GREYSTONE ESTATE

GENERAL INFORMATION:

Greystone Estate provides an exclusive, unique setting for your event. Built in 1927, with many areas recently renovated, Greystone Estate is registered as a National Historic landmark. Special event applicants, or wedding parties (either person) who reside in the City of Beverly Hills, and possess proof of residency, may secure their event date up to 12 months in advance. Non residents may secure dates up to 10 months in advance. Wedding Ceremony Only Reserve Time: Resident 9 months in advance; Non-Resident 6 months in advance.

Parties who wish to apply for a permit for wedding photography (without a ceremony or reception), may secure dates up to two weeks in advance - limited to 2 hours max. (One hour increments, within Estate hours). All events are held outdoors. Ceremonies and photography take place during park hours. Receptions and cultural/special events may begin set-up as early as 8am and may end as late 8pm, with strike ending as late as 10pm. Event locations may be viewed without an appointment during Park hours. Greystone Estate’s hours are 10am to 5pm October through March, and 10am to 6pm April through September. Events are coordinated from the Greystone Estate Gatehouse. Appointments for permits are accommodated during regular business hours by contacting the office at 310-285-6830. DIRECTIONS: From the west, (West Los Angeles, the west side of the San Fernando Valley, or from Orange County): Traveling by freeway, take the

405 Freeway to the Sunset Boulevard exit. Stay on Sunset eastbound through Beverly Hills, past Beverly Drive and the Beverly Hills Hotel, until you get to Foothill Road. Turn left onto Foothill Road, heading north. Foothill curves to the right and becomes Doheny Road. Stay on Doheny Road until the corner of Doheny Road and Loma Vista Drive. The OFFICE ENTRY is at the northwest corner of this intersection at 501 Doheny Road. The ESTATE ENTRY is the winding driveway at 905 Loma Vista Drive. Take a left onto Loma Vista, and an immediate left into the driveway/estate entry. From the east (including East L.A., downtown L.A., or South L.A.): Take the westbound 10 Freeway from the 110 Freeway. Get off on

La Cienega Boulevard, heading north. Take La Cienega to Sunset Boulevard. Take a left onto Sunset, heading west. Get into the right lane of Sunset. Pass Doheny Drive, and veer to the right when you see Doheny Road. Stay on Doheny Road for four stop signs, and you will be at the corner of Doheny Road and Loma Vista Drive. The OFFICE ENTRY is at the northwest corner of this intersection at 501 Doheny Road. The ESTATE ENTRY is the winding driveway at 905 Loma Vista Drive. Take a right on to Loma Vista, and an immediate left into the driveway/estate entry. EVENT, CEREMONY, AND RECEPTION SITES:

FORMAL GARDEN

For the picture perfect wedding site, this classic European garden with a manicured lawn, surrounded by white roses and boxed hedges cannot be surpassed. CYPRESS WALK / FORECOURT

This multilevel venue features the famous Greystone Cypress Walk. Cypress Walk is highlighted by a graceful seated fountain on the east side and eight gargoyle fountains on the north wall. The south side of the garden overlooks the majestic mansion. With the adjoining Forecourt this area can accommodate up to 150 for cocktails.

The Pool Area provides a private garden ambiance. The historic pool house and original arched trellises highlight this area. Though the pool no longer exists, the original limestone coping of the pool was left in place and the pool artfully bricked in. This location has separate changing rooms for the wedding parties and private restrooms for their guests. The Pool Area can accommodate up to 150 guests seated reception style. For that intimate occasion, the Greystone Terrace and Reflection Pond is a perfect setting. Overlooking the cedar lined drive and expansive lawn of the estate and affording sweeping views of the city, this area is sure to impress your guests. The Terrace can comfortably accommodate 60 guests seated reception style or up to 100 for standing cocktails.

The famous entry to the mansion’s first floor boasts a regal oak staircase, and as the eye sweeps across the checkered marble floor of the light and air-filled Card Room toward the Mansion Terrace, a trio of arching leaded glass doors greets the guest, offering views of the lower grounds, the forested neighborhood, and the city beyond. All of the following rules are strictly enforced. Any unauthorized deviance will require cancellation and reprocessing of the permit. The site is registered as a National Historic site and contains irreplaceable craftsmanship and materials, so all specified protective measures must be taken by permit applicant.

