Youth Grand Challenges 2017

Guidance for applicants

Guidance for students and young people

Prior to starting your application please check that you agree to the Terms and

Conditions of entering the Youth Grand Challenges 2017 competition and meet the

eligibility criteria outlined in them.

Stage 1: Competition portal registration

The Youth Grand Challenges portal can be accessed on

https://ygc.fluidreview.com/ . Once on the site, you will need to sign-up for an

account before beginning your application.

You can begin this process by clicking the Sign Up button below the “Need An

Account” heading, as shown in the bottom right of the picture below.

After doing so you will be directed to the Sign-Up page as shown overleaf. Once on

the page fill in your details, making sure to use an email address that you can easily

access.

After filling all the details required, click the Register button at the bottom of the Sign

Up page to submit your registration.

Stage 2: Confirm your registration

After submitting your registration you will receive a confirmation email to the email

address you provided in stage 1. To confirm your registration and activate your

account, you will need to click on the link in the second paragraph of the email as

shown below.

If the confirmation email does not arrive in your inbox within 10 minutes, check your

spam folder to ensure it is not there. If the email is not in your spam folder please re-

register in the same way as described in stage 1.

Stage 3: Complete the Eligibility form

After activating your account, you will automatically be taken to your Youth Grand

Challenges homepage. This homepage shows the tasks that must be completed to

enter the Youth Grand Challenges competition. To enter, you will need to complete

the Eligibility form task.

To begin this task, click on “Start” under the actions column as shown in the bottom

right of the image below.

Once on the Eligibility form page, fill in the details required. Questions marked with

an asterisk must be filled in before you can complete the form.

As you may only enter the Youth Grand Challenges 2017 competition once, you

may only select one level of CREST award on question 3. If you have completed

multiple levels of CREST award, you will need to decide which of your awards you

would most like to enter.

To save your answers and remain on the page to edit them, click Save and Continue

editing at the bottom of the page. To submit your eligibility form click Save and Exit –

Once you have submitted your form you will not be able to edit it without

contacting the portal administrators, so please make sure to check your answers are

correct.

Stage 4: Submit your Youth Grand Challenges Entry

Upon completion of your eligibility form, you will be redirected back to your

homepage, which will now have an added ‘Your Awards’ section visible below

‘Your Tasks’. To begin your submission to the Youth Grand Challenges competition,

click on the View Awards button, as shown in the bottom left corner below.

Once through to the Awards page, you will see 1 award you are eligible for. To start

your entry, click on the Create Submissions button in the bottom right corner of the

page.

Once on the create submissions page, you will see 6 tasks. To submit your

application, you must complete the following 3 mandatory tasks: Student

Application Form, Profile Form & Project Report.

To start each task, click on start under the actions column. To save the work you

have done in order to exit and return to it later, click the Save & Exit button on the

bottom of the page at any point.

Student Application Form

Here you will need to fill in the details of the CREST project you or your team will be

entering to the competition. After filling in your Project title and CREST registration

number or project id (if you do not yet have either of these you may leave it blank.

You will need to provide one before the deadline of 26 September 2017 if this is the

case), fill in the number of students in your group. If you are entering on your own,

this number will be 1.

After clicking next to go onto the next set of questions, you will see the page below.

This page will be shown once for every member of your group (including yourself).

After you have filled in the details of you or your team member, select Next to input

the details of your next team member (if in a group). If you or a team member

would prefer not to share certain demographic information about themselves,

please select the “prefer not to say” option.

After selecting next for the final time, you will be shown the final page of the Student

Application Form.

Questions 5 – 7 will be used to allocate a judge for your project, and will not be used

to assess your project.

Questions 8 and 9 will be used to assess your project, so you should think carefully

about your answers. If you would like to save your answers at any point, ensure you

click the Save & Continue Editing button at the foot of the page.

Question 10 confirms that you consent to the terms of the Youth Grand Challenge

2017 competition. Please read them using the link provided below the question

before consenting.

To complete the form, select the Save and Exit button at the bottom of the page. If

you would like to make changes to your entry at any point after submitting, select

the Edit option in the “Actions” column.

Profile Form

In this task you will need to upload your (or one of your group members’) CREST

Student Profile Form. This form includes the project checklist and personal reflections

about your experience and what you learnt, and is submitted to CREST assessors

when considering your award. If you have not yet completed a Profile form or are

not sure where yours is, ask your teacher or CREST mentor to provide you with one.

To upload your form, drag a file from your desktop into the area marked with the

dash line in the image below, or click on the Browse for a file button. This will then

open a window where you can select the file you wish to upload from your

computer.

Please note only pdf or word documents are accepted, so ensure your file is in one

of these formats.

