"Sunnah Nabawiyyah dan Sejauhmana Salaf dan
Mutakhirin Mengambil Perhatian Terhadapnya"
Sedat Ghani Islami
Akhirnya semoga
Allah S.W.T. memperkenankan apa yang disampaikan.

GUIDELINES FOR ACADEMIC EXERCISE (AE)
1. Introduction
The primary objective of the Academic Exercise (hereinafter
referred to as “AE”) is to provide students of IPISHOAS with
practical training, skills and experience in conducting
study/research (in the library and in the field), compiling,
synthesizing and analyzing data, and presenting their findings
in the form of an academic report. The students are normally
free to choose their own study/research topics, after which
they will, under the guidance and supervision of a supervisor
appointed by the Board of the Institute from among the staff
of the department concerned, plan their research activities,
analysis the data collected, and write the report. It is hoped
that this course will be relevant to their career, especially
those who plan to pursue higher studies.
2. Status and Nature of the Course
(i) The AE is a Final Year course, equivalent
to 6 units, undertaken in the Semesters VII
and VIII. The course involves no lecture or
tutorial. The students are expected to use their
knowledge of research, data analysis and report
writing acquired in other courses and to combine
this knowledge with that acquired through their
own independent reading. In some cases, the
students may be required to audit relevant
courses or to follow a directed reading schedule
or programme drawn up for them by their
supervisors.
35
(ii) These guidelines are, therefore, drawn up mainly to
standardize the basic procedures common to every
discipline and department so that every student,
irrespective of his discipline, will work under
identical requirements and conditions to produce
reports which are of satisfactory quality and
standard.
3. Guidelines for Various Stages of the Course
3.1. Initial Preparation
(i) Although the AE is a final year course, all
students should start thinking about their
study/research topics early and select a topic in
Semester V. The department concerned will
assist by reminding the students about the
exercise.
(ii) Every student must submit to his Head of
Department the proposed topic, the tentative
title and a synopsis of his proposed
study/research the 12th week of Semester V.
This will give the department sufficient time to
assess the suitability of the proposed research
topic and appoint a supervisor. If the topic
requires fairly extensive fieldwork the student
must commence the study/research immediately
after the examination period.
(iii) Once the topic has been approved by the
department concerned, a supervisor from the
department will be appointed for every student.
The student will then be required to prepare and
submit to his supervisor the following details of
his proposed study/research as follows:
- Introduction
- Scope of the study/research
36
- Methodology and data collection
schedule
- Goals and objectives of the
study/research
- Significance of the study/research
- Literature review
- Tentative chapter outlines
- Bibliography
3.2. Data Collection/Field Research
(i) The main study research (data collection)
activities, both library and fieldwork, must
be completed by the end of the long
vacation of the third academic year.
(ii) During the study/research period, every
student must submit periodical reports to his
supervisor on the progress of his data
collection activities.
(iii) The student must show to his supervisor,
not later than a week before the start of
Semester VII, the kind, quality and quantity
of field data that he has collected.
(iv) The supervisor would then assess the
suitability and the adequacy of the data
collected and give appropriate advice and
recommendation to the student especially in
respect to what should still be carried out if
the data collected are not adequate.
3.3. Compilation, Processing and Analysis of Data
Both library and field work must be carried out by the
student with minimal supervision from the supervisor.
The compilation, processing and analysis of all his data
37
must be completed by the end of Semester VII. The AE
is to be written in Semester VIII.
3.4. Report Writing
(i) The length of the AE must not be less than
12,000 words and not more than 18,000
words, excluding tables, figures, footnotes
(end notes) and bibliography. If the length
were to exceed 18, 000 words, the prior
approval of the Head of Department
concerned must be obtained.
(ii) The student must follow the standard format
for the AE as determined by the Institute.
3.5. Binding
(i) The AE must be bound with green-
coloured cover.
(ii) The title of the AE, the name of the student
(author), the name of the department and the
Institute and the academic year must be
printed on the cover.
(iii) The name of the student and the title of
the AE must be printed on the spine.
(iv) All words must be in golden print.
