Conduct of Supplementary examinations is limited to only First year students.

Examination rules shall not be applied to continuing students at the end of the year.

The rules shall however, be applied to continuing students next year.

Questions should be typeset directly on a pendrive and not directly on the hard drive.

Ensure that the network cable is disconnected when setting questions.

Ensure that no student for that matter anybody gets to know your IP address.

Use a dedicated printer solely for printing examination questions to print your hard copy o questions or make sure the memory is erased after printing the questions since most printers memorise the document before commencing to print.

Ensure the format for setting questions is correct.

Invigilation is an essential part of the conduct of examinations and as such a duty of all the Academic Staff.

Some invigilators are in the habit of turning up for invigilation late resulting in the late start of examinations.

Auxilliary invigilators (Examiners) either do not see the reason to turn up when the paper is being written or come, sign and disappear.

Scheduling of meetings during examinations.

Invigilators do not know what to do in cases of alleged examination malpractice.

Part-time lecturers and in some cases service lecturers do not comply with examination regulations e.g. setting of questions as per the timetable provided.

Some invigilators often absent themselves with the excuse that they mis-read their timetable.

Invigilators should either make internal arrangements with colleagues to invigilate papers on their behalf if they know they will not be able to turn up or call up the Examinations officer to get replacements for them.

Invigilators turn up to start examinations, sign abscond or find a descent excuse to be away.

It is the duty of the Invigilator to inspect the identity and admission cards of candidates before they enter the examination hall.

However, candidates who turn up for the examination without these cards should have their names, index nos. and programmes taken for verification with the Planning Unit.

Such candidates should be informed to go to the Planning Unit to have their ID cards replaced before the next paper.

Candidates are not allowed into the Examination room more than 30 minutes after the start of paper but some invigilators over look this.

No candidate shall take into the room unauthorized materials.

No candidate is permitted to take out of the examination room used or unused answer booklets, supplementary sheets etc.

It is not the responsibility of invigilators to collect mobile phones and keep for students.

Students are to be seated in the examination room according to their index nos. pre-arranged in the room to prevent what students term formation.

No candidate shall be allowed to borrow any item or material from another candidate in the examination room.

Before the beginning of the session, the invigilator shall place copies of the question paper in the answer booklet on the candidates’ desk.

At the end of the session, the invigilator shall place the scripts in an envelope, enclose a copy of the attendance sheet of candidates and at least four copies of the question paper with the attendance sheets and mark sheets, seal the envelope(s) which should be delivered to the Examiner of the course or the Faculty/College Examination Office as the case may be.

Examination candidates shall under no circumstance be left without a supervisor.

Every Invigilator should exercise the utmost vigilance throughout the session and should not at any time occupy himself/herself in any way which would distract him/her from the proper performance of his/her duties. If possible phones should be placed on silence or switched off. No making of phone calls during the period of examination.

Invigilators shall move about the Examination room from time to time, but they should take particular care not to disturb the candidates.

No candidate shall be allowed to leave the examination room within the last 30 minutes of the paper.

The Invigilator(s) shall count all examinations scripts in the examination hall at the end of the session and match the number with that on the attendance sheet. The scripts should be enveloped, sealed and signed before they are handed over to the examiner(s) or dispatched to the Faculty/College Examinations Office.

No examination attendant shall be involved in taking attendance, announcing what time has been spent or left etc.

It is not the duty of attendants or security personnel to be engaged in the collation of scripts since it is the responsibility of the invigilator to account for all scripts.

An invigilator should under no circumstance engage any candidate in verbal exchanges or fight a student in the discharge of her/his duties as an invigilator e.g. in cases of alleged breach of examination regulations, missing ID cards, general misconduct on the part of students before, during and after the examination.

Some of the methods used in examination malpractice include the following:

1. Copying from prepared notes e.g. prepared notes, texts, materials written on the palms, thighs, handkerchiefs, on covers of calculators or hidden within the calculators etc which in various names such as hide-and-seek, micro-chips, magic text etc.

2.a) Some students resort to stealing other students’ work, converting or misappropriating the scripts of other candidates, substitution of scripts at the end of the examination known among students as DHL, tearing of scripts only to complain that they have no marks.b) Others exchange question papers.

3. Some students seek and receive help from others by “giraffing” after a successful formation.

4. Impersonation is also common where students hire the services of others either among themselves or from outside to write the examination on their behalf. This is termed “Ecomog”.

5. Examination malpractice has become sophisticated with programmable calculators, palm-tops, organizers, mobile phones with blue-tooth devices etc.

6. Others place materials in the wash rooms and go out occasionally to refer to.

7. Some smart ones employ what is called “load shedding”.

8. For some students it is only during examinations that they are first class gentlemen. They wear white long sleeves shirts. They write whatever they want to send into the examination hall and roll the sleeves neatly. Once in the examination hall, they unroll the sleeves and copy.

9. Others fold the foreign material such that it fits the width of the belt and fasten the belt together with it.

10.Some ladies dress so provocatively to ward off shy invigilators from getting closer to them so that they get copy.

11.Some students go into the wash room only to receive information read to them on mobile phones far from the examination centre.

12. There are pen-like devices whose tips are scanners. They are able to scan other candidates’ scripts while seated.

13. There are other devices even when switched off can still receive and transmit information to others without anybody noticing it.

Always remember that the students are always several steps ahead of us. To cope, requires hard work and extra vigilance.

The fact that no students are caught for examination malpractice does not mean cheating is not taking place. It only means we are not vigilant enough.
