Architecture and TerminologyOracle®Application Integration Architecture (AIA) Process

Integration Packs (PIPs) are pre-built integrations built upon

the Oracle AIA Foundation Pack. PIPs are products that

implement a specific set of business processes between

specific applications. In this article we are exploring the

integration between Oracle E-Business Suite and Oracle

Primavera P6.

Who Owns What Data?Oracle architected the Primavera P6-EBS Projects PIP to

take advantage of the inherent strengths of Primavera P6

and Oracle E-Business Suite applications, regarding data

ownership and data flows.

Oracle E-Business Suite Projects Applications own the

Global Objects and the financial data for a project.

One global Planning Resource List is required in Oracle

E-Business Suite Projects.

Primavera owns the scheduling and progress information for a

project. Each Primavera installation supports one currency.

Because different entities follow unique business processes

and like to manage their projects in different ways, the

new integration model allows organizations flexibility

in managing the project creation and update cycle.

Organizations can choose to create projects either in

Primavera or Oracle Projects knowing synchronization will

occur between the two applications while honoring the

stringent business processes of both products.

The Process and Data FlowsThe Primavera P6-EBS Projects PIP offers several options

for integration. You can choose to use Oracle workplans

or financial plans in conjunction with Primavera’s Work

Breakdown Stuctures (WBS), as well as fully shared

structures, partially shared structures or only financial

structures. In the remainder of this article we will discuss

fully shared, workplan-enabled integration. Contact us to

discuss other configurations.

Workplan-Enabled Project Integration,Shared StructuresA shared structure has the same workplan and financial

structure. Users can create a project either in Primavera P6 or in

Oracle Projects. Projects created in P6 will include a WBS, tasks,

and resource assignments, and can use the interface to create

a workplan in Oracle Projects. For projects created in Oracle

Projects, the Oracle workplan structure is always transferred

as WBS nodes in Primavera P6. In this configuration, actual

cost data is always sent from Oracle Projects to Primavera

P6 to manage the financial progress of a project. Calculation

of Percent Complete and Estimate to Complete (ETC) is

always managed in Primavera P6. Activities and resource

assignments are initiated in Primavera P6 and transferred to

Oracle Projects, and can then be updated in Oracle Projects

with the updates transferred to P6. The Financial plan can be

generated in Oracle Projects either manually or from workplan

resources, and can be transferred to Primavera P6 as current

budget attributes of the WBS node.

Getting AcquaintedThe screenshot below shows the use of the Primavera P6-

EBS Projects PIP for a project that is workplan enabled,

with shared structures. The Integration Dropdown menu

is utilized to synchronize the project between P6 and

Oracle Projects.

In this scenario the following project status elements are

transferred from P6 to Oracle Projects:

• ProjectStructure

• WBSandTasks

• ResourceAssignments

• Dates

The following screenshot shows the transfer of Actuals from

Oracle Projects to Primavera P6. Both raw and burdened

For more than 100 years, Avista

(www.avistautilities.com) has

generated power and delivered

natural gas and electricity to

customers in Washington State.

Today, that includes 600,000

customers in Washington, as

well as customers in Oregon and

Montana. The publicly traded

utility has 1,500 employees and

annual revenues of more than

$1.3 billion.

In early 2007, finance and

accounting personnel at corporate headquarters in Spokane

identified the need to improve and accelerate reporting and

analysis from their Oracle E-Business Suite environment.

A particular area of focus was variance reporting, where

Avista’s dynamic and fast moving business environment

requires fast, flexible real time reports. Financial users

wanted to spend less time formatting data and more time

understanding and analyzing it in order to make better

business decisions.

Quick and readable reports requiredThe utility industry has complicated accounting requirements,

with both fixed and variable charges, thousands of assets,

different type of customers, varied rates and, for Avista,

different state taxes and charges. This level of complexity

led to the necessity for comprehensive, easily readable

reports for financial analyses.

To help finance and accounting personnel quickly create

the presentation quality reports required in this complex

business environment, Avista needed a report builder with

capabilities beyond the Applications Desktop Integrator

(ADI) currently in use. Also, the staff liked using Microsoft

Excel spreadsheets for corporate accounting tasks, but

creating such spreadsheets required hand keying and

format changes in the current

environment. In addition, use

of the Financial Statement

Generator (FSG) for creating

reports required a number of

steps to get the report into an

Excel format.

Simple solution for complex accountingWith multiple business lines

and numerous departments

experiencing the same issues

surrounding report creation

and data analysis, a team of managers formed to select

a software product that could accelerate reporting

and improve productivity. The main goal was to simply

“make accounting easier,” according to Jenny McCauley,

Accounting Analyst for Avista.

Finding a program that would integrate with the company’s

Oracle enterprise system with minimal involvement

from information technology (IT) staff was also critical. In

addition, team members did not have time for long training

windows, so they needed a product that could be used

almost immediately.

After testing two software applications using actual

company data, Avista purchased and installed GL Wand

from Excel4apps in March 2007. GL Wand is an Excel based

Oracle General Ledger (GL) reporting tool designed for

finance departments using 11i or R12.