Once you have uploaded your document you will see the window below.

To confirm your upload and exit back to your tasks page, select the Back button at

the top right of the page.

Project Report

Here you will need to upload the CREST Student Project Report that you are required

to complete to earn your CREST award. If you have not yet completed a CREST

Project Report or are not sure where yours is, ask your teacher or CREST mentor to

provide you with one.

To upload your form, drag a file from your desktop, or click on the Browse for a file

button in the same way you have done for your Profile Form.

To confirm your upload and exit back to your tasks page, select the Back button at

the top right corner of the page.

Additional media 1/2/3 – Optional

For the remaining 3 tasks, you are able to upload between 1 to 3 photos or

documents to support your application. These could be photos of your project that

help to demonstrate your final solution, or files containing the data you use or

generated during your project. These tasks are optional, and you do not have to

upload anything if you do not wish to.

To upload additional media, click on the start option under the “Actions” column.

To upload your media, drag a file from your desktop, or click on the Browse for a file

button in the same way you have done for your Profile Form and Project Report.

To confirm your upload and exit back to your tasks page, select the Back button at

the top right of the page.

Please note your additional media must be in document (.doc, .docx or .psd), photo

(.jpg or .png), Pdf, presentation (.ppt, .pptx or.key) or spreadsheet (.xls, .xlsx or .csv)

format.

Stage 5: Submit your Youth Grand Challenges 2017 Entry!

Once you have completed the 3 mandatory tasks and any optional additional

media uploads you will be ready to submit your application.

Once you have submitted your application you will not be able to edit it, so

please ensure you have checked and are happy with your tasks before

submitting.

To submit your Youth Grand Challenges 2017 entry, you will need to press the Submit

Your Application button below the “Additional media 3 – Optional” task, as shown in

the image below.

After selecting this option you will be directed to a final confirmation page as shown

below. To submit your entry, select the Continue button.

submission has been submitted.

Guidance for educators and adults representing young people

Prior to starting your application please check that you agree to the Terms and

Conditions of entering the Youth Grand Challenges 2017 competition and the

student(s) you are representing meet the eligibility criteria outlined in them.

Stage 1: Competition portal registration

The Youth Grand Challenges portal can be accessed on

Stage 2: Confirm your registration

Stage 3: Complete the Eligibility form

Once on the Eligibility form page, fill in the details required. Questions marked with

To save your answers and remain on the page to edit them, click Save and Continue

editing at the bottom of the page. To submit your eligibility form click Save and Exit –

Once you have submitted your form you will not be able to edit it without

contacting the portal administrators, so please make sure to check your answers are

correct.

Stage 4: Submit Youth Grand Challenges Entries

Upon completion of your eligibility form, you will be redirected back to your

homepage, which will now have an added ‘Your Awards’ section visible below

‘Your Tasks’. To begin your submission to the Youth Grand Challenges competition,

click on the View Awards button, as shown in the bottom left corner below.

Once through to the Awards page, you will see 4 award types: Bronze, Silver, Gold

and Discovery. For Bronze, Silver and Gold, you will be able to create an unlimited

number of submissions, whilst for Discovery you will be able to create one.

Creating Bronze/Silver/Gold submissions

To create a submission, click the Create Submissions button under the “Actions”

column for the level of award your student is applying for.

Once on the create submissions page, you will see 6 tasks. To submit an application,

you must complete the following 3 mandatory tasks: Teacher Application Form,

Profile Form & Project Report.

To start each task, click on start under the actions column. To save the work you

have done to exit and return to it later, click the Save & Exit button on the bottom of

the page at any point.

Teacher Application Form

Here you will need to fill in the details of the CREST project your students will be

entering to the competition. After filling in the Project title and CREST registration

number or project id (if your student has yet to receive this from the local

coordinator you may leave this blank. You will need to provide one before the

deadline of 26 September 2017 if this is the case), fill in the number of students in the

project you are entering.

After clicking next to go onto the next set of questions, you will see the page below.

This page will be shown once for every student in the group you are representing.

After you have filled in the details of your student, select Next to input the details of

the next team member (if representing a group).

After selecting next for the final time, you will be shown the final page of the Teacher

Application Form.

Questions 4 – 6 will be used to allocate a judge for each project based on expertise,

and will not be used to assess students’ project.

Questions 7 and 8 will be used to assess their project. Answers must be the students

own.

Question 9 confirms that you and your students consent to the terms of the Youth

Grand Challenge 2017 competition. Please read them using the link provided below

the question before consenting.

To complete the form, select the Save and Exit button at the bottom of the page. If

Profile Form

In this task you will need to upload one CREST Student Profile Form. If submitting a

group project, choose one group member’s form to upload. This form includes the

Project Report

Here you will need to upload a CREST Student Project Report that students are

required to complete to earn their CREST award.

