Exhibits are open only when the conference sessions are not being held. Exhibitors/Sponsors are expected to staff their space during the hours listed here. Exhibits will be in the International Ballroom I, II & III (see below).

CANCELLATIONS:
AWS must be informed in writing regarding intent to cancel no less than 30 days from the first date of the event. The official cancellation date will be the date written notification is received by AWS. Should an exhibitor cancel, all payments received by the official cancellation date will NOT BE REFUNDABLE.
OTHER REGULATIONS:
No display items will be allowed anywhere off the table area except that backdrop displays are allowed and table logo draping will be allowed over the front of the table. Any additional services such as electrical service will be at the expense of the exhibitor to be arranged directly with Katrina Lopez ([email protected]). Each exhibit representative agrees to abide by these regulations. On-site AWS staff shall have the right to enforce these regula-tions and may shut down any exhibit that does not comply without refund.

TRANSPORTATION:The closest airport is Long Beach Airport (LGB), which is only 7 miles away from the host hotel. Alternate airports include Los Angeles International Airport (LAX), which is 20 miles from the hotel and John Wayne Airport (SNA) which is 28 miles.

The Hilton Longbeach strives to provide our guests with a convenient and efficient method of receiving packag-es. A few important procedures must be followed in order to insure that guest packages are accounted for and delivered promptly.
LABELING
We ask that when labeling packages, the following details are provided on the label:

Please do not indicate any AWS staff name on the label. This can cause your package to be “lost”, since the ship-per may try to deliver to an office, or to a person who may be unavailable at that time.
The Hilton Longbeach cannot be responsible for mislabeled packages.
SHIPPING
Shipments will only be accepted within 5 days of the conference or convention.
Special arrangements are necessary for any large shipments. Labor and storage charges* may apply and are to be arranged directly with Katrina Lopez ([email protected]) in advanced of such shipments.We thank you for your cooperation.

Exhibitor assumes entire responsibility and hereby agrees to protect, indemnify, defend and save the American Welding Society, the Hilton Longbeach, and/or their affiliates, agents and employees against all claims, losses and damages to persons or property, governmental charges or fines or attorney fees arising out of or caused by Exhib-itor’s installation, removal, maintenance, occupancy or use of the exhibition premises or a part thereof, excluding any such liability caused by the sole negligence of the American Welding Society, the Hilton Longbeach, and/or their affiliates, agents and employees.
In addition, Exhibitor acknowledges that the American Welding Society, and the Hilton Longbeach do not maintain insurance covering Exhibitor’s property, and that it is the sole responsibility of the Exhibitor to obtain sufficient liability, business interruption and property damage insurance covering such losses and damages.
