Introduction Color Access Policy Manager or CAPM, provides the ability to monitor and control color usage on color printers—it defines who can print and what can be printed. CAPM establishes printer resident rules which are compared against incoming jobs to determine if the document will be printed in color, mono, or not printed at all. The determination can be based on:

• User Login Name • Application • Document Name • Web Site URL • Host Name (Computer Name)

Currently, CAPM is supported by a limited selection of OKI printers:

• C9650 • C710 • C6150 • C6050 • C5650 • C3600

This exercise assumes the driver for one of the supported printers is installed and access to that printer is available from your workstation. Customer Benefits • Addresses concerns raised by businesses that are interested in adopting color printing, but are hesi-

tant to provide open access to color printers. • Business can replace mono printers with color while giving them the ability to set boundaries for

color usage. • Allows documents that were previously printed in mono, to continue being printed in mono. • Color can be turned on as needed.

Getting started with CAPM Before beginning this exercise you must download and install the CAPM software on a system running one of the following OS: • Microsoft Windows 2000 • Microsoft XP • Microsoft Windows Server 2003 • Microsoft Vista • Microsoft Windows Server 2008 It is important to understand that once a printer contains a policy, all incoming print jobs are subjected to the policy regardless of the OS from which the job originates, e.g., Windows, MAC, Linux.

Add a Printer

1. In the Printer pull-down menu, click Add Printer.

2. In the Add Printer dialog, select Net-

work (TCP/IP) then click Search. CAPM searches for printers connected on the TCP/P network. Only printers that support CAPM are discovered and appear in the list. Select the printer for which you will be creating a policy. Then type the name of a new group in the Create New Group. Click Add Printer.

3. Click Yes on the following dialog. 4. Enter the administrator password. The

default is: aaaaaa Click OK on this and the subsequent Dialog. Click Close. 5. The printer you add will appear in the

list and the group you added will ap-pear in the Group drop down list.

1. In the Policy pull-down menu, click New Policy.

2. The Policy dialog box has four tabs:

• User Name—Up to 60 char-acters, for individual users identified by Login Name.

• Application—For printing from specific applications.

• Document—For printing a particular document.

• Host Name—For individual computers, identified by Host Name.

For the purposes of this exercise, click the Application tab.

Create and Enable a Policy A Policy is used to set up and monitor/maintain profiles for individual users—or for individual com-puters—who will be sending jobs to the printer. It can also be used to restrict printing for a particular ap-plication or document.

3. In the Enter Application Name field, type the application names in the field at right and click Add after each one. Notice that each application has been added to the Pol-icy for Application list which includes OtherAppli-cations by default and each application can print in color by default.

4. Select OtherApplications

then click the Mono Only radio button under Access Level and click Change. Do the same for Internet Ex-plorer. Click Apply.

1. Create a color document in Microsoft

Word and print it using the driver for the printer to which you applied the policy. Print a color page from Internet Explorer using the same printer. The results should be similar to the images at right.
