1. PARTICIPANT EVENT SCHEDULE
SUPPORT SERVICES
1. ON-SITE CONTACT INFORMATION
a. For any concerns on-site, please visit Event Control Room.
2. MEDICAL SERVICES
a. Ambulance services will be on-site from March 27 to April 2, 2018 from 8 AM to
8:30 PM on request.
3. SECURITY SERVICES
a. Security Services will be on-site 24/7 from March 27 to April 2, 2018.
b. Keep all of your equipment locked up. This is a large site and security can’t be
provided everywhere. Don’t leave your tools, computers and other equipment
lying around where they could be stolen.
c. Staff and organizers of ESVC-2018 are not responsible for any lost or theft.
4. WELDING SERVICES
a. Welding Services will be available at the two Hot Pits from March 25th
-29th
, 2018.
Teams will have to do the welding by themselves and there will be welder
available (If possible) to help teams. Arc welding machine will provided by the
organizer if possible, other welding machine like TIG and MIG will be arranged
by teams themselves. Please refer to schedule for available service hours.
b. There will be two appointed welders. Teams can avail this service free of cost at
their own risk.
c. For Hot Pits teams need to get the permission from Hot Pit Director.

Drivers’ Meeting Mandatory All designated drivers who intend to participate in the
dynamic events are required to attend the Drivers’
Meeting(s) whenever there is an announcement made.
Attendees should collect their TI sheet before departing
from their pits.
Drivers who will not attend the driver’s meet will not be
allowed to participate in the dynamic events.
Team Captains’
Briefing
Mandatory Team Captains are required to attend this short briefing
session, where organizers will be present to provide
reminders and address concerns that take place during the
course of the competition.

Session
Mandatory The Induction session is to introduce all participating
students to the fourth edition of the ESVC competition.
Important information shall be presented to the teams such
as any changes to the schedule and safety information. This
might be held before the opening ceremony.

Ceremony
Optional The Awards Ceremony is the closing ceremony where
winners will be presented with trophies. Other surprise
awards are in tow as well.
Teams’ Photos Optional Participating teams will have an opportunity to take a team
photo by our staff photographer, after the end of their
Design Event.

Scrutineering
The following area is the first in the line
of technical inspections, teams must
complete in order to participate in the
dynamic events.
Drivers should come in complete driver
safety equipment’s along with fire
extinguisher.
* Refer ESVC Rulebook for details.
There will be 3-4 bays. Staff shall queue
participating teams in the respective
bays or in the line-up preceding.
Technical Scrutineering line-up is on
first come first serve. A maximum of 3
team members will be allowed in their
designated tech bay during their
vehicle’s tech inspection.

Event Control: This is the location for
receiving static events scheduling, filing
protest forms, technical inquiries, lost
and found Concerns on site cleanliness,
hygiene and safety can be brought to
this location as well.If any team is found
keeping their pit dirty they will be
penalised with a fine of Rs.500/- and
also a penalty of 50 pts.

Ceremonies Stage This is the main area for majority of
meetings including the Driver’s
Meeting, Team Captains Briefing,
Welcome Ceremony and Awards
Ceremony.
Design Event The Design Event and the Finals will be
held in this location as well, in
designated bays. Staff will assist teams
in queuing for their designated time slot.

Paddock The Paddock Area consists of
designated pit spaces for participating
teams.
Pit spaces are to be kept clean at all
times. A pit that is severely damaged or
left with trash towards the end of the
event shall have bear the amount of
Rs.500/- along with a penalty of 50 pts.
The checking will be done daily at 8:30
am and 6:00 pm.
Power tools (heavy-duty operations) are
not allowed to be carried out in the
designated spaces. Please proceed to the
Hot Pits. If any team is found using
power tools in their pits they will be
fined Rs.2000/- and also a penalty of
100 pts.
Pre-Tech All teams must undergo an initial pre-
tech inspection in their designated pits
before being allowed to proceed to the
regular tech line.
Cost Event The Cost Event will be held during
static round of B-Plan .All teams must
carry original bills along with them.

Hot Pits There will be two hotpits provided.
This location is a designated space for
use of power tools for heavy-duty
operations and welding services.
Each team will have upto 20 minutes to
use the space, after which the space will
be allotted to the next team in line.
All participants within this area must have the appropriate safety gear such as goggles, gloves, ear muffs, fire extinguisher etc. A staff member/volunteer will check these items on your person before allowing you in the space.

Brake Test Teams may proceed to this area after
they have received their Technical
Scrutineering sticker
If during the course of dynamic testing
the vehicle sustains some type of
damage or significant mechanical
breakdown, the vehicle will be required
to exit the track and make the necessary
repairs. The Tech inspection sticker may
be removed from the vehicle by a
Practice Area Official thus requiring an
additional Tech Inspection prior to
participating in additional dynamic tests
or events.

