WELCOME Dear Exhibitor, Thank you for joining us at the 2019 AFTA Trade Show. AFTA is pleased to welcome you and your company in supporting the industry. The Exhibitor Manual has all the relevant information you need to participate in the 2019 Trade Show. The Exhibitor Manual contains information on venue and show operating policies and procedures, exhibitor guidelines, WH&S responsibilities and regulations and contact details for contractors and event partners to make your experience as an exhibitor as easy as possible. Exhibitors will have access to the Show from 7am to 6pm on the event open days. Should you require access to your stand outside these hours please contact the Trade Show Organiser directly to make arrangements.

CAR PARKING Car parking is available onsite at the Gold Coast Convention and Exhibition Centre. Onsite parking is $12 per day – payable upon leaving the Centre. There are four pay stations positioned throughout the GCCEC that accept both cash and credit card payments. A 30-minute no charge grace period applies to all vehicles entering the GGCEC car park. After the 30-minute grace period the regular $12 day charge applies.

CATERING The Gold Coast Convention and Exhibition Centre have sole rights for all venue catering. Exhibitors who want to conduct food/drink sampling on their stand will need to make an application direct to the GCCEC by completing and returning form F10 – Food Sampling. Please note that fees will apply. A catering outlet will be open on the Foyer area outside the Trade Show entry serving an assortment of lunch and snack foods and hot and cold drinks. The Gold Coast Convention and Exhibition Centre are also able to offer a wide variety of catering options direct to stands if required. Contact the GCCEC direct to discuss your stand requirements. A coffee cart will operate on the Trade Show open days.

CLEANING Standard cleaning is included as part of your space booking. Cleaning is done overnight by Gold Coast Convention and Exhibition Centre staff and includes vacuuming. To ensure your area is cleaned appropriately please ensure that the floor is clear and any packaging is as tidy as possible. Please place all rubbish in the bins provided. Please note that water from tanks cannot be emptied into the Gold Coast Convention and Exhibition Centre bins. Any exhibitor found to be emptying their water tanks into Centre bins will be liable to cover the additional forklift and cleaning charges this incurs.

CODE OF CONDUCT AFTA has a strict Code of Conduct in relation to the Trade Show. All exhibitor staff must act responsibly throughout the entire Trade Show and promote the objectives of AFTA and the broader industry.

Exhibitors are expected to act in accordance with the Trade Show Terms and Conditions. The Trade Show Terms and Conditions can be accessed through the exhibitor section of the AFTA Trade Show website. Exhibitors must not visit competitor stands outside of Trade Show hours, unless prior arrangement has been made with the competitor. Photos and other such materials that include competitors and/or competitor products must not be used on an exhibitors stand without prior consent and acknowledgment from the competitor. Exhibitors are not permitted to conduct business in the aisles – any Exhibitor who is seen to be soliciting business in the aisles or other public spaces or in another Exhibitor’s stand may be asked to leave immediately and will forfeit their registration for the Show. Exhibitors may only display product that they are the authorised distributor in Australia for. Any exhibitors found to be displaying product they are not authorised to distribute in Australia may be asked to remove these products from display. Please report any incidents that do not follow the AFTA Code of Conduct that you may observe to AFTA Staff immediately, if further discussion is needed they will be taken to the AFTA Ethics Committee.

DELIVERIES The Gold Coast Convention and Exhibition Centre have four loading docks, which can be accessed from the Gold Coast Highway at the northern end of the GCCEC. Goods will not be accepted at any other point. Loading dock operating hours are Monday to Friday, 7:30am – 4:00pm. Goods should be delivered to the GCCEC no earlier than Monday the 12th of August 2019. Please note that arrangements outside these hours will need to be made directly with the GCCEC prior to dispatch. Additional labour charges may apply. It is the responsibility of the contractor or subcontractor to supply sufficient staff for unloading of transport vehicles in the loading bay in a timely, safe and non-disruptive manner.

A delivery label must be affixed to all items sent to the GCCEC. Please refer to Form 6 – Delivery Label for a copy of the GCCEC approved delivery label for your use. Goods must be collected within two (2) working days from the conclusion of the event. Storage charges may apply for goods remaining after this time. The GCCEC reserves the right to dispose of any remaining goods one (1) week after the conclusion of the event. Disposal of any remaining goods may incur a removal charge. All items will be placed into the appropriate area prior to client access on the scheduled event move in day. Additional storage and labour charges may be incurred for goods stored or relocated by the GCCEC outside the contracted booking period. Road case storage is not guaranteed and must be arranged prior to arrival.

