This task will contact and engage all project stakeholders and target audiences toward promoting project results, the concept and the advantages of the envisaged innovation. Specific attention will be paid to informing the society and general public via a well-structured communication campaign delivering targeted messages through various channels, with emphasis on establishing relations with popular social media influencers, journalists and web bloggers, toward increased visibility and outreach of project impact and the role of EC Contribution and Support towards the promotion of Research and Innovation in Europe.
The OrbEEt Project consortium will contribute, upon invitation by the EASME, to common information and dissemination activities to increase synergies between, and the visibility of H2020 supported actions.

1. INTRODUCTION
1.1 Scope of the deliverable
This deliverable D5.9 “Annual dissemination & communication activities report” notifies the implementation of the dissemination activities of the last period of OrbEEt project. The objective of this deliverable is to update the dissemination work that has been performed in the last period (M24-M36). The relevant activities performed during the first period of the project have been thoroughly described in D5.2 (M12) and D5.8 (M24). That is why what has been done in the previous stages is briefly listed in Section 2.1 of the present document while the actins last period of the project are detailed.
1.2 Relations to other activities
The consortium has been contributing to dissemination activities according to the dissemination plan as defined and refined at the different project stages.
The participants have worked and participated in the different dissemination activities based on the dissemination and communication plan as defined in D.5.1 “Dissemination & communication plan and material (1st version –M6)” report and refined in deliverables D5.5 “Dissemination & communication plan and material (2nd version – M12)”, “D5.6 - Dissemination & communication plan (3rd Version – M24) and “D5.7- Dissemination & communication plan (Final Version – M30).
On the other hand, the implementation of activities has been reported in D5.2 “Annual dissemination & communication activities report (1st version – M12)” and D5.8 “Annual dissemination & communication activities report (2nd version – M24)” subsequently, this is the updated and final version of the dissemination activities report.
All partners are doing efforts to constantly commit to proactively communicate and disseminate contents related to the project by exploiting their normal relevant communication channels in order to reach the largest Europewide audience.
1.3 Baseline
This deliverable works from the baseline documents D.5.7 “Dissemination & communication plan and material (4th version)” submitted in month 30 (August 2017) which act as the last version of dissemination planning and includes dissemination material and activities performed in the previous period of the project. Also, deliverable D5.8 “Annual dissemination & communication activities report (2nd version)” which presented the second version of the dissemination and communication activities report, submitted in the second year of the project (February 2017) is the starting point for the work in this document. The structure of this document is presented:
- In Section 2, we present an overview of the dissemination activities performed during the 1st and 2nd project period
- In Section 3, the focus is on the last project period which is the main focus of this deliverable. The analysis covers the different dissemination activities performed so far, spanning from the digital presence, physical dissemination at project sites, presentation of the project in events and conferences etc…

- A conclusions section is provided in Section 4, highlighting the level of accomplishment of the different dissemination objectives as defined at the very beginning (taking into account the DoA).
Overall, this is the final version of dissemination activities report document, presenting the full list of activities performed during the project period.

We presented above the list of activities performed during the 1st and 2nd year of the project. Taking into account the progress of the work and the comments from the 1st review, we focused more towards the accomplishment of the dissemination and communication objectives.

3. DISSEMINATION & COMMUNICATION ACTIVITIES
The goal of this section is to report the list of activities performed at the last phase of the project. The analysis is performed taking into account the different dissemination and communication pillars as defined in the dissemination and communication plan of the project.
3.1 Project Website
The Web Portal is seen as the main dissemination channel for the project period. That is why regular updates, more content about the development and the outcomes of the OrbEEt project is foreseen. Balkanika regularly provided SOLINTEL, the responsible partner for the maintenance of the website, with new content.
Balkanika Energy undertake proactive actions in order to collect relevant content for the website so that it can be regularly updated hence providing information for potential interested third parties. The web site and all other social media channels are interrelated and updated at the same pace in order to reach as many people as possible.
Taking into account the review comments, the portal web has been massively updated, dividing the web sections in order to categorize the web content as well as possible. That results in a user-friendlier interface and facilitating the access to information. The web site is also interconnected with the social platforms via the quick buttons which can also lead to more visits, engagements and people reached on LinkedIn, Facebook and Twitter.
During the course of the last period of the project, the structure and especially the content of the OrbEEt website has been modified, updated with news as they unfold, downloads, etc. In month 36, OrbEEt homepage appeared as shown in the following figure.

