Thankyou for your interest in joining us as an exhibitor for the 2019 Annual Bribie Island Wedding Expo (BIWE) on
Sunday 2nd June 2019.
Bribie Island Wedding Expo welcomes you to explore our 2019 Expo Exhibitors Kit. We have worked hard to make the 2019
Bribie Island Wedding Expo bigger and better to bring more couples to wed on our beautiful Bribie Island. We have an
exciting outlook for the 2019 expo to maximise exhibitors exposure to couples and lead to secured bookings.
Fresh New Venue We are excited to announce that the 2019 Wedding Expo will be held at the Banksia Beach State School Student Centre. Its a
much newer, large venue to provide vendors larger stalls, allow patrons to freely browse without over crowding, more
parking, easy access and suitable for indoor and outdoor exhibitors.
Fresh Marketing Campaign Fresh marketing campaign targeting couples from not only South East Queensland but from all around Australia, reaching
more Brides and Grooms to be, to set Bribie Island as their wedding destination.
Catwalk Showcase Professional catwalk and stage to showcase boutique bridal designers wedding dress designs in our fashion parade.
Live Entertainment Live music and performers to entertain our couples while browsing the exhibitors.
The Bribie Island Wedding Expo is a professional boutique wedding expo, with limited exhibitor stalls and capped numbers for
each category. Following the outstanding success of the Bribie Island Wedding Expo in previous years, early bookings will
secure your place in your category and attendance at the 2019 Expo.
Promotion of the 2019 Expo will extend across all of South East Queensland and Nationally, including a digital marketing
strategy through social media, local radio, online wedding directories, print and various other cross marketing campaigns. To
increase the appeal to attend the Expos and to encourage couples to extend their time at the event, there will be a fashion
parade, food and beverages, expo specials, entertainment and major and minor prize giveaways on the day.
Not only is our Wedding Expo a fantastic opportunity for generating leads, but our vendors are able to sell their products and
services on the day. Exhibiting at a bridal expo is a great way to introduce a new product to the market and sell your products
and services to new customers. Expos are also an excellent way for suppliers to establish an initial relationship with couples
and qualify future bookings. Bribie Island Wedding Expo will supply all patrons with an expo info bag upon entry. This bag will
contain a bridal magazine, Bribie Island Magazine together with any promotional material or expo specials from exhibitors.
In past years, a large number of couples traditionally follow up on expo information and exhibitors after the expo through the
www.bribieislandweddingexpo.com.au website. Included in the Expo Exhibitor Fee is 6 month directory listing on the Expo
website with direct links to your business contact details and website. In addition, all exhibitors receive a copy of the wedding
expo database of couples whom attended the expo for post show marketing. These additional inclusions ensure that you
experience the very best outcome from exhibiting at the 2019 Bribie Island Wedding Expo.

Additional Expo Information and Terms and Conditions
PRIZES AND SPONSORSHIP:
Every year we aim to give away a Bribie Island Wedding Package as our major prize, along with additional supplier
specials and giveaways. Prizes and Expo specials have proved to be a huge success and drawcard to any Expo and
specifically in past Bribie Island Wedding Expo. Exhibitors are welcomed to provide prizes and expo specials to
further promote their products and services at the Expo.
Businesses providing a prize to the value of $500 or more towards the Bribie Island Wedding Package Major Prize
giveaway, will receive Expo Sponsorship and Promotion PLUS 10% off their expo stand cost (conditions apply). See
the online booking form for services required for the package. Exhibitors contributing to the Major Prize receive
exposure all year round, including social media and BIW directory promotion from the winners wedding.
SPONSORS
Sponsors are exhibitors who donate their products and/or services which exceeds the value of $500 towards the Major Prize
Giveaway and/or to the ‘On The Day’ prize giveaways. Prizes and vouchers are to be submitted to Bribie Island Weddings
[email protected] prior to listing or promotion. Sponsors will be displayed on the Bribie Island Wedding Expo
website for months prior to the expo and 6 months after. Sponsors will also be promoted on social media Facebook and Insta.
SOCIAL MEDIA
Exhibitors are invited to join our private Bribie Island Wedding Expo Exhibitor forum on Facebook. The page is set up to help
exhibitors stay up to date with the latest information regarding the 2019 Expo. We also encourage discussions, questions, and
shared inspiration between exhibitors. Feel free to ask event organisers, Bribie Island Weddings any questions you may have
and we will aim to have a response to you within 24 hours. Don’t forget to follow us on Facebook https://www.facebook.com/
BribieIslandWeddingExpo and Instagram @bribieislandweddingexpo. Exhibitors are encouraged to share the 2019 Bribie
Island Wedding Expo Facebook Event on their business pages. This will give the event more exposure, reaching more potential
couples and enticing more of your own followers to meet you at the expo.
DESIGNING YOUR BOOTH
We are fans of creative spaces. We encourage exhibitors to create their brand and style and make the most of their space.
When designing your booth, try to use as much creativity as possible. We anticipate over 40 exhibitors to be on display for the
2019 Expo. An attractive display will benefit your business as well as the Bribie Island Wedding Expo. This year, we will have a
“Best Dressed Exhibitor” prize . Exhibitor booths will be judged on their creativity and design of their display. The winner will
receive 1 year FREE membership on Bribie Island Weddings directory. We strongly suggest exhibitors have clear signage of
their Business Name and handout information for couples to take home. The winning exhibitor will be announced when the
visitor prize giveaways are drawn.
