INTRODUCTION

About this guide This user guide contains information and procedures for the Report Centre component of ANZ Transactive – Global.

This user guide will be updated when there is new and/or updated information. Please ensure you regularly check the available version for the most up-to-date copy. We recommend that you read this guide in conjunction with the applicable product terms and conditions.

Online Help The online help in ANZ Transactive – Global allows you to access screen specific help and frequently asked questions.

Online Resources You can access the ANZ Transactive – Global Quick Reference Guides, User Guides and other information from the Online Resources page. To access the page, click on the Help icon within the application and then the Online Resources link.

REPORT CENTRE

Report Centre in ANZ Transactive – Global provides access to create Report Profiles, Scheduled Reports and view your account balance and transaction reports.

Report Centre Menu Options The following table contains the list of menu options that are available.

MENU DESCRIPTION

Report Profiles This screen allows you to set up, manage and share user defined reports with other users in your organisation. These can be run on an ad hoc basis, scheduled or saved for future use.

Scheduled Reports This screen allows you to set up and manage reports that you would like to run or be emailed to your registered email address on a scheduled basis.

Download Reports This screen allows you to view all reports generated from an ad hoc request or that were scheduled for download.

Reports Available The following table contains the list of reports that are available. You will not be able to see reports types that:

> You do not have permission to view > Are only available in specific markets for customers that subscribe to the service

REPORT DESCRIPTION

Account Statement Report Provides daily balances and detailed transaction activity of accounts for the selected date ranges.

Account Summary Report Provides the balance summary of all operating accounts.

Balance Summary Report Provides the balance summary of an operating account across a date range or for a particular date.

Beneficiary Advice An advice to inform the payment recipient that funds have been transferred to their account.

Beneficiary Audit Report Provides an audit report for changes made to a beneficiary in the Payee List.

Card Level Limit Utilisation Report Shows what percentage of the card limit is being utilised for each Commercial Cards Billing Entity.

Card Report Provides a summary of the number of new, closed, lost, stolen, active and in-active cards for each Commercial Cards Billing Entity.

Credit Advice An advice to inform you that funds have been deposited to your account.

Daily Balance Report Provides information on debits, credits and changes in the daily balance of operating accounts across a date range or on a particular date.

Debit Advice An advice informing you that the funds for a payment processed through ANZ Transactive – Global have been deducted from your account.

Deposit Summary Report Provides a summary of all term deposits across all of your companies/divisions that you are entitled to view.

Electronic Statement Provides Commercial Cards users with the ability to download statements for a billing entity or card.

Net Position Report Provides a report with the aggregated balances across different accounts that you are entitled to view.

REPORT DESCRIPTION

Non-Purchases Transaction Report Provides a report detailing which Commercial Cards have not made purchases during a specified period.

Payment Audit Report Provides summary information of a payment and includes: > Payment date, type, status and totals > Users who created, approved and modified the payment

Payment Detail Report Provides a detailed payment report including the payment header details and full details for each transaction in the payment.

Payment Summary Report Provides summary information of a payment.

Receivable Detail Report A report detailing the inward transactions to your account.

Returned Item Files Provides a TXT file that contains details of returned debit and credit payments as well as the returned cheques, including the reason for returns.

Returned Items Cheque Report Provides a summary of the returned cheques deposited to account that have not been paid by the drawer’s bank.

Returned Items Payment Report Provides a summary of the electronic returned debit and credit payments including the reason for returns.

Statement of Charges Report Provides the details of fees and charges incurred for payments and services.

Supplier Group Report Provides a summary of the exchanges to a supplier for each Commercial Card billing entity.

Template Audit Report Provides an audit report for changes made to a template.

Template Detail Report Provides a detailed report including the template header details and full details of beneficiary instructions.

Template Summary Report Provides a summary of a payment template, including beneficiaries and amounts.

Transaction Details Report Provides detailed information about transactions.

User Activity Report Provides a report detailing users’ interactions with the system, including timestamps, IP addresses, services, functions and actions involved.

