafolderstructureonGoogleDrivesoWPrelatedandgeneralrelateddocuments/filesareeasily accessible.Next to this,meeting reports, templates,manuals for the tools discussed, logo’s andadministrativedocumentsarealsosharedonthisplatform.

2.7 WIKI–GITHUBEveryGitHubrepositorycomesequippedwithasectionforhostingdocumentation,calledawiki.

Wikisarecollaborativebydesign.Bydefault,onlycollaboratorsonyourrepositorycanmakechangestowikis,butyoucanconfigurethistobeenabledforallusersonpublicrepositories.

We’llusetheFandangoProjectGitHubWikitointernallysharesPapers,articlesandtoolsstrictlyrelatedtothetechnicalaspectofR&Dactivities.

3. CONCLUSIONCurrentlythegivensetupoffersenoughpossibilitiestoworktogetherandshareinformationinareliablewaywithintheFandangoproject.Wehavesetupsomeguidelinesonhowtoworkwiththissetoftools(useofchatroomsforin-depthdiscussionsvs.e-mailforcleararrangementsandappointments).Duringthetimelineoftheprojectthesemayevolveandfurtherrefineddependingontheneedsandthewaythetoolsareused.
