nights or $45,525. Penalty applies if room nights fall below 304 rooms (75%). Food

12. Hospitality Room Location/Confirmation of Use of Alcohol: Ground floor of hotel

located with other meeting rooms, Opex A & B. Hours of operation as per schedule.

Own alcohol was authorized in hospitality room. Room was heavily used throughout

the convention.

13. Discuss any issues on Agenda and Meals: Agenda was followed as per wishes of

National President. Meals were a set cost of $15.00 per plated meal for 5 breakfasts;

$20.00 per plated meal for 5 lunches; and $40.00 per plated meal for 3 bqoquets. Hotel

provided tickets for $10.00 breakfasts each morning for meeting non-attendees. $5.00

per person was charged at the Colonial Ladies at the Table to cover the cost of toasting

glasses, wine was provided at no cost from chapter member.

14. Statue of Convention Book Ad Sales: This year's souvenir book was the largest in

terms of ads sold and color ads purchased in recent history.

15. Status of Convention Book and Sales; problems or issues: The Souvenir book was

printed and delivered to the host hotel on 30 May. The biggest issue with the book is

the need to package and mail copies to individuals/chapters/organizations that

purchased ads but did not attend the convention to pick up their copies.

16. Brief Summary of Tours and Related Activities Planning: Two tours were scheduled

and provided to the attendees; 1) Lauritzen Gardens - 2 June with 21 attendees and 2)

The Durham Museum - 3 June with 19 attendees. The biggest problem with tours is last

minute additions and/or cancellations.

17. Brief Summary of Transportation Planning {to/from hotel and any other

activities) and any issues: Transportation committee utilized POV and Shrine

van donated by the local (Tangier} Shrine Center. All arriving and departing

attendees were transported whose schedules were known and who wished

transportation. Cooperation from the local airport was exceptional.

Bennington Banquet

Bro Dan Draper portrayed Bro Teddy Roosevelt at the opening breakfast

Ray "Bubba" Sorenson spoke at the Americanism Breakfast

Nine Past Grand Masters of Masons of Nebraska attended the Bennington

Banquet

19. Brief Summary of Meeting Planning Highlights: Contract was signed in December

2013 after numerous negotiation meetings prior to that time. Bro Howard Sobel,

NASOCOCO, conducted the final negotiations prior to final signing. Planning meetings

began in 2014 with bimonthly meetings early in the year, monthly meetings from Jul 14

to Mar 15, and weekly meetings the last 2-3 months. Planning meetings with hotel staff

began in early 2014 and continued with increasing frequency thru May 2015. The hotel

staff (key managers) turned over 4 times during the 1 Yz - 2 years of planning which

necessitated in some instances virtually starting over from square one. With not only

established agreements changing but also significant planning being changed. Be aware

of potential staff, manager, owner, etc. changes and get all agreements and decisions in

writing.

20. Summary of Planning Issues/Problems: The most significant problem early was

registration issues. The hotel was reticent to increase our room night availability. There

were several instances of members having a hard time registering due to inconsistencies

between local and national phone numbers, room charges that were not as published

and no pre/post room availability.

22. Additional Information at the Discretion of the Chapter Manager: Omaha Chapter# 19

held fund raisers and raffles to obtain the necessary monies to front expenses to begin

the convention process. Several members spent out-of-pocket monies to obtain items

necessary to put on a convention. Those expenses which are not reimbursable were

paid by chapter funds from fundraising. The items which are reimbursable are included

in an annex with receipts for NASOCOCO reimbursement. Omaha Chapter# 19 should

receive an amount approximately equal to $3504.24 which is 20% of the Souvenir Book

Ad sales. The chapter should also receive the $500.00 allocated for hospitality room

activities. Also are included are receipts for reimbursable items which include; printing,

postage, shipping, toasting glasses, and other acceptable reimbursable items.

Registration/Credentials After Action Comments

General Comments

I thought the Registration/Credentials team was organized and processed

incoming members efficiently. In general, the registration materials were

accurate and complete. There were some errors in spelling attributable to

varying causes. (See lessons learned comments below). The Credentials

team developed a strategy to track the number of registrants and number

of chapters represented and had the information available to answer the

Quorum call during the business meeting.