With GL Wand, Avista users can easily create, edit and

publish finance spreadsheets and reports without IT

assistance and with very little training. Because it was

developed exclusively for Oracle Financials, GL Wand is

easily integrated with that product and simple to install

and maintain.

With minimal training time, Avista users were able to immediately

see benefits from the GL Wand installation. Many individuals

were able to shave hours off of their daily activities within just a

few minutes of being introduced to the system.

Broad user support and benefitsAvista’s entire finance department now uses GL Wand,

including executives, who appreciate how easy it is to drill

down to line item data. Income statements and balance

sheets for all business units are now easier to analyze for

finance users and executives.

All necessary spreadsheets have been rebuilt in GL Wand, so

instead of importing data from various sources to compile

reports, data is automatically populated and spreadsheets

are built within minutes. New data inputs are shared across

all spreadsheets, and reports are immediately readable and

attractive, eliminating the painstaking formatting task.

“We have basically eliminated our human error potential

while speeding up processes,” explained McCauley. “We

also have given our analysts and accountants a tool to help

them find problems and opportunities within our financials

far easier than before.”

Comparison reports are simple with only a date change

necessary. Executives especially appreciate the ability

to make their own data comparisons and build their own

reports.

“Our executives are right on board and can do their own

comparisons,” McCauley described. “They love that.”

Oracle support personnel have appreciated GL Wand’s

ease of use and how it works within the Excel interface,

making it uncomplicated for accountants. GL Wand users

have also found that support from Excel4apps is quick and

convenient.

With the success of GL Wand, Avista chose to also install

the newest product from Excel4apps: Budget Wand. This

product allows Excel to be used as the front end to the

Oracle General Ledger Budgeting functionality, further

contributing to fast and smooth accounting and finance

operations at Avista.

“With GL Wand and Budget Wand, reports of all types are

quicker to generate,” McCauley said.

Like all technology, Oracle’s E-Business Suite is constantly

evolving to provide new and easier to use functionality.

Similarly, the E-Business Suite reporting tools are also

evolving. Older tools are being enhanced and new tools

become available. Transforming E-Business Suite data into

relevantinformationisnoweasierthanever.However,with

so many changes and new options, understanding which

tools work best for your organization can certainly be

challenging. That is why OAUG and IT Convergence are

offering a workshop to help determine what reporting tools

will work best for you.

The workshop provides an overview of all of the reporting

tools typically used for reporting E-Business Suite Data.

It starts with the basic operational reporting tools such as

Oracle Standard Reports and Financial Statement Generator

(FSG) Reports. The workshop continues with the tactical

reporting tools such as BI Discoverer and various Noetix

tools. Finally, the workshop focuses on strategic reporting

tools such as Oracle Business Intelligence Enterprise Edition

and Oracle Business Intelligence Analytics. A key feature of

the workshop is to provide students with actual hands-on

exercises on many of the products so they truly understand

how the tools work from the end user perspective.

This workshop is targeted at two groups of users:

• NewE-BusinessSuiteusers.Thisgroupistryingto

understand all of the reporting options available.

They then will develop an implementation approach

that fits their reporting requirements, timeline

and budget.

• ExistingE-BusinessSuiteusers.Thisgroupwantsto

get to the next level of reporting to expand their

current capabilities. Within each of these groups,

both end users and IT technical staff have attended

the workshops. Their feedback has been interesting.

End users focus on how quickly they can create reports,

graphs, dashboards, etc., depending on the specific reporting

tool they are using. While the exercises do cover much of

the functionality, these exercise are not intended to make

anexpertonaspecifictool.However,Ihavebeensurprised

to see how far some of the students were able expand on

the basic exercises to try more complex functionality to

meet their actual reporting requirements. I could see the

excitement in their eyes when they were able to get a report

or dashboard that would work for their organization.

IT technical staff appreciated the ease of use of these

tools but also want to know what it takes to install and

maintain the environment to support these tools. While

this workshop focuses on end users, we do cover some of

the planning and infrastructure issues associated with each

tool. End users understand there is work to do before the

tools can be available. IT staff also realizes this was just the

beginning and that other workshops such as the OBIEE for

Administrator workshop may be the next step in their quest

to understand what is needed.

The student feedback on the workshop has been positive.

They liked the fact that one workshop could review a wide

range of reporting options. They also liked the ability to

get actual hands-on experience with many of the products

to understand their functionality and make comparisons

to determine which will fit best in their organization. For

larger workshop classes, students also have the chance

to learn from each other. They readily discuss their own

experiences with different reporting tools. They may also

gain some insight as to how other organizations are making

their reporting tool decisions.

From my personal perspective, I enjoy leading these

workshops. I am able to use my thirty plus years of IT

experience to help others with their reporting tool decisions.

I also can state that I learn something from each workshop.

In some cases, a student may show me something about

a tool which I did not know. In other cases, a student will

ask a question that forces me to research a new topic. This

provides me an opportunity to keep up with the constantly

evolving E-Business Suite reporting technology.