LIGHTING AND POWER To order additional lighting and power facilities for your stand contact Exponet. The Gold Coast Convention and Exhibition Centre require all exhibitors to turn off non-essential power outside of Exhibition hours. If you require electricity outside of these hours please advise the Trade Show Organiser prior to the event.

ELECTRICITY APPLIANCES, POWER BOARDS AND EXTENTION CORDS The Gold Coast Convention and Exhibition Centre reserves the right to demand removal from the site of any electrical equipment it deems to be non-compliant or suspect. All portable electrical equipment, appliances and leads must be tested and tagged in accordance with Australian Standard 3760 – 2003. All sub circuits must be protected by an RCD complying AS/NZS3000:2000. All electrical installations, motors, generators, etc. must be approved by the GCCEC Management. All requests for electrical installations must be submitted prior to installation in association with the exhibition and display plans. All installations must be performed by a licensed electrical contractor and the necessary equipment for operation must be supplied. This includes extension leads and other such equipment. Should any 3-phase electrical usage be required, an additional charge will be calculated.

EMERGENCY CONTACT DETAILS In the unlikely event of an emergency, please provide a contact name and mobile number for a member of staff who will be representing your stand for the duration of the Trade Show (including the event move in and move out). Complete and return online FORM 01: Emergency Contact Details by Friday 9th August 2019.

EXHIBITOR BOOKINGS AFTA reserves the right to accept or reject any application for space and modify or move any stand or display which AFTA feels is detrimental to other exhibitors or the Show as a whole or is in breach of the Exhibitor’s Manual (in particular with concerns to length of continuous walls or display). Bookings are not confirmed until payment of the 1/3 deposit is paid to AFTA by EFT, cheque or credit card payment.

The balance of the stand is payable in full on or before 5pm Friday the 30th of June 2017 and that if full payment is not received by the date; the Exhibitor acknowledges that their booking may be made available to others with their deposit being forfeited. By signing the Exhibitor Booking Form you (the Exhibitor) abide by the Terms and Conditions laid out in the Exhibitors Manual for the 2019 Trade Show.

EXHIBITOR SERVICES The GCCEC offers a variety of services directly. Please see attached Exhibitor Services Order Form for more information on the following areas:

• Catering • Coffee Shop Account • Internet/Data Connection • Banner Rigging • Plumbing – water/waste • Safety vests • Stand cleaning • Audio visual • Lifting equipment hire

EXHIBITOR STAFF REGISTRATION Personalised exhibitor badges are required to be worn by exhibitors and exhibiting staff during the Trade Show to allow access to the venue and your stand. Theses badges are provided complimentary for exhibitors and can be ordered through online FORM 2: STAND STAFF NAMES REGISTRATION – Due Friday 9th August 2019. Exhibitor Registration badges will available for collection during Bump-In on Saturday. If you have any queries on registration badges please contact the Event Organiser.

FIRE REGULATIONS All display materials must be flameproof. They are subject to inspection by the Gold Coast Fire Brigade and must comply with the guidelines and policies of the Queensland Fire and Rescue Service. Exhibition/display areas must be sited to allow access to emergency exits and firefighting equipment. The storage of any flammable liquids or fuel within the exhibition is not permitted. Motor vehicles or other mechanical appliances displayed within the exhibition venue must contain a full tank of fuel (refer to Vehicle Displays). Fire extinguishers and fire hose reels must at all times be visible and accessible and must not be removed from their correct locations. Should construction of stands and exhibits create a potential smoke-locked area or create an area not serviceable by the existing sprinkler systems, the Management of GCCEC may require the smoke detection, emergency lighting and exit lighting systems be extended to cover the stand and/or exhibit areas. Any materials used in stand construction or for display purposes must conform to the following standards:

• Non-combustible and inherently non-flammable material • Durable flame-proof fabric • Self-extinguishing plastic • Flame proof fabric

The use of the following materials is prohibited unless treated for fire retardation:

• Plywood, hardwood, pulp board or fibreboard • Styrene; Plastic

• Crepe paper; Hessian; Loose straw/hay; leaves

FIRST AID AND EMERGENCY PROCEDURES A fully equipped first aid room is located at the Security control room and all Security Officers are first aid trained. All incidents, including injuries, illnesses, near misses, unsafe work practices, hazards, property damage and environmental issues must be reported to the Trade Show Organiser. If you need to raise the alarm in the event of an emergency call situation please call security on Ext. 999 or 4050.