It is the spotter’s responsibility to ensure that the
photographer / videographer does not move to a dangerous
location on the track. The spotter is not allowed to operate
any devices while he / she is in this role on an active track.
The media passes limit team members to only use them
when their vehicle is on track.
Media pass holders are required to follow signals from
officials on track at crossings. Media pass holders are to
stay in the designated media areas around the track.

F. EVENT SITE QUICK REVIEW – ADVICE, EXPECTATIONS AND
POLICIES
Alcohol and Drugs - Alcoholic beverages and drugs are not permitted on-site. Individuals
who possess alcohol or who are visibly intoxicated or high shall be expelled from the event.
Announcements - Although we have loudspeakers in various parts of the site, ESVC covers
a large area and it can be difficult for announcements to be heard everywhere. You can help
us make sure everyone knows what’s being announced by passing the announcements along
to your team-mates and others teams in your area. This is important and we appreciate your
help.
Ask Questions – If you have a question – ask! If you have any questions about any part of
the competition, the schedule, the procedures, the Rules or anything else, just ask one of the
officials. The first place to bring administration questions is to the staff in the registration
area and technical questions is to the staff at Event Control. Rules questions may be presented
to the technical inspectors. If we can’t give you an immediate answer, (Confession – We
don’t know everything)we know where to find the answer. It all starts with asking and
remember, there are no dumb questions.
Ask for Help - If you need help – ask. Ask the officials if any announcements can be made
requesting parts, tools or assistance.
Be on Time – The schedule is included in the Student Handbook and posted online. It’s your
responsibility to be on time.
Be Careful – Don’t take any chances when working on your vehicle - follow safe working
practices. It’s not just the pain - getting hurt delays what you’re doing.
Be Respectful - It is understandable that one may be visibly frustrated due to technical
failures throughout the event. Please keep your calm. Our staff and volunteers are there to
make the process easier for you. Mutual respect is requested from all participants and
volunteers. Yelling at staff members will not be tolerated. Also if any team/member is found
indulging in any type of activities which are harmful strict action will be intimated by the organizer.
Bring your Documentation – When you come to tech inspection bring all the
documentation and correspondence connected to your (1) SES submission and confirmation
email, (2) Impact Attenuator Data Report and confirmation email and (3) any Rules
Questions you submitted. The inspectors do not have this material and you may need it to
answer questions about your vehicle’s design and construction. The inspectors want you to
pass tech and pass it easily, but they need your help to make that happen.

Clothing - Closed-toe shoes are required in restricted areas such as Hot Pits, Dynamic Track,
Tech Inspection areas and Vehicle Test area. Long pants are preferred. Carry sun-block
whenever possible.
It is mandatory for all the members participating in ESVC 2018 to wear dresses which will
cover their hands and legs from direct sun exposure. No half hand shirts, half hand t-shirts
and shorts are allowed.
Don’t Run – Running tells people there’s an emergency. Don’t run unless life or limb is in
danger.
Drivers Meetings – Attending drivers meetings is mandatory if you are planning to drive.
Check the schedule.
Dynamic/Tech Area Passes - This pass is also used for tech inspection as we limit the
number of team members with the vehicle in tech to3. Closed-toe shoes are required.
Entering and Exiting the Site – All participants, volunteers and staff are required to have
their wristbands and name tags (ID cards) at all times on grounds.
Harassment - This is a student event and we hope to provide a safe and healthy environment
for all participants and volunteers. Any complaints of harassment will be taken seriously.
Offenders will be expelled from grounds.
Keep the Officials Informed – Keep the officials informed if you run into any problems that
For example, if you need a quick re-inspection to get to an event before it closes let us know -
the inspectors can be ready, but only if you keep us informed.
Keep your Pit Clean – We are responsible for keeping the parts of Kari Motor Speedway
used for Formula Bharat clean. Trashcans are provided in the paddocks and throughout the
Formula Bharat site. Please keep your paddock clean and make sure it completely clean
before your team leaves at the end of the event. PLEASE DO NOT leave any furniture, used
tires, etc. behind. Unclean or damaged pit spaces will result in the cleaning deposit being
withheld. INR 500/- per team along with penalty of 50 pts. If found damaged or dirty
Push Bar – You can only move your vehicle if you use the push bar – That’s the rule.
Security – Keep your equipment locked up. This is a large site and security can’t be
everywhere. Don’t leave your tools, computers and other equipment lying around where they
could be stolen.
Smoking - There is no smoking permitted on grounds.

Weather – We encourage you to be prepared for all weather types from sun to rain. Pack
long and short sleeve apparel, sun block, coats and comfortable closed-toe shoes.