1. Will we need both real-time reporting and analytics? Most customers do and you probably will, too.

You will want to look at solutions that provide

access to real-time transaction data as well as data

warehouse models for more complex analysis.

2. What functional areas will we need coverage for? Don’tfocusonjustFinancialsorHumanResources

simply because you need to implement those

modules first. Look at your more complex (and

less obvious) applications such as Enterprise Asset

Management, Time and Labor or Depot Repair.

Try to find a solution that provides coverage for everything needed now and in the future.

3. We already own a few BI tools – can we continue to leverage those? You might have users who are familiar with Oracle® Discoverer. Maybe you have a department that is experienced

with IBM® Cognos® BI or SAP® BusinessObjects™. It’s possible that you just purchased OBI EE from Oracle and

are looking forward to using it. Many organizations have more than one of these platforms. It makes good

business sense to look at options that allow you to get value from your existing investments, while providing a

common “data model” that remains consistent across the tools used throughout your organization.

4. How will an EBS upgrade affect my BI reporting? Whether you’re currently on R12 or still on 11i, you are almost certain to go through an EBS upgrade at some

point— probably multiple times. You will want a BI solution that makes those upgrades easier—something that will

protect your reports and dashboards (and customizations you may have made) when you do the upgrade, so you

don’t have to redo all of that hard work.

5. What experiences have others gone through? Look for a solution that you know will work—something proven, something currently in use by organizations like

yours (similar size, similar industry, similar user requirements), and something mature enough to have gone

through a few upgrades. It’s also a good idea to try to network with other Oracle EBS customers to learn firsthand

of their successes and challenges.

The transition from 11i to R12 is a major initiative for any E-Business Suite (EBS) customer. 11i customers can now upgrade

instead of reimplement, shorten the time-to-value at a lower cost, and provide a better R12 result for both the business

and IT.

DefinitionsUpgrade – Maintain all existing setups and use Oracle scripts to move all the data from R11i to R12 Reimplement –

Configure a new instance, extract and convert existing data, and load the data into the new instance. Generally customers

bring over a limited amount of data and reposition the existing instance as a read-only legacy instance to maintain an

audit trail.

Setups – Not Easily ChangedThe reason customers had to make the choice between reimplementing and upgrading in the first place is the underlying

“setup” concept. There are certain types of setups “that are not easily changed” within Oracle E-Business Suite.

Oracle EBS data loading using appLOAD™ at LifeWay Christian Resources

LifeWay Christian Resources is a religious nonprofit

organization and is an entity of the Southern Baptist

Convention. LifeWay produces Bibles, church literature,

books, music, audio and video recordings, church supplies,

and Internet services. The ministry operates 154 LifeWay

Christian Stores across the country. LifeWay’s home office is

in Nashville, Tennessee, where about 1250 employees work.

LifeWay has successfully implemented Oracle EBS Financials,

Projects, APC, Inventory, Purchasing, Order Management

and Advanced Pricing modules for its global operations.

LifeWay is on version 11.5.10.2 and their production

database size is 1200 GB.

The Struggle with DataLoaderManual mass data loading/maintenance within Oracle

E-Business Suite can be tedious and very time consuming.

LifeWay utilized DataLoader for performing data loading

as an alternative to manual methods. The DataLoader tool

The automotive industry aftermarket is worth more than

$250 billion and growing annually. With a booming market

such as this, it is no surprise that many distributors of

aftermarket automotive products have expanded their

operations in order to reach additional markets and

manage due to the shared aspects of the different systems

as well as the disparate aspects between them.

The company is headquartered in the US but has extended

its network to Canada, an initiative that required additional

IT support in the form of an additional instance of its

Oracle E-Business Suite (EBS) ERP system as that provided

the shortest time to a go-live. Both the US and Canadian

enterprise-class data centers operated a production

instance, a test instance, a development instance, and a

project instance in addition to the backup and DR instances,

and the maintenance costs were simply out of line with

growing the business efficiently.

The two main areas of the business involved with the

planning and decision making for the consolidation project

simultaneously developed their own business cases for

going forward:

Regional production instances were an obstacle to business

improvements and the ability to grow. Additionally, the

sales from Canadian operations accounted for only 10% of

the company’s total revenue, but the level of IT support

required to maintain the Canadian instance was virtually

equivalent to that required to maintain the US instance.

It made very little sense for 10% of the revenue to be

burdened by the cost structure of an entire EBS instance.

Project Planning and RoadmapThe consolidation project was done in three stages. The first

stage started involved running eprentise Metadata Analysis

to discover the scope of the project and identify the rules

that needed to be created by eprentise Consolidation

software. The second stage of the project moved all of the

data, including history, from the Canadian instance into

the US instance. The third phase of the project focused on

standardizing all configurations, resolving duplicates, and

restructuring operating units and inventory orgs to allow the

business to leverage suppliers, execute common business

processes, and do business as a truly global enterprise.

ResultsBy using eprentise Software to consolidate two regional

instances to a single, global instance, the company saved

millions of dollars and months of project time compared to a

similar company’s alternative approach of hiring consultants

to do a manual data migration.
