Email Tone Is All About Balance

By Angel Taylor

CreativeSuccessFactor.com

Are your e-mail messages

sounding too casual?

CreativeSuccessFactor.com

Or, are they too formal?

CreativeSuccessFactor.com

Are you worried that you're using

the wrong tone?

CreativeSuccessFactor.com

If you were sending a letter to a

prospect through the mail, you

would expect it to be more on the

formal side.

CreativeSuccessFactor.com

However, if you are writing a

message, say in facebook, you would

probably be more on the casual side.

CreativeSuccessFactor.com

Email is somewhere in the

middle.

CreativeSuccessFactor.com

So what is the suitable tone for an e-

mail? -- more casual than a letter and

more formal than a facebook

message.

CreativeSuccessFactor.com

Yet, there is a fine line between

being too relaxed and too stiff.

CreativeSuccessFactor.com

Ultimately, it's going to depend on

how you are marketing your brand.

CreativeSuccessFactor.com

If you come off as the guy or girl

next door, then you can lean more

towards to casual side.

CreativeSuccessFactor.com

Though if you are more of the suit

and tie type, you might want to stick

with a more formal attitude.

CreativeSuccessFactor.com

Think of it in terms of a

traditional business.

CreativeSuccessFactor.com

For instance, a skateboard shop will

not be anywhere as formal as say a

doctor's office.

CreativeSuccessFactor.com

Another thing to think about when

writing your emails is who will be

actually reading it.

CreativeSuccessFactor.com

Essentially, this means you

should know your audience.

CreativeSuccessFactor.com

If your target market is 40-50

professionals then try for a more

professional, yet conversational tone.

CreativeSuccessFactor.com

An easy way to achieve a

conversational tone is by using

contractions ( I'll, we'll, he is, she is

).

CreativeSuccessFactor.com

Also, it's perfectly ok to use

pronouns.

CreativeSuccessFactor.com

In conversation, we use the words I,

we, you, so you should use these in

your e-mails as well.

CreativeSuccessFactor.com

As an example, "It is

recommended.." Sounds terribly

stiff.

CreativeSuccessFactor.com

Instead, try, "I recommend."

However, be cautious of overusing

the pronoun I.

CreativeSuccessFactor.com

Using too many can make you seem

a bit egotistical, which is not at all

how you want to appear.

CreativeSuccessFactor.com

So try to make your content more

about the reader and what you can

do for them, rather than all about

yourself.

CreativeSuccessFactor.com

So if you can learn to strike a

balance between a formal and casual

tone while managing to connect with

your readers in a conversational

manner, you will be well on your

way to successful email marketing.
