What do you do once you've read the document on screen? Open it up - I usually look at things on a screen. Keep it in my inbox – I might need it again one day. What happens to this pile of paper? I add it to the pile of documents I keep to hand. I get frustrated and end up shredding most of it – I don’t like my desk getting cluttered. I delete as much as possible according to policy and start again with a clean slate. What happens if your inbox reaches capacity? I archive everything even though I don't have to. YOU ARE SENT AN IMPORTANT DOCUMENT AS AN EMAIL ATTACHMENT – WHAT DO YOU DO? ARE YOU A HOARDER OR A PURGER? When the paper pile gets unmanageable I put it in a drawer, or stick it in a folder and put it on a shelf. You’re ruthless when it comes to paper. To you, paper equals clutter and you’d much rather have a clean and tidy desk. However, next time you have a purge, think about what you’re throwing away. Do you need to keep an electronic copy? Has it met its retention requirement? Does the document contain sensitive or personally identifiable information? If so, you need to destroy the information securely. Paper is your safety net. You prefer to keep hold of your paper documents – just in case you need them again. However, you might not realise that holding on to some paper documents (ie: CVs and personal records) beyond their retention schedule requirements could get you and your business in trouble. There’s nothing better than a nice clean inbox! Deleting what you don’t need helps you think clearly. However, before you get too carried away, make sure you stop and think – will you need that information again? Are you putting yourself at risk by not keeping a document? Keeping some information safely and securely might help you more than you think. You live and breathe by your electronic documents – you file and store every email and even refer back to your sent items. You dread the day when your mailbox gets full. You might not realise it, but your inability to let go could lead you to keep some documents beyond their retention schedule period.
