Introduction

Purpose of this guide

This ordering guide is designed to help Cisco’s account teams and

qualified Cisco partners quote and order Meetings and Calling through

the Cisco Collaboration Flex Plan.

Using this guide and the supporting material, you will:

• Understand the Meetings and Calling services in Collaboration

Flex Plan

• Understand the included components for each service, according

to each deployment model

• Understand the buying models

• Walk through the quoting and ordering process

• Understand the resources available to you and how to use Flex Plan

for your customer’s scenario

Offer overviewThe Cisco Collaboration Flex Plan is a single subscription that gives you

access to Cisco’s collaboration services and software. It allows your

customers to mix and match buying models and deployment models

during the subscription, depending on their needs. One agreement covers

software, features, services, and technical support.

Calling

A comprehensive list of all included features, services and entitlements are included in the data sheets for the applicable service and buying model. Terms of Use are stated in the applicable license or service terms. See the offer documentation section of this guide for a complete list of applicable terms and agreement.

Audience

The intended audience for this ordering guide is Cisco sales teams

and partners whohave been approved to sell Collaboration Flex Plan. Partners must be eligible to sell this offer and have accepted Cisco Collaboration Flex Plan terms and conditions.

You should be familiar with Cisco Commerce Workspace (CCW) Annuity platform. You should have completed SaaS Subscriptions training as part of your company’s SaaS subscription resale certification.

Deployment model: Customers can choose whether to deploy on-

premises, partner hosted or cloud. Customers can choose to mix

deployment models to fit their needs.

Buying model: Collaboration Flex Plan provides a choice of buying model

for their services: Enterprise Agreement (EA), Active User (AU), and Named

User (NU). Different or same buying models can be chosen for the available

service. Not all buying models are available for all services; for example,

there Is not an Active User buying model for Calling.

All prices are MSRP, per knowledge worker per month unless otherwise indicated. When Meetings EA and Calling EA are bundled together, there is a 15%

savings. Detailed information related to calling EA and meetings EA can be found in the Flex Plan EA data sheets and in this ordering guide.

A detailed list of all SKUs and Prices is in the Appendix to this orderingguide.

Partners/Customers who do not already have a version of Cisco Meeting Server (on-premises meeting solution) installed should purchase R-CMS-K9 ($0 GPL), which will provide the Meeting Server activation key.

EA subscriptions are subject to an annual True Forward as outlined in the EA Program Terms.

Enterprise Agreement (EA), an enterprise-wide subscription for meetings, calling, or meetings and callingtogether.

For organizations with 250 or more knowledge workers, the Enterprise Agreement helps you ensure company-wide access to the Meetings

and/ or Calling services your users need, without being concerned about how the services are delivered. You can choose Meetings or Calling,

or bundle Meetings and Calling together. Team Collaboration is included for all knowledge workers.

Active User (AU), a usage-based subscription for meetings.

Allows you to purchase meetings entitlement according to adoption, and closely track the return on your investment. With the Collaboration Flex

Plan - Active User, you can purchase subscriptions for a minimum of 40 Active Users or 15 percent or more of your Knowledge Workers. As active

usage of Meetings increases, the active user subscription quantity increases with an annual true forward.

Allows you to purchase full featured Meetings at a per user rate with no minimum to purchase.* This subscription is designed for organizations that want the

simplest possible approach to buying Cisco Webex Meetings applications.

Cisco Webex meetings can be purchased as a suite or a la carte. Cisco Webex Meetings Suite includes all of the Cisco Webex Meetings (1,000 participants) ,

Cisco Collaboration Flex Plan Multi Partner Sales Model

The Multi Partner sales model is designed to expand the partner base eligible to sell Collaboration Flex Plan to partners who are not certified to

deliver all workloads in the plan.

The plan allows partners to purchase subscriptions for Collaboration Flex Plan and contract with other Cisco partners to deliver certain

workloads within the Flex Plan bundle.

• Lead Partner: Partner ordering Collaboration Flex Plan bundle subscription and billing end-customer for entire service. The partner utilizes the

Multi Partner sales model to deliver workloads in the bundle for which they are not certified.

Cisco Collaboration Flex Plan Ordering Steps

Deployment & Buying Models

Determine the best buying model and

deployment model mix for the customer for

Meetings and/or Calling.

Knowledge Worker Count

For the EA and AU buying models, it is

important to assess the correct Knowledge

Worker count for the customer.

Flex Plan Value Transfer

For Calling, Meetings, and/or SWSS residual value

adjustments, request value using the appropriate

method.

Webex Transfer to Annuity

A Transfer Code is required if the customer’s existing Webex

Meetings site needs to be moved to the Annuity platform without

user impact. Obtain the Transfer Code to be input into deal or

quote before converting to order.

