The 2015 Conference will be held at the Fairmont Château Laurier in Ottawa, ON.
The program planned for this year is expected to be as interesting and thought
provoking as programs from previous years. The Canadian Technical Asphalt
Association exists for these conferences and the Proceedings generated therefrom. The
Local Arrangements Committee has been planning the entire program for over two
years and looks forward to entertaining a large number of existing members, new
members and guests. Please support your Association by attending the 2015
Conference in Ottawa, ON. Check our website at www.ctaa.ca and click on Conference

These forms along with a ballot and return envelope have been included with the
package to those members receiving the Newsletter by post. For those members receiv-
ing the Newsletter electronically, the nominee list, ballot and return envelope have
been mailed to them.
Conference Fees - REMINDER
The conference registration form provides an outline of the fees for this year’s
conference. The early bird registration fee offers a $50 discount until October 16th.
For those registering by post, the envelope must be postmarked October 16th or
earlier to receive the same discount. For those attending the conference as a non-
member please note the registration fee includes your membership to December 31,
2015. The membership term is based on a calendar year.
The Online Conference Registration and a direct link for the hotel reservations are
now available. The online conference registration sends you a receipt as soon as you
have finished processing your payment. American Express is now available as a pay-
ment option. Should you need to make changes to your online registration,
please contact the office as the payment system will give an error message indi-
cating a duplicate id.

Members who have not paid their 2015 annual dues are reminded that all those persons whose dues were in arrears
on July 31, 2015, have had their names placed on the delinquent membership list. They will cease to be eligible for
membership privileges such as receiving copies of the 2015 Conference Proceedings and having their names published
in the 2015 Conference Proceedings and Conference Program Booklet. Payment can be made online at ctaa.ca.
Any member whose dues for 2014 and 2015 remain unpaid on July 31, 2015, will be considered suspended; their
name has been removed from the membership list and will cease to be a member. Suspended members will also cease
to receive CTAA mailings and their names will not be printed in the lists of members in the 2015 Conference Proceed-
ings nor the Program Booklet.
Conference and hotel registration forms have been posted on the web site. Please follow the links in the email advis-
ing members of this Newsletter and process accordingly. These forms are included with the Newsletter for those re-
ceiving same by mail. Please note that the conference registration forms and payment are to be directed to the Victoria
office of the Canadian Technical Asphalt Association. Once the form has been received and documented the pertinent
information will be forwarded to the Local Arrangements Committee.
PLEASE note that there will be one registration fee for the conference, i.e. no separate fee for CUPGA. The
annual conference fee therefore includes the CUPGA session on Sunday afternoon, lunch on Sunday and the complete
Association conference, Sunday night to Wednesday afternoon. There will be a small fee of $60, as usual, for the
course on Sunday morning.
Registration for the conference can be made by mail, fax or on-line. Please remember that the Fairmont Chateau
Laurier Hotel reservation forms should be directed to the HOTEL and NOT the CTAA office. The direct link for mak-
ing a hotel reservation is available on the web site.
Young Members’ Reception
There will be a reception on Monday evening from 5 p.m. to 6 p.m. for members who are 30 years of age or younger.
The Board hopes that those attending will see the benefits of one day becoming involved in the Association and Board
of Directors’ affairs. For those interested in attending there is a check box on the Conference Registration form.
Students
CTAA continues its strong commitment to student engagement by offering free membership with the Association and
greatly reduced Conference fees. This approach is working with many students becoming Full Members upon gradua-
tion.
PAYMENTS
CTAA is accepting secure online payments for conference registrations; membership renewals and membership
applications. Scholarship donations can be made as part of a conference registration or membership renewal. Making
your payment to CTAA, by cheque is still accepted. Payment by credit card (Visa, MasterCard and AMEX) can be made
by faxing or mailing your registration form to the office. Providing credit card information over the phone is still
accepted.

Year End has Come and Gone A report from your Secretary Treasurer
As most members know, June is the year end for CTAA books. What most of you may not know is the work that is
done to finalize the year end books so they can be sent for review to our accountants.
As one new to the job I travelled to Victoria this month to sit down with our office administrator, Kathy Fyfe and
our Secretary-Treasurer Emeritus, Bob Noble, to go through the process and make sure I am aware of all of our pro-
cesses.
During our meetings, Kathy walked me through the process in my language, from paying an individual bill for
things like telephone, office rent, postage, printing, etc., etc., (Did you know that our CTAA office issues 132 cheques
each year just to keep things running smoothly!).
I was given a crash course in Sage 50 (or Simply Accounting may be a more familiar name) to see how we track
payments and income, and GST and PST and HST. We get to claim back most of our GST paid out and most years get
a refund, although not always.
We have scholarship money in investment certificates and have to balance across our accounts to make sure the
dollars are appropriately accounted for prior to sending it all off for review. We also track deferred income when
conference donations or payments come in prior to the year end, and accrue expenses for the conference that will be
held in the next fiscal year.
When all is said done, we present the balance sheet at the AGM at the conference, which although sometimes
confusing, helps to report to the membership the financial standing of our Association.
