DUTIES AND RESPONSIBILITIESOF DEPUTYGOVERNOR

A Deputy Governor is the Leader of his Region. He performs the duties under the directions of the International Governing Board and District Governor.

AT INTERNATIONAL LEVEL

1.Should act as a liaison officer to motivate the clubs to strengthenthe purpose and objectives of Vasavi Clubs International.

2. Should work closely with all the International Governing BoardMembers, Governor, District Cabinet Officers and Club Officers.

3. Should attend all scheduled meetings of VCI and District regularly.

4. Should attend DGTS, VALT and all other Training programmesconducted by VCI

5. Should accompany the International Leaders at the time of Dawn to Dusk Programme and design the programme.

6. Should invite any International Officer for any programme onlyonce in his tenure.

7. Should not Organise/attend any other Programme or Project onthe day of International Governing Board Meeting or District CabinetMeeting or Micro Cabinet Meeting

8. Should visit all the Clubs in his Region before the end of Marchand report to the International Secretariat and Governor within 10days in Format No. 3002.

9. Should send his Monthly reports to International Secretariat and Governor every month in Format No. 3001 on or before 15th of succeeding month.

AT DISTRICT LEVEL

10. Should accompany the Governor during his Official visit and Inauguration of New Clubs.

11. To contact the Governor atleast once in a week to discuss and review the status of the clubs in his/her Region.

AT REGION LEVEL

12. He must organise OBTS in his Region Clubs before the end of February.

13. He must preside OBTS, Region Meets & Regional Conference. Issue of official call for Regional Conference before 40 days.

AT CLUB LEVEL

14. Should Educate the clubs about the Contest Rules,Programme of the Year and Calender of Events and Theme of the year.

15. Should guide the New Clubs and sponsoring clubs at the time ofInauguration about the Procedure and Protocols to be adopted.

16. Deputy Governor should see that all Model papers are supplied toall the New Clubs before Inauguration and a set of papers toSponsor Club in time as follows:

A. Model Membership Application FormB. Model Invitation for Inaugural FunctionC. Model Stage Banner for New Club InaugurationD. Model LetterheadE. Model AgendaF. Seating Arrangements on the DaisG. Hospitality Details

17. Should see that proper Orientation is conducted before theInauguration of New Club as per New Club Extension Norms andsend the Formats to International Secretariat.

18. Should motivate the clubs to pay their Annual Subscription beforethe deadline given in Contest rules.

CONFERENCES

19. Should attend District Conference (DISCON) & International Convention (ICON)

20. Should organise Regional Conference either in the month of Julyor August and recognise clubs with Awards for their outstanding achievements

21. Should submit a report on Regional Conference along with theDetails of Attendance of Club Presidents & Zone Chairmen, detailsof Clubwise Registrations and Awards in detail to InternationalSecretariat and Governor within 20 days

COMMUNICATIONS

22. All the Formats should be sent to International Secretariat only &not to the Residences of International Officers in case ofInternational copy.

MEETINGS

23. The Deputy Governor should hold the Region Meets with ZoneChairperson, Region Secretary, Presidents, General Secretariesand Treasurers of clubs in his/her Region in the months of March& June.

24. Should send the Format No. 3003 to International Secretariat andGovernor within 10 days of the Region Meet

25. Must follow the Norms given by International Governing Board(IGB) at the time of visit to clubs i.e. Dy. Governor's official visit

AWARDS

26. Should present International Recognised Awards only

27. Awards to be declared to only those clubs which have organisedDeputy Governor's visits, Zone Chairpersons visit, Dawn to Dusk,Paid their club dues and registrations made at RegionalConference.

28. Should implement point No. 4,5,6,7,8,9,11,12,17 without fail. Ifhe/she fails to do so, he/she shall not be eligible for anyInternational and District Awards.
