1 Release Document

1.1 Feature: Call-Em-All

It is an integrated service provided to the Akken Users in which recruiters can schedule Text/Voice broadcasts to candidates, employees & contacts phone numbers, and can seamlessly send/receive messages to the phone numbers of candidates, employees & contacts

1.2 Integration

1. To integrate Call- Em- All in Akken application, Call- Em- All will be providing the “User Name, Password & Pin Code”

2. To use this integration in Akken application user need to set the preferences from Admin>> User management

3. Select the required user “Preferences”

4. Under Admin section user can select “Call- Em- All User Account” Check box

5. Once the access is granted from Admin> User management for “Call- Em- All user accounts” will be displayed

6. On selecting this the “Call- Em- All Accounts” will be displayed with the modified dates

7. To Integrate new user in Akken “Add” button is provided

8. On selecting the Add Button the popup of “Add User Account” is opened

9. The Employee names (All User Front Office, Back Office, All in Users) can be selected from the Drop Down

10. The other details like “User Name” , “Password” & “Pin Code” will be provided by Call-

Em- All

11. Once details are entered and click on Add the validation will be done at Call- Em- All side and the authentication is provided to the Akken which will be displayed in the “Call- Em- All User Account”

12. The failed on unrequired Employees can be removed by using the “Delete” Button provided

13. Once User access is created and Success, a Call-Em-All Broadcast widget will appear on eDesk

14. On eDesk the user can check all the “Call-Em-All” Broadcast and Individual messages along with their status

15. On selecting “View All” in the “Call -Em-All Broadcast” a new window is opened to display all the completed Broadcasts

16. The Call- Em- All Broadcast can be visible under the following areas in “Integrated Services”

• CRM – Contacts

• CRM – Candidates

• CRM – Groups

• CRM - Job Orders->Job Order Screen->Manage Shortlist

• CRM - Job Orders->Job Order Screen->Manage Submissions

• CRM - Contacts - Summary Screens

• CRM – Candidates - Summary Screens

17. On selecting the desired Contact and selecting the Call- Em- All Broadcasting option, A new screen will pop up to allow the user to see the phone numbers to which the broadcast will be send.

18. If there are any duplicate phone numbers in the same screen the details of duplicate will be displayed in the braces “()”

19. On clicking ‘Continue’ will bring user out of Akken and into a Call-Em-All window. This window allows users to create their broadcast by filling out and navigating through the sections below

20. Once the screen is navigated to call-em-all screen, the text/voice broadcasts messages can be sent via call-em-all.

21. Once the operations are done the page will be redirected to the eDesk, Latest 5 broadcasts will be displayed in this widget, and by clicking on the “view all” link from the above shown widget following popup window will be opened.

22. From the eDesk on selecting the any completed Broadcast on selecting the it the details will be opened

23. On selecting “View All” in the eDesk the details of completed broadcast will be displayed and on selecting those broadcast the details of completed broadcast will be displayed

24. Call-Em-All Conversations functionality is now available in Candidates/Contacts summary screens

25. CRM Candidates / CRM Contacts summary screen and on the right side of the details page you will find “CallEm-All Conversations” widget as shown below, all the SMS’s / Broadcasts messages will be shown in this widget

26. On selecting the Reply button the Call Em All Conversation page will be opened with contact phone number and User Text number

27. On selecting Continue button the page will be redirected to the Call Em All page to reply

28. All the conversation that are made through Call Em All will be recorded in Akken Application

Note: -

1. For Existing Customer of Call- Em- All Users who are already setup in Akken there will not be any change in that they can use the existing Broadcasting functionality as before

2. User have been added previously as Call-Em-All user authorization token as User Name and Password in Akken.

3. Now by this enhancement, existing users has to be updated to new user model to make use of newly implemented Conversations feature, broadcasted SMS's tracking & text messages sent by / received by tracking purpose.

4. To update / add existing Call-Em-All users in Akken, customers need Call-Em-All respective User Name, Password & Pin Code.

5. The Phone numbers in the Contact or Candidate are displayed as Primary Phone, Secondary Phone

Limitations: -

1. Only completed broadcasts will be visible on All Broadcast details screen. Broadcasts of below statuses won’t be visible in the view all section.

• Awaiting Authorization

• Cancelled

• Authorization Approved

• Broadcasting

• Scheduled

2. Latest 5 broadcasts will be visible on eDesk(Call-Em-All Broadcasts widget)

3. Text number (from which the SMS broadcast is sent) is not visible on SMS Broadcast details screen as it is not implemented in this phase.

4. This broadcasting feature is limited to 100 phone numbers.

5. If same Call-Em-All Text Number is assigned to multiple users then the received messages activity wil be tracked as “Call-Em-All Account”.
