Email Tone Is All About Balance

Are your e-mail messages

sounding too casual?


Or, are they too formal?


Are you worried that you're using

the wrong tone?


If you were sending a letter to a

prospect through the mail, you

would expect it to be more on the

formal side.


However, if you are writing a

message, say in facebook, you would

probably be more on the casual side.


Email is somewhere in the

middle.


So what is the suitable tone for an e-

mail? -- more casual than a letter and

more formal than a facebook

message.


Yet, there is a fine line between

being too relaxed and too stiff.


Ultimately, it's going to depend on

how you are marketing your brand.


If you come off as the guy or girl

next door, then you can lean more

towards to casual side.


Though if you are more of the suit

and tie type, you might want to stick

with a more formal attitude.


Think of it in terms of a

traditional business.


For instance, a skateboard shop will

not be anywhere as formal as say a

doctor's office.


Another thing to think about when

writing your emails is who will be

actually reading it.


Essentially, this means you

should know your audience.


If your target market is 40-50

professionals then try for a more

professional, yet conversational tone.


An easy way to achieve a

conversational tone is by using

contractions ( I'll, we'll, he is, she is

).


Also, it's perfectly ok to use

pronouns.


In conversation, we use the words I,

we, you, so you should use these in

your e-mails as well.


As an example, "It is

recommended.." Sounds terribly

stiff.


Instead, try, "I recommend."

However, be cautious of overusing

the pronoun I.


Using too many can make you seem

a bit egotistical, which is not at all

how you want to appear.


So try to make your content more

about the reader and what you can

do for them, rather than all about

yourself.


So if you can learn to strike a

balance between a formal and casual

tone while managing to connect with

your readers in a conversational

manner, you will be well on your

way to successful email marketing.