FLOOR PLAN The Trade Show Organiser will release updated Floor Plans throughout the pre-show period. They will be marked with version numbers for your convenience. The floor plan may be altered substantially depending of bookings; stand numbers may also be changed to accommodate the floor plan. You can view the current floor plan on the AFTA Trade Show website (www.afta.net.au). Alternately you may request a copy of the current floor plan at any time from the Event Organiser.

FOOD AND BEVERAGE SAMPLING The Gold Coast Convention and Exhibition Centre have exclusive rights to the sale of food and beverage. No exhibitor or person shall bring into a licensed area, distribute or give away any item of food and beverage to visitors within the GCCEC without prior written approval from GCCEC Management. The GCCEC does not object to the distribution by exhibitors of food samples used as a means of demonstrating their manufactured product; however the sale of such products is not permitted. All food and beverage sampling, needs to be approved 14 days prior to the event. Please liaise with GCCEC by completing and returning form F10 – Food Sampling. Please note that fees will apply.

FORKLIFT AND EQUIPMENT HIRE The GCCEC has a forklift, scissor lift and boom lifter for hire (subject to availability). This equipment may only be operated by GCCEC drivers. This service needs to be organised directly with GCCEC no later than (14) fourteen days prior to the Trade Show.

FURNITURE ExpoNet is the official supplier of furniture and display accessories for the 2019 Trade Show. Please refer to the Exhibitor Services Pack sent direct to you from Exponet for further information.

GALA DINNER AWARDS NIGHT The AFTA Gala Dinner with Industry Awards will be held on Friday the 16th of August 2019. Tickets for the Gala Dinner are available to purchase individually or as a table of ten. Gala Dinner tickets will be released on Monday the 3rd June 2019 and will be available for purchase through the Trade Show website or by contacting the AFTA Trade Show organiser direct. Tickets for the Gala Dinner must be pre-purchased. No tickets will be sold at the door.

INTERNET/DATA COMMUNICATIONS Free Wi-Fi is available during Trade Show hours – the GCCEC will give access for (8) eight hours per log on at 256 KB p/s for checking emails and light browsing. If you require continuous access or video streaming and rich content viewing please complete Form 15 – Tech Communication and Data Form and return to the GCCEC.

ORGANISER’S OFFICE The AFTA Organiser’s office is located opposite the main exit to the Trade Show in the foyer outside Hall 4. If you cannot locate a member of staff please contact the Trade Show Organiser as per the contact details listed in the front of this manual.

PERSONS UNDER 16 YEARS OF AGE Persons under the age of 16 years are NOT PERMITTED to enter the Trade Show during the event move in and move out.

PUBLIC DAY On Saturday the 17th of August the AFTA Trade Show will be open for public entry. Open hours will be from 9am to 4pm. This is still a trade event. NO TACKLE RETAIL activities to be undertaken on the public day. Exhibitors will be able to sell promotional items limited to hats, stickers and catalogues. There will be 1 presentation area for exhibitors to book 15 min time slots for product demonstration and information sessions. Trade Show hours have been adjusted to allow exhibitors time to make any necessary adjustments to their stand the afternoon prior to the public day - closing at 4pm.

PUBLIC LIABILITY INSURANCE Public Liability Insurance (PLI) is compulsory for all exhibitors to the value of $10 million. NOTE: PLI cover is mandatory and refers to damage or injury caused to third parties/visitors on or in the vicinity of your exhibition stand. AFTA is not responsible and expressly declines responsibility for any loss or damage that may befall the person or property of any exhibitor from any cause whatsoever. Exhibitors should arrange for adequate insurance cover over the period of the Trade Show to cover not only PLI but also your stock and products on display.