I felt prepared for the actual registration process at the convention

because of the knowledge I gained during my many extended

conversations with Jim Benson. His coaching and insights were key to

"expecting the unexpected.'1 We understood going in to expect the walk ins,

cancelations, meal changes, and payment issues we would have to handle.

Base on his recommendations we had "blank" registration packages on

hand along with blank name tags etc. to service walk-ins.

We were not able to take possession of the registration storage area until

Monday morning at 8 am. Over two hours were required to transfer our

registration material to the storage area and we were barely ready to open

at the scheduled 11 am time. While this did not impact our scheduled start

time, we had customers lined up well before we were ready to service

them. Recommend ensuring storage is available on Sunday pm.

Lessons learned.

I was asked by Janine Kovack, NSI Secretary, if the lessons learned data

posted on the web site were helpful. (I was un-aware of any LL on the web

site and wasn't able to find any when I search the site later.)

Budgeting process and guidance.

The registration sub-committed did not develop any effective budget

planning process, at least during the early phases of the project (I believe

this can also be said for the larger convention planning team). I attribute

that primarily to the fact that the team had no real world experience

hosting a convention. Speaking from the registration perspective, as the

various tasks were defined and required support materials identified is

was easy to develop and budget for them, but during the early planning

phases many of these elements were unknown and hence not initially

budgeted (also we had to do some initial research to develop budget

ranges for many "known" items). Registration items included materials

such as Tote bags and Food items; Registration package items such as

Kraft envelopes, Card stock, Various sizes of mailing labels, Banker

storage boxes, paper cutter, and printing supplies, etc.

Spreadsheet Related Notes and Comments.

The first big item that caused a significant time impact for the Registration

committee was the physical structure of the registration spreadsheet. The

first column in the spreadsheet was a column that establishes the

individual meal costs for each meal. In earlier versions, the first row

contained the normal heading data (i.e., last Name, First Name, etc.). The

issue here is that when using MS Word to do a mail merge and extract

data from a MS Excel spreadsheet it "assumes" the first row contains the

header data. In this instance the majority of cell in the first row were blank

which made it extremely tedious and time consuming when building mail

merges. (i.e., Name tag extracts meal ticket orders, etc.)

Additional data population of the spread sheet would have been helpful. I

used the "Nick Name" field to build the convention name tags. When

individuals left the Nick name field blank (the spreadsheet reflected the

blank). I had to manually copy individual first names into the Nick Name

field to build the product. The problem was that with each successive

update to the spreadsheet (additional registrations) I lost all of the time

consuming customizations I had made to the previous one.

(Significant others with different last names.) There was no way in the

spreadsheet to distinguish ladies with different last names. There are only

four name related fields in the spreadsheet, Last Name, First Name, Ladies

Name, and Nick Name. I only identified the issue after I got names of

ladies on the tours that did not match any registered Sojourner. The only

possible cross check is the hardcopy registration form which usually

followed one or two weeks later. Until the issue was identified we never

checked the hardcopy for different names. Recommend adding a separate

record in the data sheet immediately below the sponsor and include the

correct first and last names.

(Data vallda/1011; correction and update procedures.) There were no "formal"

documented procedures (that I know of) for identifying, reporting,

correcting, and disseminating corrections to the registration spreadsheet. I

recommend a process be implemented for those individuals involved in

the registration process to formalize submission of suggested corrections

to the National Treasurer and to highlight accepted corrections included in

subsequent releases of the spreadsheet. This would provide the N.

Treasurer with additional validation sources to further enhance accuracy,

and the highlighted corrections will help those users of the data, by

flagging the corrected data, e.g., It would help me identify errors in

products which I had produced earlier using the incorrect data.

(Data Valtdation lmprove1nents.) In hindsight, we could have improved the

accuracy of our final products. There were approximately four instances

where the Nick Name data was incorrectly transferred over from the first

name field. Placing the Nick name field next to the First Name would

probably eliminated the problem. Unfortunately the problems were not

identified until the registered individuals arrived to register.

Closing Comments.

(Non-Registration Related Activities.)