The website is hosted at an enterprise hosting server, and is available online via www.OrbEEt.eu. The menu of service contains the following bookmarks, Figure 2.

The top side of the website presents the main menu items including the basic functionalities of the site. As presented in Figure 2, the different menu items are:
Home: Description of the project. Partners: Project partners details: logo, profile, address and website. Pilot Buildings: The four pilot buildings description and photographs. Objectives: The main three objectives of the project. Newsletter: Links to see and download project newsletters. Download: Public deliverables, workshop, posters, brochures, webinars, training
material and public summaries. New & Events: Already held events and upcoming ones. Contact: Project Coordinators details and online inquiry form.
Considering also the exploitation of the portal as a main means for user’s awareness during project evaluation, additional sections have been added, focusing on the demonstration of the evaluation activities at each pilot site of the project. Some new areas have been created into the Download tab in the new version of the website in order to present some important outcomes from the project. The new created areas into the Download tab are the following:
Workshops We can upload the material used in the different celebrated workshop. Webinars We upload all the performed webinars to this section. Training Material It contains all the training material in four different language:
German, Spanish, Bulgarian and English. Public Summary the summary of some deliverables were poured in this section.
A link tab was added in the OrbEEt website in order to easily access other related European projects (part of activities for liaison with other projects in the domain).

The internal project area is intended exclusively for the project partners. This area represent the internal communication channel between partners as well as collaborative working space for developing the project. It is an SVN repository for the documents and the code developed in the project, to ensure the prompt management and routing of information among project partners. Only the members of the consortium are allowed to access this platform through their Username and Password credentials.
For optimizing the resources of the usability of this platform, the internal area has been divided into two subareas. One for monitoring and keep the track of the project activities and the other for sharing documents and information among the partners.

The following pictures present the monitoring of the OrbEEt portal visiting levels. The Figure 4 shows the visitor of the OrbEEt in the last year of the project specifically at the end of such period.
Moreover, we observed extremely positive evolutions in terms of the quantity of impressions during the last period. January - February 2018 were the most important months so far in the volume of impressions. With respect to this data, it seems that the recent dissemination activities such as the synergetic workshop held in Madrid in January involving 9 other EU projects are having positive feedback loops on visitor numbers.

The Figure 5 shows the OrbEEt portal visitors, and sessions per different countries in the last year. The Figure 6 shows the distribution of those visitors on the map.

3.2 Social Media Presence
Social media presence is highlighted as a core means for the dissemination of project activities and communication with external stakeholders... Towards this direction, special effort was delivered during the last period in order to increase our presence in social media channels... The analysis of project presence in Social media is presented.
The LinkedIn group introduces the opportunity to strengthen OrbEEt connections with like-minded individuals and stakeholders. Through sharing news and promoting upcoming events the OrbEEt consortium gets direct feedback from the audience. The LinkedIn group provides

the possibility to put OrbEEt ideas and relevant information regularly in front of the stakeholders thus increasing the awareness of its results. Building a network of specialists and professionals in the area of energy efficiency is important for the development of the project’s outcomes after the end of the project.

3.2.1 Facebook
Facebook offers the opportunity to reach the wide community and to receive their opinion as an immediate feedback. Having a Facebook page makes OrbEEt project more discoverable and facilitates the exchange of ideas and useful experience between the partners. The page provides information about the activities related to the project as well as its results.
From our recent posts we have concluded that the most people are being reached through visual content which makes OrbEEt information easier to grasp and awakes the interest towards the project because it provides tangible, easy to comprehend representation of OrbEEt’ s result.

It is a fact that facebook has proven to be not very appropriate for effective dissemination of project of the type of OrbEEt. That is the reason why the majority of H2020 projects opt out of maintaining such a profile. Nonetheless, OrbEEt has its own dedicated page which has accumulated more than 7000 impressions over the past half-year.

