• Schematic Design Budget with Full Constructability Report – CR#2– Including: Description, Issues, Updated deliverables to

all the above, and the first Engineering Constructability Matrix, with Design Team Input, Building Systems Narrative, and Value Management Log #1 and the official Budget #1 with Suffolk in house quantities in the schedule of values. Due 2 weeks from issuance of the design team document package.

• Design Documents Budget with Full Constructability Report – CR#3– Including: All the above updated deliverables; with new

schedules and logistics, and finer detail Engineering Constructability Matrix, which has been vetted and responded by the Steward Design Team, Value Management Log #2, and Budget #2 that has been sent out to at a minimum of 3 subcontractors; with rough bid tabs, and new updated in-house Suffolk quantities for comparison. With the list of Qualifications and Assumptions and Allowances and Hold Values known or anticipated to date. Due 3 weeks from issuance of the design team document package.

SUBCONTRACTOR PROCUREMENT

• Suffolk “Exhibit B” – Scope of Work– Covers work not specifically shown or additional work

required– Distributed to Suffolk Project Team and Steward PM for

review and comment.• Subcontractor pricing is received, reviewed and tabulated

based on exhibit and distributed to Steward PM prior to “best and final for comment.

• Bid tabs and exhibits are forwarded to Suffolk Purchasing for best and final. Successful bidder is awarded project. Steward PM is notified.

LETTER OF RECOMMENDATION

• Suffolk PM generates Subcontractor award approval letter with Letter of Recommendation, Bid Tab & Exhibit B.

MEETING MINUTESAND PM LOGS/REPORTS

• Meeting Minutes will be broken into standard sections, indicate BIC, and date initiated.

• Minute items should be clear, concise and non-biased.• Meeting Minutes should be distributed within 24-48 hours of

meeting so they can be used as a tool.• Attachments weekly should include the following– 3 Week Look Ahead– Submittals– RFI’s– PCO’s/Contingency Authorization Log
