Our Marina-set reception rooms feature picturesque views overlooking the ocean and skyline to
create the ideal ambiance.

Below are a few reminders to ensure your special day is executed with the DoubleTree by
Hilton Hotel San Pedro brand quality you deserve
In order to secure space on a definite basis for an event, a deposit and signed contract will be required.
In the event of cancellation, all deposits are non refundable and a cancellation fee would apply.
Prices do not include a 21% service charge or applicable state sales tax.
A $500.00 Set-up and Clean-up Fee will apply to all Banquet Rooms.
A $125.00 Bartender Fee is required Per Bar.
Final guest counts and final payments are due 10 days prior to your event. Final payment is due in the
form of a credit card or cashiers check. A personal check cannot be given as final payment.
No outside food or beverage is allowed unless approved by management.
Vendor access/set-up is one hour and thirty minutes prior to your reception start time.
Day event times are 11am-3pm with your pre-reception beginning at 11am and reception beginning at
12pm.
Evening event times are 5pm-12am with your pre-reception beginning at 5pm and reception beginning at
6pm.
Day Ceremony times may begin as early as 11:00am, Evening ceremony times may begin as early as
4:30pm.
All entertainment for evening events must cease by midnight.
No glitter or confetti may be used on the tables or for decorating purposes.
The use of nails, tacks or tape on the walls is not permitted.
Food or beverage items may not leave the banquet room with the exception of your wedding cake.
Friday and Sunday Wedding Dinner Packages are reduced by $10.00 per Person
You may choose a maximum of 2 Entrees for a guest count of 50-100. You may choose a maximum of 3
Entrees for a guest count of 100 and above. Please note, there will be an additional charge of $5 per person.
Client must submit split count 7 days prior and client must provide individual color coded meal card for
each guest based on their entrée choice.

May I reserve a block of rooms?
Yes, through E-events, please ask your Catering Manager for Instructions.
What time is check-In?
Check-in time is at 3:00 PM. Early check-in may be requested but is not guaranteed.
May I utilize candles as my centerpiece?
With a Fire Permit that must be turned into the Catering Office one week prior to your wedding. Please contact Los Angeles
Fire Department (San Pedro) at (310) 732-4580 or Los Angeles Fire Department (Los Angeles) at (213) 978-4640.
May we leave our decorations in the reception room and remove the following day?
Unfortunately, all client decorations must be removed at close of event.
May I put a hold on a specific date?
No, unfortunately due to the high volume of wedding business we are unable to place a hold without a signed contract and
deposit received, however we are able to place a 5 day courtesy hold, see Catering Manager for explanation.
May I see the site?
Yes. Please call your Catering Sales Manager to set an appointment to see which banquet room would best accommodate
your needs.
May we rent chair covers from the hotel?
Yes. Your Catering Sales Manager is able to show you samples of what we offer.
Are you there on the day of my event?
There will be a Catering Sales Manager appointed to your event should it fall on a Saturday. The Catering Sales Manager
will greet your guests upon arrival and coordinate your Grand Entrance with your DJ. After the Grand Entrance is
completed, your party will be overseen by our Banquet Manager, as well as your designated Banquet Captain. Should your
event fall on a Sunday, the Banquet Manager, as well as Banquet Captain, will take care of your event. You will have the
opportunity to meet the staff prior to your wedding day
May I have my Rehearsal Dinner there?
Absolutely, please look at our special rehearsal dinner menu included in your Wedding Package.
Are you my coordinator for the day?
No, however we do have preferred wedding coordinators that we highly recommend, especially for the day of your event.
Frequently Asked Questions:
Do you provide centerpieces?
No, the arrangements you choose for the tables would be up to your florist or decorator. Please note that under no
circumstances may glitter or confetti be used.
Do I have to use your vendors?
No, you may use your own vendors. However, our preferred vendors are very familiar with our property and set-up
requirements.
What about Kids?
We do have a children’s meal priced at $20 per child (12 years & under). You would choose one entrée for all of the children.
What about vegetarians or vegans?
We offer a variety of options.
May we bring in our own wine?
Yes you may, however a corkage fee of $20.00 per bottle would apply
May we provide our own linens?
Yes, however, linens must be delivered three days prior to your event. Chair covers must be removed at the end of your event
(3:00 PM for lunch functions or 12:00 AM for dinner functions). Failure to comply with either delivery of linens or prompt
removal of chair covers will result in a $500 labor fee.
May we have a wine server for our event?
You may request a wine server at a fee of $125 each. One per 100 guests would be required.
May we bring in our own hors d’ oeuvres?
No outside food is allowed in any of our Banquet Rooms.

What is your role as my Catering Sales Manager?
To ensure all questions are answered during your planning process as well as putting together a detailed
time line of what your specific expectations are for your special day so that all of your needs are taken care of.
CANDLE PERMITS
FPB REQUIREMENT No. 19 USE OF OPEN FLAME, CANDLES AND HOLDING DEVICES
The request for Special Permit must be made in person, with the actual candles and device present to the Los Angeles Fire Department. All candles must meet the following requirements:
A written Fire Permit must be obtained before any open flame is used.
All candles shall be secured in a nonflammable solid holding device and protected by an enclosure.
The flame tip from the candle must be maintained a minimum of 2 inches below the top opening of the enclosure at all times. See diagram below.
The use of multiple loose candles is not permitted. If more than one is used, the devices shall be placed and secured on a common base. The maximum is 4.
The candle device must resist tipping when subjected to a tilt of 45 . The base should be at least one-half the height of the candle holding device.
The above list is a few of the most common conditions for use of open flame. For more specific
information, please call one of the Fire Prevention offices below.