REPORT PROFILES Menu > Report Centre > Report Profiles

The Report Profiles screen allows you to setup, manage and share with other users different types of reports to suit your needs. Reports can be run on an ad hoc basis, scheduled to run at a particular time and saved for future use.

> Use the Control Bar to quickly and easily access key tasks. See the Getting Started User Guide for full details. > Change the View to display reports you have created or shared reports > Click New to Create Report Profile > Use Settings to save the View and Group selected > Click on a row to view the details screen > Right-click on a row to Run, View, Edit or Delete a Report Profile

There are four default reports that are available:

1. Daily Account Statement Report (shows data for yesterday) 2. Monthly Account Statement Report (shows data for last month) 3. Daily Account Summary Report (shows data for yesterday) 4. Monthly Balance Summary Report (shows data for last month)

Report Profiles Columns

COLUMN DESCRIPTION

Report Name Name of the report.

Report Type Type of report, e.g. Account Statement, Balance Summary.

Report Description Description of the report.

Shared Indicates if the report is shared.

Shared By Indicates the user who shared the report.

Schedules Indicates the number of associated scheduled reports that have been created for the report profile.

Create Report Profile To create a Report Profile, follow the steps below:

1 Click New in the Report Profiles screen. RESULT: The New Report Profile screen will be displayed.

2 Enter the Report Information:

NOTE: Options available are dependent on your entitled applications and services. Report Format* Choose from CSV, XLSX, PDF, MT940, BAI2, Multicash, Statement Files, NZ Statement

Files or TXT. NOTE: Options available are dependent on the Report Type selected.

Group Transactions If you have selected an Account Statement Report in a PDF format, you can choose to Group Transactions which means that, the transactions for each day will be grouped by debit / credit amount and transaction type.

Exclude Account Balance

If you have selected an Account Statement Report in a PDF format, you can choose to exclude balance information from the report. The report will be generated as a Transaction Summary Report.

Generate with additional information

If you have selected an Account Statement Report in a CSV or Statement Files format, you can choose to produce the report with additional information. Where there is no additional information available, the value will be set to “”.

Report Language Choose from English, Traditional Chinese, Japanese, Vietnamese, Khmer or Simplified Chinese. NOTE: Options available are dependent on the Report Type selected.

Report Encoding Only applicable for some report formats. The encoding options are based on your language selection. For English, UTF-8 is available as the default pre-selection. Choose from:

> English: UTF-8, US-ASCII > Traditional Chinese: Big5, UTF-8 > Japanese: Shift-JIS, 1byte Kana, UTF-8 > Vietnamese: Windows, UTF-8 > Khmer: UTF-8 > Simplified Chinese: GB2312, UTF-8

Report Name Enter a name for the report (up to 20 characters). Share This Report (checkbox)

Tick to share this report with all other users in your organisation.

Report Description Enter a brief description for the report (up to 100 characters).

Schedule (checkbox) Tick to schedule the report to be run at a particular time. *Mandatory fields

NOTE: Below describes the filters that are available across all reports. You will only see those relevant to the Report Type selected.

FILTER DESCRIPTION

Account Type Choose to filter by Operating Accounts, Deposits or All. Show Data For

Specify the period for which you would like to view the report. The options are:

> Yesterday > Week to Yesterday (current week, beginning Monday, to yesterday, e.g. if

Wednesday, data will include Mon, Tues of current week)

> Previous Week (Mon-Sun of previous week) > Month to Yesterday (current month to yesterday, e.g. if Wednesday 3 Dec, will

include Dec 1, 2) > Previous Month

> Last Business Day NOTE: Select a month and year for the Card Level Utilisation Report, Card Report, Non-Purchases Transaction Report and Supplier Group Reports.

Show Data For (Value Date) Show Data For (Last Modified) Show Data (Charge Date)

Specify the period for which you would like to view the report. The options are: > Today

> Yesterday > Week to Date (current week, beginning Monday, to today) > Previous Week (Mon-Sun of previous week) > Month to Date (current month to today) > Specific Data > Date Range

Billing Entities > Click Add to add billing entities to your report filter. Select available billing entities from the pop-up and click Add Selected Billing Entities.

