The summit, hosted by Piedmont Healthcare Wound Care and Hyberbaric Medicine Services in Atlan-ta, GA, will concentrate on the problem of bacteria in chronic wounds. The meet-ing format is uniquely designed to encourage discussion among the participants and faculty as they explore the complex issues associated with infection in chronic wounds. PLACEMENTThe assignment of presentation space will be on a fi rst come, fi rst served basis upon receipt of registration and deposit. Presentation space may be subject to change.

EXHIBITOR STAFF REGISTRATIONExhibit registration includes a maximum of one (1) representative per exhibit space. Exhibitors will be given a code for their registration and must register on the attendee website by April 12. Badges may be picked-up on-site.

Exhibit badges are not to be given or lent to any individual except the exhibit representative to whom the badge has been issued. SPONSOR CONDUCTFalse certification of individuals as company’s representatives, misuse of exhibitors badges or any other method assisting unauthorized persons access to the exhibit floor will be just cause for expelling the violator from the exhibition or barring him/her from further entrance to the exhibit floor or removing him/her exhibit from the exhibit floor without obligation on the part of Show Management for refund of fees.

Exhibitor personnel are expected to remain in their designated space and not view other sponsored presentations except by invitation of other

exhibitors. Interviews, demonstrations and the distribution of literature must be conducted within the designated area assigned to the Exhibitor.

Canvassing or distributing of advertising materials beyond the perimeters of the Exhibitor’s own designated area will not be allowed. Additionally, Exhibitors are prohibited from posting signs relating to presentation or any company activity outside the perimeters of the Exhibitor’s own exhibit.

Exhibitors may not place signage regarding any company related event outside their designated space at any time.

Exhibitors may not assign or apportion to others the whole or any part of the space allocated and may not display goods or services other than those manufactured or regularly distributed by the applicant(s).

COMPETING EVENTS/MARKETINGIt is strictly against the rules of our exhibit hall to distribute anything which markets or competes in any manner with the scheduled activities of this meeting. This includes any event or function not sanctioned by the AAWC held at adjacent properties between April 26-27, 2019. Violations may result in ineligibility for future meetings.

CANCELLATION POLICY

Notification of cancellation or reduction of space must be in writing to Show Management. If this agreement is canceled by the Exhibitor for any reason or by Show Management because of the Exhibitor’s default or violation of this agreement, monies paid to the AAWC by the Exhibitor shall be retained as follows:

> 50% of the sponsorship/presentation fee if application is canceled on or prior to March 29

> NO REFUND for any cancellations or reductions after March 30

GENERAL RULES & REGULATIONS

INSTALLATION SCHEDULE Exhibitors will begin set up on April 26, 2019 between 2:00-4:00pm. The exhibit hall will open promptly at 4:15 pm on April 26.

EXHIBITSIdentifi cation badges may be picked up at the registration desk. Up to 2 additional badges are available for $200. Badge exchange between exhibitor representatives is not permitted. AAWC requires that all representatives be registered for the meeting.

EXHIBIT ASSIGNMENTExhibitor table tops are assigned on a fi rst-come fi rst-served basis. Specifi c table top designations will be assigned and agreed upon at time of purchase. Changes can be made at the discretion of Show Management.

CONTRACTED EXHIBIT SPACEFull payment for table top fees must be submitted during registration. The completed registration and full payment for exhibit fees constitute a contract for the rights to use the space allocated only. Any person, or organization not having contracted with the AAWC for the occupancy of space in the exhibit hall will not be permitted to display or demonstrate products, processes, or services, solicit orders, or distribute advertising materials in the exhibit hall.

CANCELLATION OF EXHIBIT SPACEExhibitors are requested to telephone, fax or email the AAWC with cancellations. However, the cancellation is not eff ective until it has been received in writing at the AAWC offi ce. No refunds will be granted after March 29, 2019. If the exhibitor cancels before March 29, 50% of the total cost of exhibit space will be retained by AAWC if the exhibitor cancels on March 30 or later the AAWC will retain 100% of the total contract obligation. Any space not claimed and occupied, or for which special arrangements have not been made by 5:00pm Eastern on March 29 will be forfeited.

DEMOS & PRESENTATIONSExhibitor presentations may take place during exhibit hall hours. Exhibitor demos or presentations must be confi ned to the limits Exhibitor’s assigned space and technological needs cannot be guaranteed. The sound intensity of such

activities as determined by Show Management, must not interfere with the activities of neighboring exhibitors. Show Management reserves the right to determine at what point sound constitutes interference with others and whether it must be discontinued.

