It reduced human errors and processing time, thus it can boost productivity and resulted into high quality of product produce. In Information System, computerization is concerned about interrelating different but interdependent transactions. This can result in a system with well-integrated processes that can perform much faster and more accurate than a manual system. Auditing refers to a systematic examination of books, accounts, documents and vouchers of an organization to ascertain how far the financial statements present a true and fair view of the concern. It also attempts to ensure that the books of accounts are properly maintained by the concern as required by law. Auditing has become such a ubiquitous phenomenon in the corporate and the public sector that academics started identifying an "Audit Society". 1

computerization is concerned about interrelating different but interdependent

perform much faster and more accurate than a manual system.

and fair view of the concern. It also attempts to ensure that the books of accounts are

properly maintained by the concern as required by law. Auditing has become such a

ubiquitous phenomenon in the corporate and the public sector that academics started

identifying an "Audit Society".

IBA College of Mindanao has an issue in making the auditing of computer system

faster and accurate which could record the count and problem of each computer. The

researchers found out the problem that keeping the record could be lost and time

management would not be wasted.

The main point of this project is ease the difficulty in knowing how many

Computers are working and nonworking in IBA College of Mindanao. This project as a

prototype should be able to set the goals and objectives of the school to make there

auditing of the computer unit faster.

THE PROBLEM

Due to the increasing numbers of the computer units in the school the staff are

having a hard time to know how many are usable and are not.

Statement of the Problem

The aim of this study is to help the auditors in making the auditing of all the

computer system of the school faster and avoid loss of records.

• Is the system reliable in keeping record and can make the auditing faster than

before?

• Does the system meet the wants and need of the user in auditing the computer

system?

THE SOLUTION

The researchers immediately took action in this problem a simple prototype of an

auditing system would do the trick to make it easier for the staff. In the future we could

make it a full system that would cater the staff’s problem.

MINIMUM REQUIREMENT

The minimum that must be produced is a maintainable audit system that would

cater the staff in knowing the status of the computer units in the school. These are the

following minimum requirement:

• Should be able to record the existing Computer unit of the school

• Updates current status of Computers.

• Less hassle to the auditor in auditing Computer units.

• The Computer system should run Windows XP or Higher

• CPU should be Pentium 4 or Higher

• RAM should be at least 1 GB.

• HDD space should be 4GB or more free space.

THE SCOPE OF THE PROJECT

The coverage of the project is to provide an audit system to IBA College of

Mindanao which is located in Valencia City, Bukidnon. This system should be used only

by the auditing staff of IBA College of Mindanao but has a limitations in using the

system. The normal user should contact the admin in accessing other features of this

system. This system was created using Microsoft Visual Studio and using MySQL as its

database.

BACKGROUND RESEARCH

Research Design

The researchers of the project used cased study as their main research design a

case study is an in-depth study of a particular research problem rather than a sweeping

statistical survey or comprehensive comparative inquiry. It is often used to narrow down

a very broad field of research into one or a few easily researchable examples. The case

study research design is also useful for testing whether a specific theory and model

actually applies to phenomena in the real world. It is a useful design when not much is

known about an issue or phenomenon.

System Design and Methodology

Process Model

In this project the researches decided to use the waterfall model as their process

model due to its easy step by step process in developing a system. The waterfall model

is sequential design process, using the software developments process in which

progress is seen as dataflow like a waterfall.

Requirements Analysis

The requirements of the said application must be set first before creating and

constructing the system program. The requirements must be complete first before the

design is applied. And MYSQL database environment in running the server side of the

software.

After the requirements of the system have been emphasized, the next is

designing. The system can be design in ways that the researcher has to be specified

following the water fall model.

Implementation

Implementation followed after the verification of the desired design of the project.

Coding, Debugging, trial and error, prototyping of the system have been done in this

stage of processing.

Testing

The verification followed by implementation to test and see if what part of the

project is at risk. In this stage of processing is the modification of the system has been

done in this stage.

Deployment

 Is all of the activities that make a software system available for use. The

general deployment process consists of several interrelated activities with possible

transitions between them. 

Maintenance

After all the process had been done, the next is the maintenance of the system.

In this processing stage is for the observation of the performance of the system. The

system maintenance is applicable in a running system and should be maintain for the

system to perform well. When the system is deployed to the locale, Feedbacks and

conclusion of the system, functions and limitations have been documented for the

awareness of the system performance.

DEVELOPMENT TOOLS

The following software’s are used in developing the Enrolments System:

Microsoft Windows (or simply Windows) - Is a metafamily of graphical operating

systems developed, marketed, and sold by Microsoft. It consists of several families of

operating systems, each of which cater to a certain sector of the computing industry.

Active Windows families include Windows NT, Windows Embedded and Windows

Phone; these may encompass subfamilies, e.g. Windows Embedded

Compact (Windows CE) or Windows Server. Defunct Windows families

include Windows 9x and Windows Mobile.

Microsoft Visual Studio - Is an integrated development

environment (IDE) from Microsoft. It is used to develop computer programs for Microsoft

Windows, as well as websites, web applications and web services. Visual Studio uses

Microsoft software development platforms such as Windows API, Windows

Forms, Windows Presentation Foundation, Windows Store and Microsoft Silverlight. It

can produce both native code and managed.

MySQL Workbench Is a visual database design tool

that integrates, SQL development administration, database design, creation and

maintenance into a single integrated development environment for the MySQL database

system. It is the successor to DB Designer 4 from fabFORCE.net, and replaces the

previous package of software, MySQL GUI Tools Bundle.

C – Sharp (c#) - is a multi-paradigm

programming language encompassing strong

typing,imperative, declarative, functional, generic, object-oriented (class-based),

and component-oriented programming disciplines. It was developed by Microsoft within

its .NET initiative and later approved as a standard by ECMA (ECMA-334)

and ISO (ISO/IEC 23270:2006). C# is one of the programming languages designed for

the Common Language Infrastructure.

MAINTENANCE ISSUES

A requirement in maintaining the system is that it should be updated. It is

required and advice that the developers of the said system should maintain it constantly

or the school should hire a personnel that has knowledge on Microsoft Visual Studio

Languages. Furthermore the system is very sensitive. The staff could accidentally make

some unwanted changes which lead into some trouble in the system it is best to contact

a professional in maintaining it.

REQUIREMENT SPECIFICATION

The Following are the requirements in Developing the Enrollment System;

• The system should include a login page for user and admin to login and

manage the system as what their positions are.

• The system should have add, delete, update, and edit controls on them

• The system should be user friendly

• The system should be easily maintained by the users

the system only the administrator knows the password in this form.

This is where all the information of the users of the system is inputted only admins

can access and edit this form.

TESTING

During the testing of the system we found out many errors that were eventually

fix on the way to implementing the system. On the login form user login and Username

and password entry where fix and were successful. On the main menu some of the

main form buttons have some issues but we the researchers were able to fix it. The

main form add, edit, update, delete were successfully fix and all works according to

plan, fix account creation/registration in adding the account to the database also added

some security in case of lost accounts.

COMPATIBILITY

The system will run on mostly all windows OS we have not conducted running it on

other OS like Linux and Mac:

Compatible OS: Windows XP, Vista, Windows 7, Windows 8.

In conclusion to this, the system is still on its prototype stage any changes could

be applied in the future trough the researchers request or to the users of the system

which is the staff of IBA College of Mindanao the researches will look to in maintaining

the server in order to avoid unseen bugs of the system. This system will surely be a big

help to the auditing staff of the said school in making their work faster and less hassle.