CCW Estimate

Go to CCW, create an estimate, enter A-FLEX, hit enter, and enter

appropriate Meetings and/or Calling buying model and deployment mix. Enter in discounts. And purchase

adjustment.

Quote Attachments

Attach the following documentation to the quote

and order:• DocuSigned EUIF• LoA (if applicable)• Competitor form (if

applicable)

Ordering & Fulfillment

• Smart and virtual accountsshould be assigned at time oforder. The partner should beassigned access to the smart

Define the enterprise boundaries and knowledge worker (KW)count

• Determine the number of KW and affiliates that will make use of the offer. Calling EA and Meetings EA will require all the customers KWs to be covered.

Meetings AU will require a minimum of 15% of the total KW count to be covered.

Outline deployment strategy

• Does the customer require Meetings and/or Calling; expected number of years to deploy/duration of term (1-5 years); and the expected Requested

Start Date; deployment mix of cloud, on-premises, or hosted (calling only). The customer’s CapEx and OpEx strategy will help determine the mix of

licenses needed.

Outline the buying modelstrategy

• Does the customer require Meetings EA, Meetings NU or Meetings AU? Does the customer require Calling EA or Calling NU? Determine the buying

models that will be part of this agreement.

End User Information Form (EUIF)

• For Calling EA and Meetings EA or Meetings AU, the EUIF is required. It is NOT required to be signed at time of quote. It will need to be signed at time of

order.

Deployment and buying models

2 Determining the knowledge worker count

It is important to determine the correct KW count for the customer if Calling EA, Meetings EA, and/or Meetings AU are being considered.

“Knowledge Workers” means your Employees and Contractors that use Devices as part of their job duties that are performed on your behalf. A “Device”

means computing or communications devices capable of running the software or browser plugins associated with the Collaboration suite.

Determine the knowledge worker count

• The EUIF is used to define the KWs and any exclusions of non-KWs. It can also be used to define exclusions based on affiliates and/or geography. Cisco

reserves the right to verify KW counts based on externally available information for the customer entity.

Flex Plan Value Transfer3

Obtain continuing credit value for perpetual licenses, competitor calling licenses and initial term credit value

for active SWSS in exchange for a purchase adjustment on Cisco Collaboration Flex Plan.

Eligibility

Transfer Credit is applicable for a subscription term of 36

months or longer

For Calling, current software releases of Cisco Unified

Communications Manager are eligible.

Eligible towardsA-FLEX, A-FLEX-CC, A-CJP

offers only.

A-SPK, A-SPK-EDU offers do not qualify for Purchase Adjustments.

For Contact Center and Meetings, an active SWSS

support contract is required to transfer licenses

The Transfer Credit will be applied to any renewal term(s). For example, if Partner places an order for a thirty-six (36) month subscription that renews at the end of the initial term for a renewal term of twelve (12) months, Cisco will apply the Transfer Credit to the renewal subscription.

The SWSS Residual Credit and “Other Credits” will only be applied to the initial term.

Once the order has closed and subscription PAKs have been eDelivered, the perpetual value transfer licenses will

be marked as ‘expired’ by Cisco’s Flex Plan Operations Team in Cisco.

*Will be available for Tier 1 partners. 2-tier partner access coming soon. *Tier 1 and Tier 2 partners have the option to purchase via distributor. In this case, the distributor will apply value transfer credits in CCW.

This step is only needed if the customer has an existing Webex Meetings subscription that is transferring to Annuity for the first time.

1. Transfer codes have been proactively provided for existing customers transferring Webex URLs to subscription

2. If the transfer code has been misplaced:

• To receive a copy of the transfer code, contact [email protected] and include Customer Name, Requestor Name & Email, BLiSAccount Number, Webex Site URL.

3. Before partner converts Deal/Quote to order on Cisco Annuity platform in CCW:

a. For end of term transfers, enter existing contract renewal date into “Requested start date”

b. Answer “Yes” to transfer question

c. Enter transfer code (received via email) into “Qty” field for transfer code

d. Enter partner “Provisioning contact email”

4. On the requested start date, the Provisioning Contact will receive an email to “Set up your service”.

a. The Transfer Code will be required during this step.

b. IMPORTANT! Upon receipt of the provisioning email, Provisioning Contact MUST click the “Set up your service” button immediately to complete

order and service setup, as this starts the service and billing on the Annuity platform.