1. The permit application must be submitted with a non-refundable deposit. “Wedding Ceremony Only” requires payment in full upon

submission of application. 2. Beverly Hills residents may reserve the estate up to 12 months in advance. Non Residents may reserve up to 10 months in

advance. Once the permit application is approved, it is non-transferable. The applicant must carry the permit and show it to any staff

person who requests to see it during the time that it is in effect. (a) Wedding Ceremony Only Reserve Time: Resident 9 months in advance – Non-Resident 6 months in advance.

Minimum Event Time: 2 hrs prep, 2 hrs strike, 1 hr event. (b) Photography permits are by appointment only and may be secured 2 weeks in advance for Greystone Estate. The applicant

must carry the permit and show it to any staff person who requests to see it during the time that it is in effect. The estate opens at 10am and closes at 5pm or 6pm (Daylight Savings Time).

(c) MAXIMUM TIME LIMIT OF 2 HOURS (one hour increments, within estate hours) for Wedding Photography and 10 Guest Ceremonies.

(d) City reserves the right to remove party from grounds if party is engaged in photos prior to or after specified time of permit. (e) No photography is allowed during the strike of any event without prior written approval from City staff.

3. A non-refundable deposit of $1,000 is required to hold the date for Wedding Receptions and Special Events. All cancellations and / or change of dates will be subject to forfeiture of the $1,000.

4. INSURANCE, BUSINESS LICENSE, VENDOR CONTACTS (as applicable), AND FINAL PAYMENT ARE DUE FOUR (4) WEEKS PRIOR TO EVENT; ITINERARY IS DUE TWO (2) WEEKS PRIOR TO EVENT.

5. The City of Beverly Hills must be named the certificate holder on the general liability certificate of insurance. The general liability insurance shall contain an endorsement naming the "City of Beverly Hills" as an additional insured.

6. No events are allowed to be open to the public without the approval of the director of Beverly Hills Community Services Department. These events will require shuttle and valet services.

7. Appointments for walk through ARE REQUIRED with the caterer, rental company, event coordinator, and other pertinent vendors and may be scheduled 6 weeks prior to an event.

8. Permit entitles party the use of estate for only the specified time and area indicated on permit. 9. Supervisors and Park Rangers reserve the right to withdraw a permit, stop production, remove equipment and/or request parties to

vacate the premises in the event the permittee or vendors thereof do not adhere to the Greystone Estate Rules and Regulations. 10. At the ranger’s discretion, any city personnel time and/or city supplies used for the safety of patrons and/or Greystone Estate property

will incur a minimum $250 fee. 11. Interior - Use of Terrace (Pass Through to Terrace) In order to utilize the Pass Through option, both the Courtyards and the Front Terrace are required

to be rented out for the event. Only the Main Staircase/Entry through the Card Room and the two restrooms flanking the entrance will be opened for guests. No other part of the house is available to the applicant and will be cordoned off. Absolutely no set-ups are allowed inside the interior of the mansion.

12. Catered events are required to use one of the Greystone Select Caterers.

13. Hard alcohol, beer, wine and champagne service requires additional insurance specifically showing that liquor liability has been added to the policy. All beverages must be purchased from Greystone select caterers.

14. Applicant is responsible for conveying all pertinent information to involved parties and vendors. 15. Unless otherwise arranged, estate gates open at 10am and close at 5pm or 6pm (Daylight Savings Time). Special arrangements may

be made for gates to open at 8am and close at 10pm. Due to residential zoning, entering prior to 8am or exiting after 10pm is prohibited. Should prior approval be granted, the applicant shall incur appropriate permission. Any vehicles waiting to enter the estate prior to 8am must line up on Doheny Road (not Loma Vista).

