Why Showcase Your Product?A unique opportunity at the technology conference is for vendors to showcase their product. Product Showcases are 75 minutes in length and will be offered throughout the entirety of the conference. Vendors are en-couraged to bring a current customer (in- or out-of-state) to the product demonstration so they can share their experience with the product with the audience. Product showcases will be held outside of the exhibit hall in a classroom style room. An LCD projector and screen will be available for use. Please allow ample time in your presentation for questions and answers. Product showcase allow for a more in-depth demonstration of your product that can be done in a less busy environment than the exhibit hall. There are a limited number of product showcase slots so reserve your space early! PCPA members will be given preference.

Please review all the materials and opportunities in this prospectus. Agreements must be completed by February 1, 2011 for companies to be included in printed materials. Booth space is available on a first-come, first-served basis. An early reply is suggested to all oppor-tunities. No contract is considered complete unless accompanied by payment.

Guidelines and Requirements for ParticipatingIn order to assure that all participants enjoy a successful conference experience, guidelines and requirements are necessary. Please read all items carefully and contact Jen Bankard (717-364-3280 or [email protected]) with any questions.

Registration and Housing Exhibitors must reserve housing directly with the hotel at 800-637-4817. A room rate of $95+tax is avail-able by indicating that you are registering for the PCPA conference.

Booth Specifications All booth spaces are 10’W x 8’D. One (1) 6-foot skirted table and two (2) chairs are provided. Additional exhibit tables can be reserved PRIOR to the event at the cost of $100/each. Electric and Internet connections are an additional cost and cannot be guaranteed without prior arrangement..

SecurityPCPA provides security for Exhibit Hall from 6:30 p.m. March 16 through 8:00 a.m. on March 17. Exhibitors are solely responsible for their own materials and should insure their exhibits against loss or damage. All property of exhibitors is understood to remain in their care, custody, and control in transit to or from or within the confines of Exhibit Hall.

PCPA is privileged to have many organizations support the association through direct sponsorship of activi-ties. Sponsorship opportunities begin as low as $1,000. Sponsorship opportunities include:

Shipping and StorageThe hotel is equipped to receive and store equipment prior to the conference. Equipment and exhibit supplies should arrive no earlier than March 14, 2011. Please identify each package with the following information:

Cancellation PolicyAll cancellations must be forwarded in writing to Jen Bankard, Director of Training and Resource Develop-ment, PCPA, Bldg 3, Ste 200, 2101 N Front St, Harrisburg, PA, 17110; 717-364-3287 (Fax); [email protected].

PCPA will refund all exhibit monies paid, less a $100 processing fee for cancellations received on or before February 11, 2011. No refunds are made for cancella-tions after February 11, 2011. Exhibitors who cancel after February 11, 2011 will be obligated to make full payment and will forfeit all monies paid.

Failure to occupy booth space does not release the exhibitor from obligation to pay for the full cost of rental. If booth space is not occupied by 2:30 p.m. on Wednesday, March 16, 2011 PCPA reserves the right to use the space as it sees fit to eliminate empty spaces in Exhibit Hall.

Sponsorship Information

Companies interested in sponsorship at the tech-nology conference should contact Jen Bankard (717-364-3280 or [email protected]) directly to discuss available sponsorship opportunities. No sponsorship contracts are accepted prior to ap-proval by Ms. Bankard. Opportunities are available on a first-come, first-served basis. Sponsors are recognized in print materials directly distributed to professionals statewide and available to many more through the con-ference web site. On site recognition is accomplished through professionally designed and printed displays.

Set Up and Dismantle Exhibits are set up on Wednes-day, March 16 from 10:00 a.m. – 2:30 p.m. All exhibits must be prepared by the Exhibit Hall Opening that begins at 2:30 p.m. Exhibits are dismantled on Thurs-day, March 17 after 4:30 p.m. Tear down must be completed by 8:00 p.m. PCPA requires that exhibitors maintain their displays throughout the hall hours.

Advertising PolicyPCPA retains the right to exercise control over the content of its publications in order to fulfill its legal obligations and mission. The associa-tion reserves the right to unilaterally reject or cancel advertisements in its publications for any reason at any time. All advertising is subject to association approval. PCPA complies with provisions of federal laws prohibiting discrimi-nation. Placement of ads is at PCPA’s discretion.

Publication of an advertisement does not constitute endorsement or approval of any products or services advertised, any point of view, standard, or opinion presented therein. PCPA is not responsible for any claims made in an advertisement appearing in its publications.

The advertiser assumes liability for all ad content including text preparations and il-lustrations. Advertiser claims for errors will be decided on a case-by-case basis with discounts offered for the advertisement in question if it is determined that PCPA made the error and

that the error seriously affected the advertising results. Advertisers who comply with deadlines are included in the program materials distrib-uted by PCPA during winter 2011 and on site in registration materials.

Discounts are available to companies who choose to participate in more than one activity (product showcase, exhibit or advertising).

The placement of an order for an advertisement constitutes acceptance of rules and conditions. No cancellations of advertisement will be ac-cepted after the deadline of February 1, 2011. Advertising orders received after February 1, 2011 will not be included.