BOOTH STAFFING
A maximum of 2 exhibitor representatives allowed at each booth at any time. Booths cannot be shared, only one business per
booth. Exhibitors cannot promote or display any other business name or business marketing other than the business name
registered on the booking. This includes marketing material supplied by the exhibitor to the expo patrons.
EXPO VISITOR DATABASE
Exhibitors will receive the database of all the prospective brides and grooms who attended the expo within 14 days post expo.
This database is a great marketing tool for businesses who didn't get to meet all the visitors and to connect with them after
the expo. The personal contact information of brides and grooms within the database is STRICTLY CONFIDENTIAL and may
only be used by the business whom exhibited at the 2019 Bribie Island Wedding Expo for its OWN MARKETING PURPOSES
ONLY. The database and/or any personal contact information of any visitor is NOT PERMITTED to be passed to any third party
under any circumstance. All personal data within the database is to be handled in accordance with the Bribie Island Wedding
Expo Privacy Act (click here to view the privacy act) failure to handle private information incorrectly may result in legal action.
ELECTRICAL ITEMS
Exhibitors with electrical equipment MUST ensure ALL their equipment (including extensions leads and phone chargers) have
been ‘Tested and Tagged’ within 3 months of the Expo date. A certified Test & Tag professional will be on site, both Saturday
1st and Sunday 2nd to check all exhibitors electrical equipment for valid certified tags. If any electrical item is not tagged with
a valid certified test tag, BIWE will provide the service for you at a fee of $6 per item. This is not negotiable. Electrical items
that fail test & tag or exhibitors who do not submit items for Test & Tag, will be required to removed the item from the venue.
EXPO FLOOR PLAN
Consideration is given to exhibitors requests for stand allocations. However, the final decision on positioning of exhibitors
sites is made by Bribie Island Weddings. All sites indoor are powered if required, power will only be supplied to exhibitors who
confirm power is required for their stand. BIWE will not run extra power leads etc on the day for exhibitors who do not or
forget to organise it prior.
BUMP IN & BUMP OUT
There will be access to the Auditorium for exhibitor booth pre setup on Saturday 1st June 2019 from 2pm-5pm. All exhibitors
MUST have their booths set up and completed ready to go no later than 9am on Sunday 2nd June 2019 with exhibitor
welcome commencing at 9.45am and patrons entering at 10am. Exhibitors will have access to the Auditorium from 7am on
Sunday 2nd June 2019 for late set ups and additional booth alterations. Exhibitors must not leave or start to dismantle their
booths until 2.15pm Sunday 2nd June 2019 and must be completely removed from the venue by 4.00pm.
PARKING
There is ample parking for both expo patrons and exhibitors. Exhibitors are to park in the teachers/staff parking on the left
of the carpark. Exhibitors are allowed to park their cars close to the venue to unload but must remove their cars from the
main carpark and move to the staff park by 9.30am SHARP to allow parking for patrons.
RUBBISH
Exhibitors will receive a garbage bag in their exhibitor kit on the morning of the Expo. All exhibitors are expected to maintain a
clean and tidy booth at all times. There will be Expo staff regularly cleaning, keeping the premises tidy throughout the expo to
ensure the venue it kept tidy at all times. Exhibitors are to take their rubbish with them upon their departure from the
venue. No rubbish or rubbish bags are to left on the premises under any circumstance.
CANCELLATIONS
All booking fee payments are NON REFUNDABLE under any circumstance. Exhibitors who choose to cancel their booking for
any reason, forfeit all payments made.
INSURANCE
Exhibitors MUST carry and hold current Public Liability Insurance of a minimum of $10,000,000.00. A certificate of currency
must be provided upon booking. Bribie Island Weddings reserves the right to cancel or refuse any business who doesn't meet
the standard requirements expected of an exhibitor.
EXTRAS YOU MUST KNOW
Under No Circumstance, are promotional flyers, business cards or any other marketing material whatsoever, is to be placed
on patrons vehicles parked in or around the venue by exhibiting or non exhibiting businesses. Any businesses found to be in
breach of this, will be prohibited from attending any Bribie Island Wedding Expo in the future and will be removed from any
and all post expo promotional material, expo website and social media.
Bribie Island Weddings reserves the right to move or adjust portions of exhibitors displays which are outside the allowed
meterage and/or obstructing the path of patrons within reason and to the event organisers discretion.
Exhibitors must bring their own trolleys for transporting heavy items. Care must be taken to ensure trolley wheels don’t
scratch or mark the Auditorium floor.
BRIBIE ISLAND WEDDINGS LIABILITY will not be held responsible or take liability for any personal and/or professional
property loss or damage or injury. Exhibitors agree to waive without any limitation for any claim for all property damage, loss
or personal injury. Exhibitors are expected to carry property insurance for all equipment used or displayed at the Expo.
Bribie Island Weddings will take all reasonable precautions to protect exhibitors and property but takes no liability for loss.
Bribie Island Weddings will make every reasonable effort to ensure your success and that of the Bribie Island Wedding Expo.
EXHIBITOR REGISTRATION
2019 Bribie Island Wedding Expo Exhibitors will be required to register online through the online booking form.
