Welcome Welcome to the summer programme 2012 for Art and Design Studies with the Office of Lifelong Learning (OLL) of the University of Edinburgh. This handbook is intended to answer most of the questions you may have both before and during your course. You may wish to print a copy to bring with you when you attend. Art and Design Studies: Summer 2012 brochure and programme. The Art and Design Studies: Summer 2012 programme takes place over 4 weeks from 16 July to 10 August 2012. The Basics - Before your course begins: Disability and Special Requirements We ask you to identify in advance anything that might prevent you from getting the most from your course. If you wish to discuss a particular requirement then please contact the Art and Design Studies Administrator on 0131 650 4400 or at [email protected] who may offer to refer your requirement to the Office of Lifelong Learning Disability Officer. Course Information and Materials for your course The detailed Course Information document also contains a list of the materials required for your course. You will find that this list is divided into sections: materials and equipment which are provided for you as part of the course fee; materials which are required but that you can purchase during your course; essential materials which you must bring with you to start your course; materials which you may wish to use but should consult with your tutor about. We advise you to wait until you have started your course before buying any of the final group of materials. Your tutor will advise on exactly what you need and most of these additional materials will be available to buy in the eca College Shop or directly from the Office of Lifelong Learning. There is a rough estimate of total cost for each section. The exact amount that you spend will depend on the project you are working on. The Course Information documents with materials lists, how you will be taught and Learning Outcomes for each course are available at: www.ed.ac.uk/short-courses/art Your Course and Study for Credit Around half of our summer courses are credit bearing. This means that you can register for credit study and have your work assessed on a date later in the year. You will be asked to carry out additional work outside of the taught class times and after your course ends. Study for Credit is optional even if your course is credit bearing. You will be given an opportunity to register for assessment on the 2nd day of your course week so you may wish to familiarise yourself with what is involved ahead of starting your course. You will find the Art and Design Studies Study Guide to Credit and Assessment on our website at http://www.ed.ac.uk/studying/short-courses/art/credit/study. Please read through this Guide to help you to make a decision. Your tutor can also give you advice as to whether you are working at an appropriate level to have your work assessed. All students on any course receive the same level and quality of teaching regardless of a decision about credit study. The expected Learning Outcomes are always the same.

Car Parking If you would like to park in the college Keir Street car park during your summer school week/s you can arrange this after you enrol. Parking for summer students is charged at £5 per day and you can book 1 -5 days. You may find that you only want to use your car on Monday and Friday to transport your materials and equipment. Lockers (see page 5) are available for storage. To reserve a parking space please visit the University of Edinburgh Car Parking office located at 11 Infirmary Street, Edinburgh, next to the Procurement Office. Click here for a map showing the location of the office. The office opens at 8.45am and you can visit to arrange your parking at any time after you enrol on a course including on the morning of your first day, before you attend ECA for registration. You will need to bring along the email confirming your course booking as proof that you are studying with us this summer. Full Car Parking office hours are: Monday to Friday: 8.45am-12.30pm; 1.30-4pm Getting Started – Your first day (Mondays) Venue: All courses are taught at Edinburgh College of Art (eca), 74 Lauriston Place, Edinburgh. Use this link to find the location on a map: www.ed.ac.uk/maps/buildings/eca-main-building Registering for your Class – 9.00am to 9.30am On arrival follow the signs to ‘registration ‘where you will register and receive your name badge. As a security measure, all staff and students attending the summer programme should wear their name badges. Badges help everyone to know who’s who and they really do help each group to get organised quickly. 9.30 to 9.50am - There is a short orientation and Health and Safety briefing and the purchase of tea and coffee will be available. Your tutor will meet you at this briefing and take you to your studio to begin the course. 10.00am to 4pm - Class teaching with a break for lunch from 12.30 to 1.00pm. Refreshments breaks during class teaching may be taken at the tutor’s discretion. The rest of your course week 10.00am to 4.00pm - Class teaching daily with a lunch break from 12.30 to 1.00pm Tuesday – At some point during the day you will be asked to confirm whether or not you wish to have your work assessed. Your tutor will note this and forward the information to the Art and Design Studies Administrator who will contact you before the assessment date with more detailed information about where and when to submit your work for assessment. (The assessments for summer 2012 credit courses are due to take place during the week of 17 - 21 September 2012 at Edinburgh College of Art). Design workshops and Studios are closed at 4pm for health and safety and security reasons. An alternative workspace will be available but specialist tools and equipment will not. Drawing and Painting studios are open until 5.30pm Monday to Thursday and close at 4pm on Fridays. Early Evening Events - 4.30 to 5.30pm Each day, after the class teaching ends, there are additional free, optional events covering a range of topics which may be of interest. Events start at 4.30pm each day and last about 1 hour. Details about the Artist or Designer Talk on Tuesdays will be provided at registration.