> Remove a billing entity from the report filter by selecting the billing entity and clicking Remove

Account Statement Header Choose to show the statement header for: > One Per Day > One Per Date Range

Transaction Code Choose to filter by SWIFT Code or BAI Code.

Multilingual Narrative (checkbox)

Tick if you wish to enable multilingual narratives (where non-Latin characters are allowed).

Value Date Required (checkbox)

Tick to include a Value Date.

Filter By* Choose to filter report data by Currency or by Accounts.

Select Currencies Available if you select Currency from Filter By. > Click Add to add currency types to your report filter. Select available currencies

from the pop-up and click Add Selected Currencies.

> Remove a currency from the report filter by selecting the currency and clicking Remove

Select Accounts Available if you select Accounts from Filter By or if you select a Division for payment reports.

> Click Add to add accounts to your report filter. Select accounts from the pop-up and click Add Selected Accounts.

> Remove an account from the report filter by selecting an account and clicking Remove

NOTE: You can only select one account for an Account Statement Report and Account Summary Report where the requested data is for Today.

Status Choose to filter by All, Matured, Outstanding and Rolled Over. Selected Deposits > Click Add to add deposits to your report filter. Select deposits from the pop-up

and click Add Selected Deposits.

> Remove a deposit from the report filter by selecting a deposit and clicking Remove

Debit/Credit Choose to filter by Credit, Debit or Both.

BAI Code Enter the BAI Code to add to your report criteria. Tran Type Enter the Tran Types to add to your report criteria. Note that the Tran Type is case

sensitive. Select Payments From Choose to filter by:

> Current Payments: Payments that have not yet been sent for processing > Past Payments: Payments that are in a Completed, Completed with Errors or a

Bank Rejected status

Payment ID Enter part or all of a Payment ID to add to your report filter. Payment Reference Enter a payment reference to add to your report filter.

Reference Choose from: > ANZ Reference > Remitter Reference

ANZ Reference Enter an ANZ Reference to add to your report filter.

Beneficiary ID* Enter part of or the exact Beneficiary ID. Beneficiary Name* Enter part of or the exact Beneficiary Name.

Beneficiary Nickname* Enter part of or the exact Beneficiary Nickname. Status Select one or more Beneficiary Statutes.

Beneficiary Country Enter part of or the exact Beneficiary Country. Template Name Enter part of or the exact Template Name.

Template Description Enter part of or the exact Template Description. Template Status Select one or more Template Statutes.

Division* > Click Add to add divisions to your report filter. Select divisions from the pop-up and click Add.

> Remove a division from the report filter by selecting the division and clicking Remove

Payment Type > Click Add to add payment types to your report filter. Select payment types from the pop-up and click Add.

> Remove a payment type from the report filter by selecting the payment type and Remove

Payment Status > Click Add to add payment statuses to your report filter. Select payment statuses from the pop-up and click Add.

> Remove a payment status from the report filter by selecting the payment status and Remove

Include Beneficiary Details (checkbox)

Ticked by default. Untick to view only batch level details.

Total Payment Amount Add a total payment amount to your report filter. Include instruction level charges information if available

Select to include instruction level charge information in a bulk debit batch.

Payment Purpose Choose to filter by Normal (non-salary) or Salary. Select Users* > Click Add to add users to your report filter. Select users from the pop-up and

click Add. > Remove a user from the report filter by selecting the user and clicking Remove

Select Functions* > Click Add to add a function to your report filter. Select functions from the pop-up and click Add.

> Remove a function from the report filter by selecting the function and clicking Remove

4 Enter the Schedule Information (if required):

FILTER DESCRIPTION

Schedule Name* Enter a name for the scheduled report. Time Zone Select a time zone for the report schedule from the drop-down menu. This will

automatically default to the time zone setting of your ANZ Transactive – Global login. Change the default in Settings & Preferences.

Schedule Period* Select the period you would like the scheduled report to run from the calendar. Your start date can be any date from the current date onwards. When editing a scheduled report that began in the past you will need to change the date to a future date.