To upload this report, drag a file from your desktop, or click on the Browse for a file

button in the same way you have done for the Profile Form.

To confirm your upload and exit back to your tasks page, select the Back button at

the top right corner of the page.

Additional media 1/2/3 – Optional

For the remaining 3 tasks, you are able to upload between 1 to 3 photos or

documents to support your students’ application. These could be photos of their

project that help to demonstrate their final solution, or files containing the data used

or generated during their project. These tasks are optional, and students do not

have to upload anything if you do not wish to.

the image below.

After selecting this option you will be directed to a final confirmation page as shown

overleaf. To submit your entry, select the Continue button.

Once you have selected this option, you will be directed to a page confirming your

submission has been submitted. From here you will be guided back to your

homepage, where you will be able to create more submissions using the same steps

taken for your previous submissions.

Creating Discovery Submissions

To create a submission, click the Create Submissions button under the “Actions”

column for the Discovery level award. You will only be able to submit one Discovery

project that will represent your school/organization. Prizes will be allocated on a

school basis so please upload only one project that best represents your Discovery

projects.

Once on the create submissions page, you will see 4 tasks. To apply, you must

complete the following 2 mandatory tasks: Discovery Application Form and Sample

Discovery Passport/Project Report.

Discovery Application Form

Here you will need to fill in the details of the Discovery project you will be entering to

the competition. After filling in the Project title and CREST registration number or

project id (if your student has yet to receive this from the local co-ordinator you may

leave this blank. You will need to provide one before the deadline of 26 September

2017 if this is the case), fill in the number of students of the specific Discovery project

you are entering.

After clicking next to go onto the next set of questions, you will see the page below.

This page will be shown once for every student in the group you are representing.

After you have filled in the details of your student, select Next to input the details of

the next team member.

After selecting next for the final time, you will see the final page of the Discovery

Application Form, as shown overleaf.

Question 4 asks for an estimate of the total number of young people in your

school/organization that took part in a Youth Grand Challenges Discovery award.

This figure will be used to estimate total participation numbers, and will not influence

the judging of the project.

Question 5 confirms that you and your students consent to the terms of the Youth

Grand Challenge 2017 competition. Please read them using the link provided below

the question before consenting.

To complete the form, select the Save and Exit button at the bottom of the page. If

you would like to make changes to your entry at any point after submitting, select

the Edit option in the “Actions” column.

Sample Discovery Passport/Project Report

In this task you will need to upload one CREST Discovery Passport to represent your

group of young people. If you have already completed a Discovery award with your

students using a Project Report, you may upload one in-stead of a Discovery

Passport.

To upload this form, drag a file from your desktop into the area marked with the

dash line in the image below, or click on the Browse for a file button. This will then

open a window where you can select the file you wish to upload from your

computer.

Please note only pdf or word documents are accepted, so ensure your file is in one

of these formats.

Once you have uploaded your document you will see the window below. To

confirm your upload and exit back to your tasks page, select the Back button at the

top right of the page.

Images

You may also wish to upload photos illustrating your student’s work on their Discovery

project. To do so, click start under the “Actions” column for the Photos task.

To upload photos, drag a file from your desktop, or click on the Browse for a file

button in the same way you have done for the Sample Discovery Passport/Project

Report.

Additional Supporting Documents

If the young people you are representing produced a presentation or project report

(in addition to their Discovery Passport) during their Discovery award, you may

upload this to support their application.

To upload additional media, click on the start option under the “Actions” column.

To upload media, drag a file from your desktop, or click on the Browse for a file

button in the same way you have done for the Sample Discovery Passport/Project

Report or Images.

To confirm your upload and exit back to your tasks page, select the Back button at

the top right of the page.

Please note your additional media must be in document (.doc or .docx) or

presentation (.ppt, .pptx or.key) format.

Once you have completed the 2 mandatory tasks and any optional Images or

Additional Supporting Documents tasks you will be ready to submit your students’

application.

Once you have submitted an application you will not be able to edit it, so

please ensure you and your students have checked and are happy with the

tasks before submitting.

To submit a Youth Grand Challenges 2017 entry, you will need to press the Submit

Your Application button below the “Additional Supporting Documents” task, as

shown in the image below.

After selecting this option you will be directed to a final confirmation page as shown

overleaf. To submit your entry, select the Continue button.

Once you have selected this option, you will be directed to a page confirming your

submission has been submitted. From here you will be guided back to your

homepage, where you will be able to create more Bronze, Silver and Gold

submissions using the steps described on pages 14-18.
