Funding Administration

• Each FMIG is eligible for up to $1,000 for the academic year. $400 is funded by CAFP Foundation. $600 is funding by the American Academy of Family Physicians (AAFP).• In order to be eligible for funding from CAFP, you must submit the name and contact information of a designated CAFP stu-dent liaison along with a first reimbursement request.• In order to be eligible for funding from the AAFP Foundation, you must follow the guidelines, outlined on the AAFP Web site. Visit http://fmignet.aafp.org/online/fmig/index.html for more information.

Use of Funds

• Funds are to be used for the benefit of the majority of the students.• Activities must be related to family medicine and primary care.• Examples of appropriate use of funds are: food, non-alcoholic beverages, publicity and promotion of programs, supplies for special programs, a raffle to encourage students to register for a CAFP event or enroll for membership, and speakers’ hono-raria/travel expenses.• If your FMIG is in doubt about whether or not a specific expense is appropriate, please contact CAFP ahead of time to get expense approval.• If your FMIG wants to spend a portion of the funds on materials that will be used throughout the year, your must order and/or purchase these items at the beginning of the academic year and submit a list to CAFP, detailing all events and activities you plan to distribute or sell these items at.

Expense Reimbursement

• Requests for reimbursement should be submitted to CAFP within three weeks after each event.• Use the reimbursement form, provided by CAFP, each time you submit an expense reimbursement request.• Fill out the reimbursement form completely, including specific information about the number of attendees, speaker names, and topics addressed.• Please attempt to attach actual receipts in place of photocopied or faxed receipts. If you are unable to do so, please make sure that the receipts are legible.

Planning Events

• CAFP encourages the FMIGs to plan some events around CAFP and AAFP functions such as the Family Medicine Conference for Medical Students, Family Medicine Preceptorship Program, AAFP National Conference, Externship Program, scholarship and leadership opportunities, and CAFP’s Annual Scientific Assembly to encourage students to attend and/or participate.• Multiple meetings are encouraged instead of one large annual function.

COMMUNICATING WITH MEDICAL STUDENTS There are many ways of disbursing information about the upcoming events and activities to the medical students. Here are some suggestions: Quarterly newsletter or targeted emails: update students on FMIG activities, invite and remind them to join your events, and include a short survey to obtain feedback on various topics Posters and postcards: promote specific events, encourage students to join FMIG and to become an AAFP member. Sign-up sheets on bulletin boards: Get students to sign up for a workshop or an upcoming event ahead of time and email them to remind about it.