16. All exterior events must end by 8pm unless approved by City Staff. 17. Park Ranger supervision is required at all times. A Fire Safety Officer is required when using a generator larger than a “putt-putt”/”hand

held.” In some circumstances, a Police Officer may be required. 18. Fire permits for generators, barbecues, canopies, etc. must be obtained a minimum of 7 to 10 days in advance. Interior use requires

submitting a schematic plan of the event set-up to the fire marshal for approval 7 to 10 days prior to the event. 19. Applicants must provide overnight security guard(s) whenever items are left overnight. 20. Applicants may be required to station a security guard or representative at the Loma Vista and Doheny gates from 8am - 10am and from

closing time to 10pm to prevent the public from entering before and after park hours. Closing times are 5pm or 6pm (Daylight Saving Time).

21. A Historic Conservator may be required at the discretion of the Community Services staff at cost to the applicant, in order to monitor and maintain the historic integrity of this property.

22. Premises must be returned to the same or improved physical condition as before use. Grounds must be entirely cleared of all items (which include flower petals) upon the completion of an event. Any removal of items, or cleaning required to be performed by estate staff, will result in a fine incurred by the applicant or a forfeiture of the entire surety deposit.

23. Only City approved sanitation bins are permitted at Greystone Estate. Applicants requiring extra bins or pickups must make advance arrangements with the estate representative. APPLICANT'S INITIALS _____________

24. Any and all event specifics must be described in detail and receive authorization by Greystone Estate staff prior to implementation. 25. Filming or photography in addition to standard wedding / event videotaping and photography may require an additional film and

photography permit. 26. Greystone Estate is a multi-use facility and therefore does not guarantee site-use exclusivity. 27. All posted signs and City Municipal Codes must be adhered to at all times.

Animals are not permitted on site. 28. The City of Beverly Hills is not responsible for the permittees’, their respective guests’ or vendors’ personal or rented items. 29. All rentals must be delivered and picked up on the day of the event. 30. Estate grounds to remain open at all times to the public during normal estate hours. Closing Greystone Estate for a private event

requires approval of Community Services Director, and will incur a $10,000 charge in addition to any and all exterior/interior fees. 31. Signs indicating the event site must be pre-approved and posted on the day of the event only and must be removed once the guests and

vendors have arrived. 32. Any event scheduled on a recognized holiday will incur an additional 100% charge on staffing and maintenance fees.

Recognized Holidays: New Years Day (January 1st), Martin Luther King Day, President’s Day, Memorial Day, Independence Day, Labor

Day, Veteran’s Day, Thanksgiving Day and Thanksgiving Friday, and Christmas Day. 33. Any transportation and/or valet company hired by applicant requires staff approval and contact information 4 weeks prior to event. 34. Interior Rules and Regulations

a. All interior events are required to submit a detailed floor plan(s) of the set-up to the Beverly Hills Fire Department for approval. Applicant is responsible for cost of Fire Department plan check (set-ups may decrease the maximum occupancy of the spaces utilized). Room capacities will be strictly enforced. A fire safety officer is required for interior use when the number of guests

exceed the maximum capacity of the rooms specified for use in the permit application. b. The Front Terrace will be made accessible when renting the interior of the mansion with no set-ups allowed on the Terrace.

Any set-ups on the Terrace for interior use of the mansion will incur a $1,500 fee. Any other exterior areas pay normal exterior event fees.

c. Park Ranger presence will be required at all times during any permitted event in Greystone mansion. No rooms can be closed off during an event for privacy.

d. Interior use of the mansion requires applicant to pay the fees for a minimum of 2 Park Rangers during the entire event, including prep and strike time.

e. Eating and drinking (including bottled water) are allowed only in designated rooms. NO Smoking is allowed in the mansion or estate grounds.

f. All rental items brought into mansion must have felt protective pads on the part of the item that comes in contact with the mansion floors.

g. Any shovel dollies used to transport items needs a landing pad in the mansion. The metal dolly shovel cannot come into contact with the floor.

h. Dollies are not allowed to be rolled down any stairs on the interior or exterior stairs of Greystone Mansion. i. No leaning of equipment / tools, or any other items against the interior mansion walls. j. Only dollies and carts with rubber or plastic wheels will be allowed in the mansion. k. No dragging of tables, chairs or any other rental equipment on mansion floors. l. No hanging of decorations without prior written approval from Senior Park Rangers. m. Under no circumstances are items allowed to be placed on top of the Dining Room table and/or the historical oak console in the

Grand Hall’s without written authorization from City staff. Prior approval must be obtained should the applicant desire to transfer one or both of these items.

n. Nails, staples, or screws cannot be used and holes cannot be made in any wood, marble or floor surface of the mansion. Existing holes in wood or stone walls may not be used. Painting of wood surfaces is not allowed.

o. Picture holes made in plastered surfaces require prior written approval by Senior Park Ranger. p. Any approved picture holes to hang items on wall will require professional patching and painting to match existing wall color.