The last half of the week the registration area served primarily an

Information desk. (We had fewer than 15 members who had not checked

in by that time.) While we supported many walk up requests for

assistance, there were also many cases where the registration team itself

did not have the information available to answer the question. Examples

include banquet seating arrangements (co-located but not our area),

Transportation & Tours (Departure times posted at the Reg. Desk for sign

up but managed by that committee), Souvenir book pick up for those who

purchased ads. This consolidated approach with different teams

collocated seemed to work fairly well when each area was represented.

The only issues were when registration was alone and unable to provide

the requested assistance. Recommend registration areas be augmented

with those other areas of expertise during normal hours of operation.

01 - 06 June 2015 Chapter# 19 Transportation and Tour Committee

After Action Report

Overall Assessment: The Transportation and Tour Committee to support the 2015 Annual National Sojourner Convention in Omaha was a successful endeavor overall. The tours developed by the Transportation and Tour Committee to the Lauritzen Botanical Gardens and the Durham Museum seemed to fit into the timing events of the conference and also were well received by those who participated in the tours/visits. The transportation to and from the Epply Airfield to the Regency Marriot was commented on by attendees as best seen to date and, for the most pa11 with the exception of three visiting attendees, all were picked up from the airport. All attendees who wanted rides back to the airport were covered and delivered on time or well ahead of time concerning departure times. l will now break down the Transportation and Tour Committee's expenses and the good and bad observations to be recorded in the final report to National Sojourners and to potentially act as information sharing paper for future Chapter's hosting the national event.

~ll~filU'~~ The items listed below are expenses that where incurred to be able to provide the tours and transportation services provided at the 2015 National Convention.

1. Lauritzen Botanical Garden Tour 2 June 2015 - Omaha Chapter 19 charged attendees either $30 for tour with no lunch or $33 for the tour with a lunch and we in the end 21 attendees for the tour which we also included a tram ride throughout the gardens as part of the tour. The total collected for the 21 attendees for the tours was $693. The tour was from 1 O AM in the morning to 1 :30 PM in the afternoon, totaling three and a half hours, four hours total with transportation from the hotel and to the tour and back. The expenses for tour were as follows;

a. Admission, tram services and lunch at botanical gardens for 21 attendees- $444

to b. Shuttle bus to deliver and pick up tour attendees for Regency Marriott

Lauritzen Gardens - $165

2. Durham Museum Tour 3 June 2015- Omaha Chapter 19 charged attendees either $27 for tour with no lunch or $30 for the tour with a lunch and we in the end

13 attendees for the tour The total collected for the 13 attendees for the tours was $390. The tour was again from 1 O AM in the morning to 1 :30 PM in the afternoon, totaling three and a half hours, four hours total with transportation from the hotel and to the tour and back. In this case because of the limited attendees we were able to cover the transportation to and from the museum with the vans we were using for the airport pick-up and delivery, saving Chapter 19 money concerning a shuttle bus.

a. The admission, and lunch at museum for the 13 attendees- $165 3. The Transportation and Tour Committee also arranged for pick-up and transportation back to the airport for attendees of the National Convention. We had three vehicles assigned to this task. The three vehicles were a Ford Transit Connect cable of seating six with driver without bags and four with driver comfortably with bags, a Ford Transit capable of seating seven with driver comfortably with or without bags, and lastly a Ford Econoline van with seated six with driver without bags and five with driver with bags. Two for the vans were owned by members of Chapter 19 (Ford Transit and Transit Connect) and the other was borrowed from Tangier Shrine of Omaha. The vans were also used one night to transport members of the Wright Brother's Chapter to and from dinner at Anthony's a local steak house in the Omaha area. They were also used to transport a couple other special requests to visit malls and the Strategic Command Air Museum. The expenses encountered for these vehicles are as followed.

a. Gas in Transit Connect for 1-6 June 2015 -- $ 112 (donated to Chapter and Convention by member)

b. Gas for Transit for l-6 June 2015 -- $75 (donated to Chapter and

Convention by member)

c. Gas for Shrine Van and wash on returning van-- $80 ((donated to

Chapter and Convention by members)

Good/Positive Observations: There were a couple of observations of how the Transportation and Tour Committee operated that are of note and may be helpful for other Chapters hosting a National Sojourner Annual Convention and are as follows;

1. Tours were scheduled well in advance of event and flyers were developed to be placed on the National Sojourner's Web Site well in advance with deadline for sign-ups to ensure Tours were properly organized.

