2012 Annual Report

Mission Statement

To maintain and improve Hoyt Arboretum and its collection for all people through advocacy, resources, awareness and education.

Hoyt Arboretum relies on the support of Hoyt Arboretum Friends, a membership-based non-profit organization working in partnership with Portland Parks & Recreation.

From the Executive Director and Board President

Dear Friends,

2012 has been a very exciting year of accomplishment and financial growth for Hoyt Arboretum Friends (HAF). With the generous support of our donors, HAF has funded numerous projects including: 269 new way-finding signs on our trails, the development of a publicly-accessible plant database, a dramatic new courtyard garden and the installation of a Cotoneaster re-search garden.

Thanks to improvements made possible by HAF, Hoyt’s Magnolia Collection has been ac-cepted into the North American Plant Collections Consortium, and the Conifer Collection has been accepted into the American Conifer Society. These and other important initiatives in pro-gramming, maintenance and capital improvements were supported by an increase in earned and contributed revenue of $194,723 over 2011.

These accomplishments would not have been possible without a committed Board and a de-voted staff. We are dedicated to engaging our community and donors to broaden support for Portland’s best kept secret. We now communicate regularly with over 6,000 people - many more through social media - and offer classes, presentations, book signings, tours and events to enhance our outreach and educational offerings. We have been recognized as Portland’s second-best destination in the Huffington Post and Fox News, but we’re aiming for first!

Ongoing improvement of Hoyt Arboretum requires a solid foundation in administration, finance and governance for HAF. 2012 saw the addition of a staff volunteer coordinator as well as vast improvements in our financial status. We created a strategic plan, established an Advi-sory Council of prominent community supporters and recruited additional corporate represen-

tatives onto our Board of Directors.

As we hike though this beautiful and important green space of conservation, education, research and display, we’re proud of what we accomplished in 2012 but also aware that challenges remain as Portland Parks & Recreation’s re-sources decline.

Our visitors do not always know who provided the informative and educational signs, or built the Redwood Overlook Deck, or planted the collections. But we know who keeps Hoyt Arboretum moving forward. It’s you! It’s your hours nur-turing the trees and staffing the Visitor Center, your contributions that support HAF and help us make improvements to the Arboretum and your choice to remain a member when there are many other good causes for you to support. Be-cause of you, Hoyt Arboretum Friends will make the Arboretum an even more vital and relevant place as Portland’s mu-seum of living trees for generations to come.

So, our final words are heartfelt: Thank You!

From the Curator

In retrospect 2012 still feels like a busy year at Hoyt. With a new database, signage and two significant new plantings there was a lot going on.

The year itself was an interesting one with a cool wet spring and two late-season snow events followed by one of the longest dry summers in a great may years. We lost some magnolias in the March snow as the snow was wet and very heavy; I clearly remember walking through the collection and being disturbed by the amount of damage. Six trees were damaged beyond repair while many more were corrected due to the work of Parks’ horticulturist Steve Morgan and volunteer assistance cleaning away the debris. But opportunity comes as well, and next spring we will be adding new trees to replace those lost. With the long hot summer I was con-cerned all of the leaves would fall from the trees due to stress prior to the Fall Color Tour, but the rain made a predictable comeback and we had a splendid display of color to enjoy our Fall Color Tour.

We installed two new collections, including a redesign of the Visitor Center courtyard beds due to a generous donation from the Joyce M. Furman Memorial Trust. This redesign includes a new alpine plant area in a crevice-style rock garden. The plants are all alpine species from the Cascade, Wallowa and Siskiyou mountain ranges.

The second collection found along the Overlook Trail is a collaboration with Oregon State Uni-versity’s nursery breeding program in the form of a Cotoneaster collection, supported by a grant from the J. Frank Schmidt Foundation. Sixty-seven species of cotoneaster planted in a taxonomic layout reflect the sections and sub genera within the large genus. We will be moni-toring the planting for horticultural value, potential invasiveness and unfortunate traits of some species in this genus.

Lastly, and perhaps the biggest project last year, was the purchase of IRIS BG database in collaboration with Leach Botanical Garden, Hoyt Arboretum Friends and Portland Parks and Recreation. This new database has enabled us for the first time to make the database acces-sible to the general public through the Hoyt Arboretum website. Visitors can look up the loca-tion of the tree they wish to see and find its location along the trail on a map. Additional infor-

mation and photos of the plants are also available. For staff, the database has been easy to learn and use and is much more powerful at storing data than we were previously able to record.

In 2012 additions outweighed removals with 133 plantings and 67 removals. The removals were all dead trees or plants in the nursery.

As always I would like to thank all of the volunteers and donors who supported the collections work.

Earned and contributed income led to increased revenue of $194,723 or 135% over 2011. This was accomplished through increased individual and corporate contributions, foundation grants, rental income, retail sales and gain on investments.