RIGGING OF SIGNAGE The Gold Coast Convention and Exhibition Centre’s policy is that a licensed GCCEC rigger must hang all banners. Charges are applicable. To arrange rigging of your banners and signage please complete Banner Rigging Request Form and return to the GCCEC. The GCCEC has restrictions on outdoor advertising. Therefore any outdoor advertising must be agreed in advance with AFTA and the GCCEC and comply with all legislative and local by-laws. Banners can be hung in certain areas of the Halls or around the perimeter of the Halls from a curtain rail situated at 9.7 metres from floor level.

SECURITY AFTA has contracted the Gold Coast Convention and Exhibition Centre to provide 24 hour security (including camera surveillance) for the duration of the Trade Show (including during the Trade Show move-in and move-out) in an effort to reduce the risk of theft and assist in keeping your exhibition stand safe. If you would like dedicated security at your stand please contact the GCCEC directly.

SIGNAGE All shell scheme stands have fascia signage displaying the exhibitor’s name. To arrange additional signage for your exhibition display contact Exponet. For signage and banner rigging you will need to contact the Gold Coast Convention and Exhibition Centre.

STAND BUILD – SHELL SCHEME Shell scheme stand bookings include:

- Black, Velcro compatible, carpeted walling with fully carpeted floor;

- Spotlights (2 per 9m2);

- Power ( 1 x 4amp per 9m2);

- Fascia with exhibitor name and stand number displayed.

STAND BUILD – CUSTOM STANDS Exponet, the official event contractor, are able to provide custom build stands. All custom stand build designs must be submitted to the GCCEC at least (3) three weeks prior to the Show for venue approval. All exhibitors are required to read the pre-event health and safety checklist and if applicable return to GCCEC. Please refer to GCCEC Form - Pre-Event HS Checklist For more information please contact ExpoNet directly on +61 2 9645 7000.

VEHICLE DISPLAYS Motor vehicles powered by flammable liquid or gas may be displayed under the following conditions:

• The fuel tank is to be at 100% capacity or dry. The fuel cap must be either sealed or lockable to prevent tampering;

• LPG motor vehicles must have systems fitted in accordance with AS1425-1989 LPG Fuel Systems for vehicle engines.

• Vehicles in exhibitions must not be started and run without prior authorisation from GCCEC Management, who will review safety and exhaust emissions.

• Displayed vehicles should have oil drip trays placed underneath the sump of the vehicle. • The tyres of the vehicle should be placed on condemned carpet tiles. • The vehicles battery should be disconnected.

Any vehicle displayed inside the GCCEC, a spare set of keys must be left at Security Control in case of emergency. Notice of vehicle display within the GCCEC should be submitted (2) two weeks prior to the Show Bump-in, as vehicle move-in may be required prior to the ExpoNet Stand Build.

WORKPLACE HEALTH AND SAFETY AFTA recognise that its employees, contractors, clients and service providers shall be provided with a safe and healthy place to work. To achieve this AFTA and the GCCEC are committed to meeting obligations under the Work Health and safety Act 2011. AFTA and GCCEC will work together to take every practical step to prevent accidents and injuries by identifying, eliminating and/or controlling potential hazards during the 2018 AFTA Trade Show. AFTA and Gold Coast Convention and Exhibition Centre will use sound risk management practices and facilitate consultation between all parties to ensure that safety programs function effectively. Health and safety at work is both an individual and shared responsibility of all employees, exhibitor’s ad contractors and we will provide opportunities for all to participate in safety meetings and programs. We are also available to discuss any safety issues so they can be resolved as and when they occur. Creating and delivering safe events can only be achieved by having a comprehensive safety management plan that is clear and understood by all staff and persons involved at the AFTA Trade Show. If you have concerns or queries, please do not hesitate to contact AFTA or GCCEC to discuss. There are many safety guidelines and procedures that should be followed by persons when they are onsite. minimum guidelines should be followed at all times in addition to the instructions you have from your own supervisor or employer.

• Familiarise yourself, staff and contractors with this Exhibitor manual; • Always conduct yourself safely in the venue and surrounds; • Never endanger yourself or anyone else with your conduct; • Always wear appropriate footwear (covered footwear for bump-in/out scheduled hours); • Do not be affected by drugs or alcohol during working hours; • Take notice of the no-smoking signs near the entrance/exits; • Always wear the PPE (personal protective equipment) provided by your employers; • Listen to instructions from your supervisor/employer; • Always report hazards to your supervisor, AFTA or GCCEC who will assist in reducing or eliminating the