4 Webex transfer to annuity

The next set of screenshots walk you through the process of creating an estimate in CCW for Collaboration Flex Plan

Bill of Materials (BOM)

• The Bill of Materials for Collaboration Flex Plan should be generated by creating an estimate in CCW. Collaboration Flex Plan provides a guided selling

experience and includes all the buying model and deployment options under one top level SKU. As options are selected, questions will be dynamically

generated tied to the previous option/feature selected. If an option is accidentally selected, there are selections such as “No (insert feature name)

required” available to back out of an option.

Single ATO

Enter the entire high level ATO: A-FLEX into the configurator and select ADD.

Enter the transfer code that the Partner received in the

email notification afterinitiating the request.

Enter the customer’s start date

Select the term needed:12, 24, 36, 48, or 60

months

• Requested Start date must be within 90 days of

order submission.

• If the customer is transferring their existing Webex

Meetings subscription to Annuity, for end of term transfers

align with contract end date of the previous service. For

mid term transfers, select a billing date.

• Renewal Terms available: 12 months

• Payments terms are prepay for initial term, monthly,and annual billing.

Transfer question

• If the customer is transferring their existing Webex

Meetings subscription to Annuity for the first time, a

Transfer Code is required. The transfer process can be

started by going to cs.co/transfer-request

• Transfer codes have been proactively provided for

existing customers transferring Webex URLs to

subscription. If a resend is required, contact

[email protected]

Yes must be selected if the customer is transferring their Webex Meetings subscription to Annuity for the first time.

Cisco Advanced Services for Cisco Collaboration Flex

Plan

• Cisco provides advisory, design, deployment, training,

adoption, and migration services for Cisco Collaboration

Flex solutions. Customers and partners need to engage

a Cisco Account Manager to purchase these services.

The Cisco Account Manager is responsible for creating

an accurate Advanced Services-Transaction quote and

SOW and must engage a Cisco Collaboration Business

Development Manager.

• Once Webex Edge Connect is selected, then a new question

will be displayed asking where peering is needed. To support

multi-geographical designs, one or both peering options can

be selected. Edge Connect is available in two geographical

regions, US/EMEAR and APAC, which each have

corresponding PIDs.

• Webex Edge Connect is available in six bandwidth capacities

– 200Mbps, 500Mbps, 1Gbps, 2Gbps, 5Gbps or 10Gbps

options. These are the only capacities available

• Within the region, customers are able to combine capacities

to build your desired peering capacity. For example, if you

require a 7Gbps bandwidth connection for a location within

the APAC region, you could select 5Gbps and 2Gbps to

create a combined 7Gbps link. However, only a single

capacity can be used at any single location if HA or Geo-

Redundancy is required. Select the capacity required and

enter the quantity needed. Based on the peering location(s)

selected, the capacity option(s) will be displayed by peering

location.

• You will have the option to select Redundancy peering links,

same capacity as the selected peering link. They will auto

expand based on the quantity of the peering links you are

ordering and in the peering region.

• There is a maximum quantity of 1 when ordering the

200Mbps peering link in either location.

The Additional Calling Licenses Options are only available with

Collaboration Flex Plan Calling with premise and/or partner

SRST, CUE, and CME Components

• SRST is available with Collaboration Flex Plan EA or NU

buying models. CUE and CME are only available with

Collaboration Flex Plan Calling EA. We currently generate

those licenses as Right To Use (RTU) licenses. SRST, CME,

and CUE licenses have gone End of Sale, and the classic

licensing will soon be removed from Collaboration Flex Plan

for these components.

• Collaboration Flex Plan will instead provide Smart Enabled

licenses for SRST, CME, and CUE (expected by end of

December 2018). SRST, CME, and CUE licenses will have to

selected through the Additional Calling Licenses Screen.

When selected, this will require setting up a Smart Account

as part of the ordering process in order to obtain these

licenses.

• These licenses are included as part of Collaboration Flex

Plan and are available to the customer at any point in time

including at initial order or through a change/modify order.

The customer or partner will already have the software

available on the Cisco hardware. This option provides the

licenses at $0 when the customer is ready for those.

• These are optional in order not to cause delays in the

ordering process (by requiring a Smart Account upfront) for

those customers on v10 or V11 who may not require these

components currently.

CUAC Components

• CUAC id available with Collaboration Flex Plan EA Calling with premise and/or partner

hosted deployments. It is only available for v11 and v12.

• CUAC Standard (per server license), CUAC Advanced (per user licenses), and/or CUAC

Advanced HA (per service license) may be selected. Please note that CCW will enforce

maximums for these licenses. If a customer had a need for a large number of CUAC

licenses, please work with an Offer Manager contact and/or your Cisco sales contact prior

to closing the order.

• CUAC software is available for download at https://www.cisco.com/go/ac.