The months of January and October register higher popularity among the audience because of the events that accompanied them. The former marked the conduction of a Consortium Meeting and a joint H2020 projects workshop which were heavily marketed on the platform and caused a more pronounced reply from the public. October was notable with OrbEEt’s partners attending various events that were promoted on the platform and which in turn generated higher-than-usual interest.
3.2.2 Twitter
The Twitter account was created at the beginning of the project (Month 4) not only to promote project activities but to stay aware of related web developments and news which is much easier due to the transparent and public nature of Twitter. It is important not only to produce own content but also to “retweet” other related projects, influencers and leaders in the area of energy efficiency and sustainability. This way we directly capture the attention of those third parties which can be useful partners in the development of the OrbEEt framework after the project’s end. OrbEEt’s twitter has been the main channel for disseminating the project in social media. For the past period it has accumulated more than 75,000 impressions. Moreover, there we have been very active in cross-promotion along with other H2020 projects. Very often OrbEEt tweets have been re-tweeted by the official H2020 and EASME accounts as well by workers of the EU Commission.

There are several noticeable peaks in the above graph. The high number in January is due to the convergence of many highly promotable events: a webinar, a joint H2020 workshop, a consortium meeting and participation of OrbEEt’s partners in thematic conferences and events. Additionally, the project had managed to generate significant interest among some of its followers by provoking discussions or being re-tweeted by high-publicity personalities among whom – multiple employees of the EU Commission, industry and academic experts. The large popularity of the page that resulted in November also stems from similar reasons: during that time, OrbEEt’s partners participated in several high-profile events like WebSummit 2017, in

Lisbon. At that month, OrbEEt also took part in the H2020 promotion campaign organized by INEA which also contributed to its climbing popularity.

The YouTube channel of the OrbEEt project was created with the intention of disseminating video content and e-learning webinars describing the tools of the framework.

The OrbEEt consortium has submitted 5 scientific publication in the last year of the project. In total 10 were conducted during the whole project period (especially after M18). On the other hand, and taking into account the type of the project, dissemination of project activities through articles was considered as the best way to promote the project outcomes.
Apart from these scientific publications the OrbEEt consortium has submitted articles involving the OrbEEt outcomes in different popular press. In this last period of the project 3 articles have been published and 16 articles in total in the whole project.
Regarding The OrbEEt consortium initial commitments in terms of scientific publication and other publications (22), we are over that value, the consortium accounts actually with 26 publications in the whole period of project.

In addition, ad hoc communication with other projects is reported (HYPERTECH - UtilitEE project, BALKANIKA - Start2Act project). The OrbEEt consortium have actively participated in many common initiatives among H2020 projects. One of them is forming a group under the Common Dissemination Booster program which included 10 H2020 and 1 Interreg projects.
Another joint initiative that had great success was the organization of a day-long workshop with several ICT H2020 projects that took place in Madrid on the 24th of January, 2018.
Additionally, in the social media, especially on Twitter, OrbEEt has been in constant cooperation with similarly themed projects by providing and obtaining dissemination support through mutual likes, re-tweets and mentions.

The Municipality of Asparrena acted as a speaker, sharing its experience in OrbEEt project, in the 4th thematic session of Sustainable cities. Description: Madrid hosted on 24th of January the workshop “Empowering cities: Innovative strategies for Smart buildings and citizens”, in which up to fifteen entities showed the new solutions they have developed in the fields of ICTs and energy efficiency, in order to reduce the energy consumption of buildings. Although these solutions share the same final goal, the way to achieve differs from one to another. From new methodologies for designing buildings to software applications or social videogames, the workshop will show the different strategies developed in R&D projects that aim to contribute to a lower consumption of buildings at every stage of their life cycle (construction, operation, maintenance, etc.), addressing both the building and its users and occupants. Additionally, the event promoted the establishment of synergies between the key players of this sector, as well as the proposal of new R&D&I projects. To do so, representatives of the Centre for Industrial Technology Development (CDTI) presented how the construction sector is organizing itself to face the upcoming 9th Framework Program of the European Commission, as well as funding opportunities in the next calls of the current Horizon 2020 program. Afterwards, several roundtables took place, being focused in the different topics of these calls, where the participants will be able to share projects ideas. The event was organized by the research center CIRCE, under the umbrella of two of the European projects that the center coordinates: NEED4B and TRIBE. The co-organizers of the event were the Cataluña Technical University, through the EnerGAware project, and the company SOLINTEL, through the OrbEEt project. There were more than 100 participants registered in the Workshop, more than 9 EU projects in the same topic have participated and three different roundtables of discussion have been organised with at least 30 participants.