Patch and paint areas may require, at the discretion of the City, painting of the entire panel or wall for an evenly matched wall surface.

q. No plastered areas may be painted without prior written approval. r. Layout board may be required for protection of irreplaceable marble and wood floors, and must be laid prior to prepping

throughout the entire first floor of mansion and marble entrance stairs. s. Any painting or other decorative work in the prep or strike phase of the event will require 100 percent coverage of floors in the

area of the work. t. Designated mansion restrooms must be stocked with supplies and cleaned during event by Production Company hired by event

applicant. u. There is limited power in the mansion. An alternate power source may be necessary to provide adequate power for event

needs. v. Electrical wiring, sconces or fixtures may not be altered in any way. w. Any lighting production company and/or A.V. company hired by the event applicant are required to have a thorough walk-

through with the Greystone event coordinator and Senior Ranger. A complete schematic of the proposed lighting and A.V. set-up will be required 7 to 10 days prior to the event.

x. All cables in the mansion must be clear of entrances and exits and placed to the side of walls. All cables that cannot meet these requirements must be completely covered with crossovers or mats. No taping down cables in the mansion. APPLICANT'S INITIALS _____________

y. No one is allowed to use the mansion attic, basement or recreation wing. Other areas in and around the mansion may not be available, either temporarily or permanently due to hazardous conditions. Staff personnel may alert you if an area is not available for use.

z. Any equipment, effects, dressing of rooms, or grounds not clearly identified in permit application, will not be allowed under any circumstance.

aa. Applicant’s personnel should refrain from entering areas not clearly stipulated in the permit application. bb. Park Ranger reserves the right to stop any activity or work that has the potential to do damage to the property. If applicant or

vendor of applicant does not adhere to Park Ranger’s direction the permit will be revoked and party removed from property. cc. No nude or semi-nude or sexually explicit activities will be permitted. dd. Any filming or photography conducted by another company, such as video interviews, still photography for commercial

periodicals or magazines or entertainment news shows do not have permission to be on property under applicants permit. These companies are required to apply for a separate film and/or commercial photo permit.

35. Parking (at Greystone Estate)

a. The upper parking lot covers a water reservoir, with a three-ton weight limit (3 tons/6000 pounds gross vehicle weight). There are two cul-de-sacs off the reservoir that can accommodate heavy service vehicles such as caterers, trailers, trucks, etc.

b. Any event with more than 300 people (staff & guests combined) will require shuttle and valet services. c. Catering and foodservice are restricted to the upper parking lot cul-de-sac and lower service lot. The lower service parking lot

requires that a fifteen-foot fire lane be maintained at all times. Vehicle codes regarding blocking of fire lane will be strictly enforced. d. Citations will be issued to cars parked on flagstone in front of Firehouse or roadway west of forecourt entrance. e. Special permission is required to park equipment trucks on the driveway west of the forecourt. If permission is granted, an

appointed person must stand with the truck at all times. Keys must stay with the person. A five-ton (10,000 pounds gross vehicle weight) weight limit applies to this area.

f. The use of vehicles on the courtyard slate requires special permission. Plywood board must also be placed underneath vehicle at all times. Drip pans must be placed under the vehicle at all times.

g. Use of public right of way requires permits from the Public Works’ Engineering Division. Any construction vehicle over 6000 lbs. gross vehicle weight (crane, tractor/trailer, low-boy, bobtail, flatbed, stake bed, end-dump, bottom-dump, 10-wheeler, etc) requires a Class “D” heavy hauling permit. Note: additional fees apply to over wide loads requiring Police escorts. Any questions regarding fees or additional information, call 310-285-2506, 7:30am-12 noon.