Year-end appeal donations grew by 25% in 2011 and an additional 7% in 2012. Membership has nearly quadrupled from 208 to 802 in the last two years, and the number of corporate and foundation gifts grew from 14 to 45. These reve-nue increases led to a significant change in our bottom line from the 2011 deficit of $79,326 to $7,143 in 2012.

Education and Outreach

Portland Parks Environmental Education Programs began explor-ing the living beauty of Hoyt Arboretum in 2000. Each year since then, the numbers of people involved and the breadth of programming has increased, and 2012 was no exception. Environmental Education (EE) has, indeed, experienced “cresco.”

During our 2012 school year and summer education programs, 1,613 school-aged children visited the trees, plants and animals through

school field trips and Nature Day Camp. EE also gave 1,607 preschool-aged children a taste of Hoyt Arboretum through Ladybug Walks, Nuts About Nature, Rockin’ Robins Nature Camp and school field trips. Over 450 adults and 258 teen-aged youth experienced EE programs during the year as well. These groups of participants came from all parts of Port-land and the surrounding area and brought with them a wide range of cultural and ethnic demographics.

In addition to our diverse audience, we find that participant age, ecological theme and program length all help shape the EE programs taking place at Hoyt. Some visits were as simple as an hour-long nature walk with 2- to 5-year-olds while wearing the ever-popular Ladybug Backpacks, and other visits were more complex. Eighty teen participants in GRUNT (Greenspace Restoration and Urban Naturalist Training) and Jr. GRUNT do intricate studies of the plants and habitats to learn how to become engaging naturalists and gain job skills. Our Summer staff learns about the history of Hoyt Arbore-tum and explores its many trails preparing for the upcoming Nature Day Camps. Adults take part in night-hikes, guided nature walks and gain immensely as they learn along with school-aged children on field trips. The experiences offered at Hoyt Arboretum through PP&R Environmental Education are just as diverse as the place itself. And just as this amaz-ing, living museum experiences a constant “cresco”, so do the education programs happening amongst its branches and sunlit grassy knolls.

There is a second definition of “cresco” however; it also means “to come to be.” Environmental Education programs at Hoyt Arboretum not only teach about the diverse ecology, but they also strive to connect each participant to the natural world with first-hand, authentic experiences. Our hope for every EE program is that the children, youth and adults will come to love nature so that they can continue to care for the Arboretum in the future. We, as educators, find it hard to experience Hoyt Arboretum without being moved by its vastness, its dappled forest floors and its distant howling coyo-tes. We hope that we can help others experience the same each year.

Volunteers

Page 5

Volunteers play a critical role in all aspects of Hoyt Arboretum’s maintenance and programming. Their leadership, labor, and love are reflected everywhere - from the labeled trees and groomed trails to the smiling faces of visitors from all over the world.

Labor costs make up 80% of the maintenance budget for Portland’s parks, and volunteers provide nearly one-third of the labor that keeps our parks safe, open, clean and beautiful. The volunteer spirit that motivates so many talented and busy people is an essential part of keeping Hoyt Arboretum’s global garden growing, its trails safe and accessible, and its visitors informed about the Arboretum.

Volunteers are involved with the Arboretum for opportunities to learn new things, share knowledge and experiences, and maybe even develop skills towards a new career or hobby. Enduring friendships are born here, nurtured by shared pas-sions for trees, the Arboretum and the wonders of nature.

Volunteer support for HAF enables us to:

Maintain the Arboretum’s collections and 12 miles of trails Staff the Visitor Center to answer visitors’ questions and provide maps and brochures Guide outdoor tours to educate visitors about Arboretum plantings Offer special events at the Arboretum Add programs and projects

Volunteer Spotlight

Arborists in the Arboretum During the annual Arborists in the Arboretum Day, professional arborists from the Portland Metro area volunteer their expertise to care for our col-lections. Over 75 individuals from more than 25 local tree care companies donated their time during the 2012 Arborists in the Arboretum Day.

Tuesday Crew Tuesday Crew volunteers help multiply the work that Parks staff is able to accomplish by contributing four hours a week to mulching, weeding, build-ing stairs, hauling limbs and more. Many in this group have been volun-teering for over a decade and come rain, snow, or even sun.

Tour Guides Tour Guides help us meet our mission to educate people about the Arbo-retum’s collections as well as our role in global conservation of vulnerable and endangered tree species. These guides lead groups small and large, comprised of visitors ranging from young kids to timeless adults.

Visitor Center Volunteers Visitors Center staff are the face of Hoyt Arboretum Friends. They greet and direct visitors, sell memberships and gift shop merchandise, speak knowledgeably about the collections and encourage others to volunteer or get involved.