Frequency Select the scheduled report frequency by:

> Daily > Weekly > Monthly

Run On Available if you select Weekly or Monthly as the Frequency of the report. Select your preferred day of the week or day of the month as required.

Run Time Choose what time of day (using Hours and Minutes) from the relevant drop-down menus in this field. If you require a report for today, ensure the Run Time is not in the past.

Deliver by Email (checkbox)

Tick if you would like the scheduled report to be delivered to you via email. NOTES: 1. The email address used will be taken from your user profile information. To register or

change your email address with ANZ, contact the Customer Service Centre if you are a security device user, or your Administrator if you are a password user.

2. To access your report you must have set up a Report Retrieval Code (password) in Manage my preferences

5 Click Save. RESULT: The profile will be created and available from within the Report Profiles screen.

Run Report Profile To run a report profile from the Report Profiles screen either:

a) Select a report from the list and click Run from the Actions menu b) Right click on a report in the list and click Run c) Click on a report in the list to view the report details and click Run at the top of the screen

The report will be available at the bottom of your screen, in the Download Centre or in Report Centre > Download Reports.

SCHEDULED REPORTS Menu > Report Centre > Scheduled Reports

From the Scheduled Reports screen you can setup and manage reports that you would like to run or emailed to you at regular intervals.

Scheduled Reports Columns

COLUMN DESCRIPTION

Schedule Name Name of scheduled report.

Report Type Type of report, e.g. Account Statement, Balance Summary.

Status Status of the scheduled report, e.g. Active or Inactive.

Frequency Frequency of the scheduled report.

Last Run Date Last date the report was generated.

Next Run Date Next date the report will be generated.

Start Date Date the scheduled report started.

End Date Date the scheduled report will end.

Report Profile An indicator to show if there is a Report Profile created from the Scheduled Report.

Create Scheduled Report To create a Scheduled Report, follow the steps below:

1 Click New in the Scheduled Reports screen. RESULT: The New Scheduled Report screen will be displayed.

2 Enter the Schedule Information and Report Information:

FIELD DESCRIPTION Schedule Name* Enter a name for the scheduled report.

Time Zone Select a time zone for the report schedule from the drop-down menu. This will automatically default to the time zone setting of your ANZ Transactive – Global login. Change the default in Settings & Preferences.

Schedule Period* Select the period you would like the scheduled report to run from the calendar. Your start date can be any date from the current date onwards. When editing a scheduled report that began in the past you will need to change the date to a future date.

Frequency Select the scheduled report frequency by: > Daily > Weekly

> Monthly Run On Available if you select Weekly or Monthly in the Frequency field. You can choose your

preferred day of the week or day of the month in this field. NOTE: A warning message will be displayed if you select 29, 30 or 31 as your preferred day of the month as no report will be generated for the months that do not have this number of days.

Run Time Choose what time of day (using Hours and Minutes) from the relevant drop-down menus in this field. If you require a report for today, ensure the Run Time is not in the past.

New/Use Existing To use the details of a Report Profile, select the Use Existing option and select the report from the Select A Report pop-up window. RESULT: The report details will be populated and you can save the Scheduled Report (see Step 4).

DOWNLOAD REPORTS Menu > Report Centre > Download Reports

From the Download Reports screen, view all reports that have been generated on an ad hoc request or from a report schedule.

> Use the Control Bar to quickly and easily access key tasks. See the Getting Started User Guide for full details. > Change the View to display information for a different date range. You can only select a date to view that is less

than 45 days as reports are held in the system for this length of time.

> Use Settings to save the View and Group selected > Right-click on a row to Download or Delete a report

NOTES: If you have requested a report that contains a large amount of data, it may not be available straight away. Simply click the Refresh button to update the downloads available.

Download Reports Columns COLUMN DESCRIPTION

Report Date and Time Date and time when the report was created.

Report Type Type of report, e.g. Account Statement, Balance Summary.

Report Name Name of the report.

Report Format Format of the report, e.g. CSV, XLSX etc.

Report Status The download status of the report, i.e. Ready for download, Download pending or Not available for download.

File Size File size of the report.

Run Type Type of download: User Requested or Scheduled.

Report Description Description of the report.