2. Drivers during pick-up and delivery of attendees to the airport where in

constant communication, and utilized technology to track flights on arrival to determine timeliness and ensure personnel were there to pick-up attendees.

3. Attendees arriving at the airport were contacted by either text, e-mail or telephonically if they had those listed on registration to ensure timely pick-up and to add a personal touch to letting attendees know someone would be there for them.

Bad/Negative Observations: As with any event there are things that can always be done better and improved upon. The Transportation and Tour Committee wishes to put these items forward to again be helpful to other Chapters hosting a National Sojourner Annual Convention and the items are as follows;

1. Although signage was made to directed for attendees to be able to call for transportation should they have showed up in between other attendees being delivered to hotel, the placing of these signs were obviously not coordinated with everyone required or with enough groups to insure they would stay in place. The signage was coordinated through the Epply Airport authority and the local information desk on the first day of pick-up, but on the second day signs were taken down by new personnel not briefed and airport authorities not briefed. The Airport authority apologized for their error. Chapter 19 should have made sure the Omaha Convention and Visitor's Bureau had more insight into the convention and then they would have produced signs to place at their information desks at the airport and would have also taken care of coordination with airport authorities.

2. The Chapter Transportation and Tour Committee should have add additional signage developed to replace signage mentioned above.

3. The Transportation and Tour committee should have attempted to schedule more personnel to set in the airport to do person on person greeting at the airport. Only had this scheduled for day two when the larger number of attendees were arriving, should have considered it for all days when there were arrivals.

Conclusion: In the end I believe this was the first time some of these amenities were provided for a national convention so from that point of view the Transportation and Tour Committee did a commendable job and I would like to thank in this report the following individuals who help make this happen;

Lesson's Learned

- Hotel Coordinator should attend all NASACOCO hotel contract meetings

during the hotel selection process. This will prevent innumerable

misunderstandings with the hotel staff during the run-up to the convention.

- Contract should include:

o Menu of AV costs

o Meals cost including tax, etc

o Costs for hotel meals not included in convention agenda

o Hotel to provide plan drawings of each meeting room set-up

o Ice to be provided for Hospitality Room

o Storage Assembly rooms to be available 3 days prior to event

o Payment method/number to be given to hotel days prior to

event

o Cash bar minimum costs

o Registration telephone number

o Dining tables to be rounds of eight instead of ten

Agenda schedule from President/NASACOCO should include attendee

estimates; type and number of mikes; set-up type desired; podium type,

location and height requirement; and flag location should be confirmed NLT

60 days prior to event.

- Rehearse presentation of colors.

- Put stairs on each end of raised platforms.

- Meet monthly with hotel staff during the six months prior to the event. Email

notes of meetings to relevant hotel staff and Sojourner Chapter leadership

and follow up on assignments. No oral agreements, etc.

- Meet weekly with hotel staff during month prior to convention. Arrange for

hard copy signs indicating current meeting to be placed on each meeting

room as meetings change.

- If hotel issues "Event Orders", try to have them checked and signed 3 days

prior to event.

- National President should assign any contractually specified free suites to

designated individuals two weeks prior to event.

- Physically check each meeting room with hotel staff 3 days prior to event

when exact attendee numbers for each meeting can be forecast.

Hello Gary,

Even though I am not a committee head I have a couple of comments based on observations and questions asked. I do not know whose job jar the comments fall into, but I will provide them anyway.

Mentor Program: I was designated a mentor for two first timers. For future Conferences I would recommend a letter or some form of correspondence to let the mentor know his responsibilities and if the first timers lady is attending. Also, some arrangement needs to be available for the mentor to rendezvous with the person (s) he is to mentor. One first timer I was to mentor did not arrive until Friday and I never did catch up with him.

Schedule of Events: Recommend highlighting or marking in some way the events that are closed meetings