Students using ILA Funds If you have enrolled and told us that you wish to use your ILA account towards the course fee you will be sent a Learning Token by ILA after you book. This is an important document so please keep it safely. The Token is the mechanism used to pay the fee for your course and should be signed and dated and given to the Office of Lifelong Learning. You must provide the office with the token in order to start your course. Lockers Students are asked to take responsibility for the security of any personal possessions, as the College is not responsible for personal items. Lockers are available in the Main Building for a £5 flat fee. If you wish to use a locker, please bring your payment to the janitors in the front hall of the Main Building on your first morning and they will allocate one to you. Please bring a small padlock with you; alternatively padlocks are available to buy from the Janitors for £2 each. You must clear your locker at the end of your taught week(s). Art Shop at ECA Within the College there is an art shop which can supply many of the materials required for the courses. The shop will be open during the summer programme from 8.30am to 3.30pm and is open during term time from 8.30am to 5.00pm if you wish to buy materials now. Library eca has created a spectacular new Library in the Evolution House building on Lady Lawson Street. Summer students can consult books, periodicals and audio-visual resources in the new library between 9am and 5pm Monday to Friday. Material may not be borrowed, but you are welcome to do research in the library. Cafeterias The newly refurbished ecafé will be open each day from 9.00am to 4.30pm for the sale of hot and cold drinks, hot and cold lunches and snacks. You can also bring your own refreshments if you prefer. Please do not eat or leave food in the studios. You are welcome to bring a packed lunch with you and you can take this to the Wee Red Lounge, an informal place to have both social and quiet time throughout the day. Alternatively, you could eat at the picnic tables in the quadrangle outside the Main Building – weather permitting. What should I wear? Please remember that you are coming to a working art college – there will be paint, plaster dust, stretchers with rough edges or nails protruding, chemicals - all in abundance so please remember to bring clothes that can stand up to the wear and tear of the studios. Edinburgh’s weather is very unpredictable and although we have sometimes been very lucky in past summers you should be prepared for the unexpected. If your course specifically indicates you will be working out of doors, a warm jumper or fleece, a pair of shoes or trainers (as opposed to sandals), an umbrella and a light raincoat will all be useful – but we hope you won’t need them! The Friday evening events are very informal and there is no need to change as they will just run on from the studio day. Models We use professional models, male and female, of all ages from 18 upwards. A number of courtesies are expected to enable models to carry out their work properly and your tutor will brief you on what is expected. Models are hard-working professionals whose commitment and

expertise contribute a great deal to all of our programmes, so please follow your tutor’s guidance, particularly with regard to noise, photography and privacy. Cleaning the college and the studios We try hard to ensure that studios, lavatories and other areas are clean and tidy but eca is a busy working art college over 100 years old. It isn’t possible to have the buildings thoroughly cleaned more than once a day and if you encounter a corner that’s been missed, please bear with us. Soap and paper towels are replenished each day but you might find ‘wet wipes’ useful in case these run out during the day. Health and Safety As well as the general health and safety information provided during the induction session each Monday, your tutor may discuss issues with you that are specific to your course and will brief you when you reach the studio. Your course materials list will indicate if you are advised to bring a dust mask, work gloves or any other specialist protective clothing. Please note this information and follow all advice provided. In the unlikely event that you are injured either in the studio or elsewhere on campus, please seek help from the University Servitor service. Most of these staff are trained first aiders. Please note that they cannot provide any non-prescription medication such as paracetamol. Assistance during your study week The Office of Lifelong Learning is located some distance from the eca campus. We will have a temporary satellite office on the eca campus for the duration of the summer programme. The office will be staffed Monday to Friday from 9am to 5pm. If you have a concern or question that your tutor is unable to assist with please seek help from us there. Dealing with Problems If you are experiencing difficulties with your course, then you should raise this first with your tutor. Most tutors work part-time so please ensure that if you need to speak to a tutor out of class time you are able to agree a mutually convenient time. Problems in the studio are extremely rare. However, if you feel you just don't hit it off with a tutor then please contact the Art and Design Studies Administrator to arrange a meeting with the Art and Design Studies Co-ordinator. If you prefer, you can complete our red ‘trouble shooting’ questionnaire, available from the Art and Design Studies office. These go straight to the Art and Design Studies Co-ordinator who will assess the situation and, where necessary, contact the tutor and you to work through a solution.