h. Drip pans must be placed under all staged vehicles, trucks, trailers, generators, etc., at all times. 36. Grounds Rules

a. Due to the historic integrity of the property, STANDING ON or IN ANY PERMANENT STRUCTURE, such as fountains, railings, balustrades, etc., is NOT PERMITTED.

b. Use of the Formal Garden is restricted, and is available for use with prior authorization from the estate representative only. Food, drinks, or aisle runners are NOT allowed in the Formal Garden. ANY item(s) to be placed on the GRASS or SLATE in the Formal Garden require pre-approval.

c. Any change to landscape must be approved and supervised by estate staff. Only park staff can trim trees, shrubs or other plants. d. Limited water and electricity may be provided by estate ground sources. Small putt-putt generators are recommended for any

evening prep or strike up until 10pm. e. No moving of setup (chairs, tables, umbrellas, etc.) from area to area. f. Dollies may not be used on stone steps. All equipment must be carried on all stairs. g. Astroturf must be placed under food tables and equipment on slate areas. h. Advance approval is required for all construction and/or scaffolding taking place anywhere on the estate. i. Layout board must be placed under equipment on all slate areas. j. Permanently installed signs or posts may not be removed. k. No special additions such as animals, special effects, special props or set dressing, special vehicles, special lighting or special

entertainment are allowed on site without prior approval of estate staff. l. Catering tents must have the proper permits and must be weighed down with water or sand (no staking). m. Smoking is not permitted on estate grounds (enforced by Municipal Codes). n. Staking into the ground is not permitted. o. Tying onto plants, trees or structure is not permitted. p. Garbage bags must be carried (not dragged) to the trash bins. q. The following decorations and items are prohibited (including but not limited to): lit candles, balloons, bubbles, rice, confetti,

glue, paint, arts & crafts material of any type, objects in any fountains, self-serve candy stations, piñatas, silly string, moon bounce/jumpers, trampolines, and obstacle courses.

r. Items to be placed on slate such as, but not limited to, umbrellas, tables, chairs, dance floors and stages, require padding, layout board, rubber or felt bottoms underneath.

s. Decorations and lights may not be placed in trees or hung from any structure. t. Moving of any city property including (but not limited to) benches, planters, and garbage cans is strictly prohibited. u. Remote control air vehicles (helicopters, quadra-copters, or any other device carrying a “Go-Pro” type camera) are prohibited

37. Courtyard Rules

a. A vehicle shall be defined as any platform or piece of mechanized equipment used for transportation or conveyance. b. Should the slate/flagstone area be requested for vehicle use, the following procedure must be strictly observed: drip pans must be

under moving and parked vehicles at all times. Plywood, a minimum of 3/4 inch thick, must be laid on the entire courtyard area any time a vehicle will be traveling or resting on slate or flagstone. No vehicle will be allowed on slate or flagstone without plywood and drip pans. All areas must be inspected and approved by City representatives prior to vehicles being placed in courtyard area.

c. Valet parking on the west drive is not allowed during normal park hours. d. Any shuttle vans, buses, etc., transporting guests, need to be preapproved by city staff. e. All vehicles must have proof of gross vehicle weight before being allowed on any slate or flagstone. f. Use of any camera dollies and/or cranes on the state flagstone must be listed on this permit application. g. Failure to comply with the above may result in the immediate cessation of the event and all vehicles will be required to withdraw

before the event will be allowed to resume. h. Tenting of any kind is not allowed in the inner-courtyard of the mansion.

38. Cleaning / Striking

a. The applicant is responsible for all cleanups (including flower petals from wedding). Any clean-up not to the City’s satisfaction will incur a cost due for restoration which shall be taken out of the applicant’s surety deposit.

b. The applicant is responsible for any damage to the site and all necessary repairs must comply with City specifications at the City's direction. Any damage(s) not restored to the City’s satisfaction will incur a cost to restore and will be taken out of the applicant’s surety deposit.

c. Scullery (cleaning of plates, glasses and utensils) is only allowed in designated kitchen area unless prior approval by Senior Park Ranger has been given for another location.

39. EXCEPTION(S) Any deviation from specified rules and regulations must be listed in detail below and approved by Greystone staff prior to implementation. Be specific as to nature of exception.