There were two main activities along the day: In the morning, an information desk (stand) was set up in the village main square, next to the Town Hall, offering full information about the project (brochures, personal explanations, surveys .etc.). The information desk remained in the main square all day. In the afternoon, a guided tour of the Town Hall Building was carried out. These allowed visitors to find out about the facilities and the improvements that OrbEEt project had brought to the municipality so far (sensors, monitoring, etc.).

EUProjects International Workshop
A press release was issued in all social media and on each EU project portal web whose have been participated in the EUProject Workshop celebrated in Madrid on 24th January 2018 and Co-Organised by Solintel.

Open Energy day in Asparrena
The Open Day that took place in Asparrena Town Hall, the 24th of June of 2018, was announced using different media. A press release was published in the newspaper "Noticias

de Álava", widely read in Araba County (around 26.000 readers). The event informed nearby municipalities and general public, about OrbEEt project in Asparrena.

Publication in the professional Bulgarian magazine “Energia”
The OrbEEt consortium has presented some outcomes and the philosophy of the project to a Bulgarian magazine “Energia”. The magazine has printed an informal press release about the OrbEEt system.

On the way to mass dissemination of the OrbEEt project final outcomes, we have designed the following promotional content for the dissemination material.
3.7.2 OrbEEt new Posters
To promote the dissemination of the project in OrbEEt ICT for EE contractors’ day, the consortium prepared a new poster version, presenting the final results of the project. The new poster available in the following figure.

3.7.4 OrbEEt Project Videos
Making a promotional video of the project is very important for its dissemination among the mass audience. Hence we have set out to create two of them. Their purpose is to provide a general overview of the project and get the observer interested into it, so that afterwards they could check our web portal or profiles on social media for additional information.
The first video we created concentrated on properly explaining the rationale for the project and the OrbEEt framework while providing rich audio and visual information.

The second video is expected to be ready by the beginning of March. In comparison with the previous video, apart from disseminating the project, its rationale and outlining the OrbEEt framework, the second video will also focus on exhibiting and interpreting the results from the run of the project in some of the pilot sites. Hence, this way we will be able to better disseminate the outcomes of OrbEEt among the professional and general audiences alike.

4. CONCLUSIONS
The current report explains the dissemination and communication activities carried out in the last year of the project. All the consortium partners provided support to widely spread OrbEEt objectives and results.
The new produced dissemination and communication material in addition to the described in the previous D5.7 are composed by a new poster, newsletters, press releases, and webinars.
Regarding The OrbEEt initial commitments in terms of scientific and other publications (22), we are over that value, the consortium accounts actually with 26 publications in the whole period of project.
OrbEEt project framework has been presented in at least 18 thematic events for the last year of the project, held in different European cities and with different types of participants and attendee, many of them main targets of the OrbEEt project. The total audience of those different thematic events reach at least 63,462 peoples interested on the topic.
OrbEEt has a wide presence in social media and a high concentrated visitors of the portal web in the last year of the project, precisely at the end of this period. Taking into account the portal web visitors and the impressions on the social media such Twitter and Facebook the OrbEEt project dissemination reached more than 80,000 impressions. On the other side the total viewers to the OrbEEt YouTube channel for the last 3 months achieved 168 peoples thus far.
The OrbEEt consortium have been worked in a synergetic way with other related EU projects, notably organizing an international workshop about the innovative strategies for smart buildings and citizens. More than 100 participants were registered and 9 EU projects have participated directly with a very high dissemination on each different portal webs and social medias.
The OrbEEt consortium has celebrated 6 awareness activities and 6 pilot workshops were carried out covering all pilot sites in order to present the project objectives, progress and use cases to the pilot participants and end users. More than 69 users participated in the awareness activities celebrated in different pilot sites and more than 50 users in the pilot site workshops.
Regarding the Initial OrbEEt commitments on dissemination and communication and following the Dissemination and Communication Plan, we present in the tables below the achievements of the project addressing such commitments.