• CUAC license keys are included as part of Collaboration Flex Plan Calling EA and are

Webex Assist Services - Uncommitted Billing

• EVENT ASSIST- Includes live event support (1 hour Event) with a certified producer. The

assumption for this level of service is that the Webex host has scheduled and tested the

meeting on their own and would like support ONLY on the day of the meeting (Can be used

with Webex Events, Webex Meetings, OR Webex Training).

• LIFECYCLE ASSIST- Includes live event support (1 hour Event) AND pre-event planning as

well. This option is for the New Webex Customer or Webex host that would like additional

help with best practices for scheduling their meeting and a technical rehearsal with their

producer prior to the live event date. This is more comprehensive support for the entire

lifecycle of the meeting (Can be used with Webex Events, Webex Meetings, OR Webex

Training).

Please Note: For event duration longer than 1 hour, Cisco will bill the customer for each

additional hour of event time.

Attaching the End User Information Form (EUIF)

• The End User Information Form and Signatures for Collaboration Offers

can now be uploaded and attached in CCW (Quote, Order & View

Status). Please note that the EUIF is a required document for Enterprise

Agreement and Active User models. Delays in provisioning and/or

release from compliance hold can be experienced if a signed EUIF is not

attached.

• Partners and Distributors can download the latest template and upload

the End User Information Form (EUIF) from within CCW for Collaboration

Flex Plan EA/AU offers that require the customer end user signature to

fulfill the order. The EUIF uploaded in CCW can be sent to the end

customer for signature through DocuSign™. Users can also

systematically track and access the uploaded documents anytime in

CCW.

PAK registration and management

PAKs may be viewed, registered and managed from the smart account in the license registration portal (LRP)

Note: Upon order close, the PAKs will be assigned to the Smart Account in LRP only if the Smart Account was assigned to the order

If the E-delivery email address was not provided in the order and the Smart Account was not assigned to the order, the partner may

proactively find the PAKs in CCW under the ‘Items’ tab by clicking the, ‘All PAK Numbers’ link

Cisco Collaboration Flex Plan does not use the EA Workspace to manage licenses, instead License Registration Portal (SW release 10 and 11 for Traditional licenses) and Cisco Smart Software Manager (SW release 12 and above for Smart Licensing) are used.

Changes or modifications to an existing Flex Plan subscription can be completed by entering a change/modify subscription order in CCW. Examples of modifications include:

NEW! End Customers with On Premise EA Calling may self-serve to upgrade from Traditional V10/V11 licensing to Smart entitlements via License Registration Portal (LRP) or using Cisco Smart Software Manager (CSSM)

• EA On Premise Customers will access the Cisco Software Central > Product Upgrade Tool (PUT) and use their Flex Plancontract number to obtain software media.

• Software releases V11 and V12 for Flex EA On Premise may now be obtained from the Product Upgrade Tool (PUT).

• End customers will enter their Flex contract number and then select “Advanced”.

• $0 change/modify order is no longer required when upgrading to V12 Smart licensing for EA On Premise Calling only

• Available for the following offer types: A-FLEX, A-FLEX-PUBLICSECT, A-SPK-EMP-COUNT, ASPK-ACTIVE, A-SPK-EDU only

• Smart Account is required to convert traditional licenses to Smart licenses

• User must be associated to the Smart and Virtual Account the licenses will be associated to in order to transact

Important! If the CCW subscription is not updated to Smart (v12 or higher) during the subscription term, at renewal, the legacy version software and licensing will be delivered. If this occurs, the customer will need to use CSSM or LRP to convert their newly delivered licensing once again. The conversion to Smart licensing must be completed within 90 days of renewal to avoid service disruption.

Exception: If a change/modify is placed during the term to add additional license features/options, Customers are encouraged to make their partner aware of the need to upgrade to Smart within the CCW transaction. This will ensure that at renewal of the subscription, currently utilized software and licensing will be delivered.This will avoid the requirement to convert using LRP and/or CSSM to convert at the time of renewal

Convert Flex Plan EA On Premise Calling PAKs to Smart Entitlements

Customers will access Cisco Software Central, and select either the License Registration Portal (LRP) or Cisco Smart SoftwareManager (CSSM) to self-serve to convert their EA On Premise Classic, PAK-based licenses to a Smart Entitlement.

• In LRP, go to the 'PAKs/Tokens' tab, select 'Actions', then 'Convert to Smart Entitlement’

• Upon closure of the order in CCW, a new contract for the Collaboration Flex Plan subscription will be created

• To obtain the new contract number

- Visit CCW, search and open the Web Order ID

- Under the ‘Items’ tab, expand the SKU to view all line items. Find the support SKU, the contract number will be listed below the

line item.

• Add the new contract number to the Cisco.com ID profiles of those who may for contact Cisco for support

• Provide a description of the request
