1 Customizing Guide: BW Customizing in R3

IntroductionIn this document are the steps that need to be completed in order to customize in the source system R/3 to extract information to BW System. It shows how to activate the standard business content. Also the data sources that should be used for master data and transactional data and the special customizing for each application.

The modules that are shown in this document are: MM, SD, and Retail.

1.1 Transfer Application Component Hierarchy.Path: SBIW->Business Content Data Source-> Transfer Application Component Hierarchy.

During this activity extraction structures that will be used to send information from R3 to BW.

The transactional data that are related due to its nature are stored in the source system in Data Source. The Data sources are flat structures that have a list of fields. This structure is used to send information from R/3 to BW.

The Data Sources have their counterpart in BW as Info Sources.

The Data sources have the following classification:

Master Data

Transactional Data

Also the master data are divided in Attributes, Texts and Hierarchies.

The Data sources are grouped by module (FI, MM, SD, IS retail, etc.).

1.3 BW Update MethodsThe methods to extract information from info source system SAP R/3 to BW are: Full Update, Delta Process, and Repair Full Request.

1.3.1 Full Update

If the company needs that the historic information will be uploaded in BW system, it is necessary to use this method, as initial upload. This process is possible only if you already have executed the filling up set up process (see 1.5) because here is when the information is ready to be sent to BW.

You must be careful with FULL uploads because with this method it is not possible to control which information already was sent to BW. This could make that you have duplicated information in BW

1.3.2 Delta Init ProcessThis activity is required to delta method. The Delta Init process indicates to the source system the mark where the new information extraction to BW will begin. This delta init could happen with or without historical information upload.

1.3.3 Delta MethodWith this process the new information that is generated daily in the source system must be sent to BW. The principal reason fort this is the information volume that is imported to BW every day.

This information is stored en the delta queue (RSA7 Transaction). It is taken from here when BW asks for information to the source system. In the Delta Queue will only be the information that has not been sent to BW and the last request.

In the screen Installation of Data Source from Business Content, you must mark the data source that you want to activate and select Activate Data Source.

1.4 Settings for Application-Specific Data Sources (PI)For Purchase transactional data sources Retail Industry Sector must be specified.

1.5 Activate Data SourcesThis activity is needed for the extraction structure could receive information, also to schedule when the information will be sent to the delta queue.

In the LO Data Extraction: Customizing Cockpit you have to choose the data sources that will be used to get information from R3 to BW. This activity only applies for transactional data.

In the column of Update for every data source to change the status from inactive to active.

The system will show the MCEX 146 message. It is important to read it because it explains the different methods of update. The update method that is recommended is Queued Delta.

Accept the message with intro. Once you have done this the status will change from Inactive to active and the traffic light will change from yellow to green.

1.6 Filling Set Up TablesIn this step the data sources are filled with the data that is needed in BW. This step must be executed for every data source.

This activity is necessary only if the company needs historic information. If not you can make delta init process.

The requirements to execute this process are the following:

1.6.1 Restricted access to source systemWhen the filling set up tables process is running, nobody should be working in the system, because it could make that the result of some transaction that occurs during this process may not be taken by the filling up process

1.6.2 Delete the content of the set up tables

As a previous step you must delete the content of the set up tables. This is necessary to avoid that the information in the set tables will be duplicated.

Path SBIW->Settings for Application-Specific Data Sources (PI)->Logistics->Managing Extract Structures->Initialization->Delete the content of the set up tables.

In the screen Deletion of Set up Data should select application, and execute F8

Once you have selected the application, the system will delete the data of all the data sources that belongs to this application.

Depending on the application (purchasing, billing, stocks) you can chose different parameters to select the information that must be set up. You can set up the information for one document or for a group of documents, as specific date or a store.

If the following message appears when you execute this process “No extraction structure active or no BW connected“

And you already have executed the process Activate Data source you must have the connection between SAP R3 and BW.

1.7 Delta Init

This activity must be done in BW System. Once you have made de Delta initialization for a data source it is shown in the Delta Queue of the source system

1.8 Job Control in LO Data Extraction: Customizing Cockpit

After Delta Init it is necessary to make de setting for the job that will be sending information from the different transactions to the delta Queue to be extracted to BW.

Once you have done this select the option Sap System from Release 3.0E (Automatic Creation).

In the screen Create SAP Source System you should enter the following information in the “or create new destination” section

Target Computer (Server): The name of the server where the source system is installed.

System ID (System Name): The identification of the source system (PRD, DEV)

System Number

Background user in source system: This is the user that the system uses to make the connection in background between R/3 and BW. The system suggests ALEREMOTE

Password for source system user.

Repeat password.

In the “connection of source system to BW” section

Background user in BW: The system suggests ALEREMOTE

Password for source system user.

Repeat password.

Pres enter and the system will send the following message “Please log on as an administrator in the following screen”

At this moment the connection between R/3 and BW is generated, so you need to log on to the source system with a user id and password of the source system.

In the RFC destination XXXXX you have to press save and then back

After doing this the system will send the message “Additional to activation replicate metadata?”

You should select “Replicate as well”

2.1 Basic Configurations in BW

With the source system created, the first activity you have to do is transfer the global settings from the source system to BW. The global settings are:

Currencies

Units of measurement

Fiscal years variants

Factory Calendar

Select the source system, press right button and select “transfer global settings”

2.1.1 Replicate Data sources

To make BW able to detect the business content that is activated in the source system R/3 you must execute this step. Also is necessary when you make some changes in the data sources.

Select the source system and press right button, and select Replicate data sources.