Demos and presentations must be straightforward in nature and must avoid the use of sideshow or theatrical gimmicks.

Videos and fi lms may be shown provided that the exhibitor provides power and the viewing screen is placed in the rear of the exhibit to eliminate congestion.

Any visual or other transmissions from off -site locations including tele-surgery require written permission from Show Management. Request forms for these educational events will be included in your Exhibitor Confi rmation Packet and must be completed and returned to the show offi ce.

DIRECT SALES & ORDER TAKINGExhibitors who sell merchandise in the exhibit hall, or who take orders on either a wholesale or retail basis, must meet Department of Revenue requirements for the city/state in which the exhibit takes place.

FOOD & DRUG ADMINISTRATORS (FDA)All medical devices or pharmaceuticals exhibited must have fulfi lled all applicable FDA regulations.

NON-FDA APPROVED DRUGS & DEVICESExhibitors are reminded that the FDA generally prohibits the advertising or other promotion of investigational or unapproved drugs or devices. The FDA also forbids the promotion of approved drugs or devices for unapproved uses. Unapproved Class III devices may be displayed only if they are the subject of an eff ective investigational device exemption (IDS). Class I or II devices that have not been approved by the FDA may be displayed only if they are the subject of a pending 501(k) pre-market notifi cation. Display of any investigational products is not endorsed by the AAWC.

Any investigational product (including any product subject to a pending 501(k) that is displayed or graphically depicted within the exhibit must:

• Contain only objective statements about the prod-uct: contain no claims of safety eff ectiveness or reliability

• Contain no comparative claims to other marketed products

• Display the statement “Caution- Investigational Devices” Limited to “Investigational Use” in promi-nent size and placement

• Not be sold or be the subject of order taking or lead retrieval until approved

Signage that is easily visible should be placed near the devices themselves and on any graphic depicting the device stating: “This device is not cleared by the FDA for distribution in the United States” or “This device is limited by Federal Law for investigational use only”

INSURANCE & LIABILITYInsurance on all exhibits is the responsibility of the exhibitor. The AAWC will not assume any responsibility for property loss or damage to personal property. The exhibitor assumes entire responsibility and liability for losses, damages, and claims arising out of injury. Exhibitors are advised and encouraged to carry insurance to cover their property against damage and loss and public liability insurance for claims of injury to the person and property of others.

Exhibitors shall indemnify and hold harmless the AAWC and Show Management, their offi cers, directors, agents, members and employees, and the designated convention facilities, their agents, and employees from any and all such losses, damages and claims.

Exhibitors agree to protect, save and keep the AAWC, Show Management and the Piedmont Atlanta Hospital forever harmless from any damage or charges imposed for violation of any law or ordinance whether occasioned by the negligence of the Exhibitor or its agents as well as strictly to comply with the applicable terms and conditions contracting in the agreement between Piedmont Atlanta Hospital and the AAWC regarding the exhibit premises and further an exhibitor shall at all times protect, indemnify, save and keep harmless the AAWC and Piedmont Atlanta Hospital against any and all loss cost damage liability or expense arising from, or out of or by reason of said exhibitor’s occupancy and use of exhibit premises or part thereof.

While Show Management and/or Hospital will provide security, furnishing of such security shall not be deemed to aff ect the non-liability of the AAWC or Show Management, their members, offi cers, representatives or Piedmont Atlanta Hospital to modify in any way the assumptions or risk provided herein.

If any part of the exhibit hall is damaged or destroyed in such a way as to prevent the AAWC or Show Management from allowing an exhibitor to occupy its assigned space during any portion of the exhibition or is shame is prevented by strikes, acts of God, national emergency, or other causes beyond the control of the AAWC or Show Management, their members, directors, or agents, or employees, for losses or damages that may occur due to such inability to occupy assigned space.

AMERICANS WITH DISABILITIES ACTExhibitors will be responsible for compliance with the Americans with Disabilities Act within their assigned exhibit space.

PHOTOGRAPHYAn exhibit or its products may not be photographed or videotaped without the permission of the legitimate occupants of that exhibit space. Show Management reserves the right to photograph exhibits for association purposes.

PIEDMONT ATLANTA HOSPITAL LIMITATION OF LIABILITYThe exhibitor assumes the entire responsibility and liability for losses, damages, and claims arising out of the exhibitor’s activities on the Hospital premise and agrees to indemnify, defend and hold harmless the Hospital, its agents, servants and employees from any and all such losses, damages and claims.
