Candidate email invitation – important information

To ensure your candidate has a smooth experience we recommend including the following important information in the candidate email invitation:

Microsoft Internet Explorer 7.0 or later, or Firefox version 3.0 or later must be used to complete your online testing. If you attempt to complete the testing on any other browser (including Safari, Google Chrome or older versions of Microsoft Internet Explorer or Firefox), you may experience technical difficulties. To check which version you are using, click the Help button on your Internet Explorer menu bar and select About Internet Explorer.

Note: The system will recognise if the candidate is using an unsupported browser and the following warning message will display:

This version of the browser is not supported. Continuing may results in unexpected performance or incorrect results. We recommend that you verify the systems requirements and install a supported browser or utilize an alternate machine.

Candidate experience using the Custom URL

If you are sending the custom URL in an email to the candidate and you created a password, be sure to include this in the email invitation or ensure it is communicated to the person administering the assessment to the candidate/s.

When the URL is clicked and the assessment launches, the candidate will be taken to the login screen below. If a password has been assigned to the URL, they will need to enter this in a prior screen that will display.

Custom URLs – Candidate Experience

Important Information

Once the candidate has entered their details an email will be sent to them explaining the procedures if the session is disrupted or not completed (due to technical difficulties etc…). For more information on re-entering the assessment please refer to page 35.

Next the candidates will be asked to input their account information:

First Name Last Name Email Address Login ID and Password

Page 35: Clinical Assessments | Pearson Clinical Australia & New ......implementing scientific assessments to enhance your talent decisions. In addition, we offer a wide range of training options

User Guide to TAP – Standard Subscription 35

Note: The candidate needs to create their own login ID and password if they have not been instructed otherwise and we recommend including this instruction in your email. It is important that the candidate records their Login ID and Password in the event they are unable to complete the assessment in one sitting.

If the candidate does NOT complete the assessment then the inventory can be expired and this will return the assessment to your inventory. For more information on Expired Tests please refer to page 52. If a candidate needs to log back into an incomplete assessment, they will need to login manually using the client URL and their unique login ID and password they created after they first logged in. This will then take them back to the last answered question in the assessment.

Custom URLs – Candidate Login (no password)

Once the candidate has completed their account details, the assessment will launch.

Custom URLs – Personal Information

Re-entering a previously launched assessment

IMPORTANT

*****If the Candidate is not able to complete the assessment once it is launched, please ensure it is communicated to them they should NOT click on the Custom URL again.

User Guide to TAP – Standard Subscription 36

They should have received an email after entering details login and password.

Custom URLs – Candidate Email

The link in this email will direct them to YOUR account login page URL (NOT the Custom URL you created).

The candidate will need to enter their Login ID and Password (Created as the first step when they accessed the custom URL). This will take them back to the assessment.

Custom URLs – Candidate Email

Searching for candidates assigned a custom URL

Refer to Manage Users > Settings > Users on page 62.

Upload candidates

It is not always practical to input candidate’s one-at-a-time, so there is an option to upload candidates in bulk. A group can also be created at the time of the upload. Creating a group allows you to assign an assessment to all candidates in the group at one time, eliminating the need to select each candidate one by one for assignment.

Click on the Assign tab and then select the Upload Candidates feature.

On the main screen you will see a Requirements and a Download Sample File to assist you in formatting the data correctly before uploading.

Page 37: Clinical Assessments | Pearson Clinical Australia & New ......implementing scientific assessments to enhance your talent decisions. In addition, we offer a wide range of training options

User Guide to TAP – Standard Subscription 37

Upload Candidates - Requirements

Note: only .csv files can be uploaded so be sure to save your data as a ‘.csv’ file. It is recommended that you save the file as an .xls spreadsheet before saving as a .csv file. If you make any further changes to the file repeat this process i.e. save as an .xls spreadsheet and then save as .csv file. A .csv file simply removes all hyperlinks.

Tip: Ensure the cells have been formatted as ‘general’ and Arial font is selected.

Upload Candidates – Sample File

Important: If you do not have any data in the optional field columns do not delete any of these columns. Leave the cells blank and keep the column headings for:

Alternate ID

Postal Code

Password

Uploading More than 17 Candidates: When uploading a CSV file spreadsheet of

candidates using the Upload Candidates feature (under Assign), if there are more than

15 candidates listed in the spreadsheet, it may give an error, starting at line 17. The

error appears similar to the following:

Error: Line 17 - Incorrect number of fields (Try inserting data into required fields or a

blank space in non-required fields)

To fix this add spaces into blank fields for rows 17 and above of the file and then re-save

the CSV file. Once this is done, re-import the file and all of the candidates will be

successfully imported.

Once a file is selected and uploaded, any errors found during the import process will be displayed.

Upload Candidate/s - Errors

Common record errors include:

Login ID is not unique

Email not properly formatted

Missing data

Use your mouse to hover over the icon in the Status column to view information on errors that need correcting.

Upload Candidate/s - Errors

Any errors must be corrected on the original spreadsheet and then re imported again.