3.6. Submission
(i) The student must submit to the Head of
Department concerned two unbound copies
of the AE for examination by the end of the
eighth week of Semester VIII.
38
(ii) When the AE has been examined and given
a pass, the student must submit to the Head
of Department concerned the original and
three (3) copies of the AE not later than one
month prior to the commencement of the
Semester VIII Examination.
3.7. Assessment
(i) The AE will be examined by two examiners
who shall be the student‟s supervisor and
another member of the staff of the
department concerned. In the event that the
marks differ but are within the same grade,
the marks will be combined and the average
mark arrived at shall be the mark given to
the AE.
(ii) A third examiner will be appointed from
among the staff of the same department in
the following circumstances:
a) if the AE has been given a pass but
different grades have been given by the
first two examiners, a third examiner will
be appointed to examine the AE. The
marks given by all the three examiners
will then be combined and the average
taken. The average mark arrived at will
determine the grade to be given to student.
b) if the first two examiners disagree – with
one giving the AE a “pass” and the other
giving the AE a “fail”, a third examiner
will be appointed to examine the AE. The
decision of the majority of the three
examiners shall then prevail in such cases.
39
In other words, such case shall be dealt
with as follows:
1) if the third examiner gives the AE a
pass mark then this mark will be
combined with the pass mark given by
the earlier examiner and the average
mark arrived at will be the mark to be
given to the AE and will determine the
grade to be given.
2) if the third examiner gives the AE a
fail mark then this mark will be
combined with the fail mark given by
the earlier examiner and the average
mark arrived at will be the mark to be
given to the AE and will determine the
grade to be given.
(iii) In conveying the result of the AE to the
student, only the grade will be made known
to him.
(iv) A viva voce may be held for a
borderline case. The viva voce will be
conducted by the Head of Department
concerned and the examiners.
(v) A student who fails this course will be
required to re-write the AE according to the
recommendation by the examiners and
resubmit it for re-examination. A revised
AE which is given a pass will be given the
minimum pass mark and the minimum pass
grade.
41
4. Responsibilities of Supervisor, Student and Head of
Department
4.1. Supervisor
The duties and responsibilities of a supervisor are as
follows:
(i) to advise, guide and supervise the student
under him in respect of the AE;
(ii) to ensure that the student, in the course of
planning, carrying out the study/research
and writing the AE, stays within the scope
of the study/research;
(iii) to monitor the student‟s progress and take
immediate remedial measures for any
problem observed or encountered by the
student;
(iv) to direct the student in report writing,
noting and highlighting and to explain to the
student any major weaknesses or flaws in
the report which need to be revised or
modified and to ensure that the
recommendations of the supervisor are
carried out. It is not the duty of the
supervisor to edit the AE; such task is the
sole responsibility of the student; and
(v) to submit periodical reports to the Head of
Department concerned on the progress and
performance of the student.
4.2. The Student
41
All aspects related to the planning and carrying out of
the study/research, data analysis, and the writing of the
AE are to be carried out by the student under the
minimum guidance of the supervisor. The student‟s
responsibilities are:
(i) selecting the topic for the study/research
provided that the topic must be approved by
the Head of Department concerned;
(ii) planning and carrying out the field work,
data analysis, writing, binding and
submitting the AE for examination.
(iii) Giving periodical reports, written or oral,
to the supervisor pertaining to the progress
of his study/research, data analysis and
report writing; and
(iv) Planning, in consultation with his
supervisor, a schedule for supervision.
4.3. Head of Department
The responsibilities of the Head of Department are:
(i) to submit the title of the AE and the name of
the proposed supervisor for the approval of
the Institute Board at the earliest
opportunity, but not later than the end of
Semester VI;
(ii) to draw up departmental level guidelines for
the AE within the guidelines set by the
Institute;
(iii) to institute a mechanism to monitor the
progress of the student, for example,
42
through periodical reports and departmental
seminars in consultation with the
supervisor; and
(iv) to convene departmental meetings, to
consider and approve proposals, to propose
appointment of supervisors, to recommend
the AE for submission to propose
appointment of examiners, and to discuss
any other matters pertaining to the AE.