Where a student has booked accommodation to attend a summer course at Edinburgh College of Art, and the course is then cancelled, the University of Edinburgh is not liable for any part of the cost of accommodation or travel. Students are advised to take out their own travel insurance for such an eventuality. Please remember the following: • don’t wander about alone at night anywhere quiet or dark • be wary of using your mobile phone on the street at night • don’t carry large sums of money with you • use black taxis if you are at all unsure about how to get home – a taxi ride in central Edinburgh should cost £5 - £10 and the drivers are totally reliable. Do not use unlicensed taxis. Like so many large cities, Edinburgh has a homeless population. If you wish to give some support you may like to purchase The Big Issue, a magazine produced and sold on the street by homeless people. It is also worth noting that although much social life in Scotland revolves around hospitality where alcohol may be served, it is perfectly acceptable to ask for a soft drink if you prefer not to drink alcohol. Questionnaires We will issue every student with a questionnaire which you are asked to complete and return before the end of your course. This feedback is extremely important for our future planning, particularly in this, the first year of the summer programme since the merger of Edinburgh College of Art and the University of Edinburgh. Your tutor or another member of staff will distribute the questionnaires, which are anonymous, and make every effort to ensure that they can be returned to us. Please don’t hesitate to ask for one if, by the end of your week, you have not been given one. IMPORTANT: University of Edinburgh Policies Data Protection Act 1988 The University of Edinburgh holds information about everyone who applies to the University and everyone who studies at the University. We disclose information about credit students to your funding body if appropriate, and to government agencies such as the Higher Education Statistics Agency (HESA). If your application is successful, we use the information to administer your studies, maintain our IT systems, monitor your performance and attendance, provide you with support, and for strategic planning. If you have any questions regarding the University’s use of your information please contact the University’s Data Protection Officer ([email protected]) Disclosure of Criminal Convictions You are required to indicate on the enrolment form whether you have any relevant criminal convictions. Relevant criminal conviction are only those convictions for offences against the person whether of a violent or sexual nature, and conviction for offences involving unlawfully supplying controlled drugs or substances where the conviction concerns commercial drug dealing or trafficking. Convictions that are spent (as defined by the Rehabilitation of Offenders Act 1974) are not considered to be relevant and you should not reveal them. Applicants who indicate they have a relevant conviction will not be automatically excluded from enrolling however you may be asked to provide additional information relating to your conviction. If you are convicted of a relevant criminal offence after you have enrolled, you must inform Office of Lifelong Learning immediately. Cancellations The Office of Lifelong Learning may have to change or cancel courses due to unusual or unforeseen circumstances. In the case of cancellation by OLL appropriate course fees will be refunded. Other costs such as materials, accommodation and/or travel are not refundable by OLL and you should provide your own insurance to cover these. Refunds Refunds are normally only available if OLL had to cancel a course. You are advised to take out your own insurance if you think there is a chance you may be unable to attend any part of your course for medical or travel reasons or because of a change in personal circumstances. Liability The University of Edinburgh accepts no liability for accidents, theft, damage or injury which may occur during your course or while you or your property is on University premises. Students are advised to obtain appropriate insurance cover if they wish. Disruptive Behaviour The University of Edinburgh reserves the right to suspend the attendance and refund the balance of fees of any student whose behaviour proves disruptive to the development of a constructive teaching and learning environment. Any student found to be disruptive by the tutor will be offered the opportunity in the first instance to discuss problems with the Art and Design Studies Programme Co-ordinator.
