•Worker Search Results “Misspelled Worker”• Problem: When you search for a Worker’s

partial name or misspell the Worker name, the search results return with an entry that states 'Misspelled Worker’.

• Workaround: Correct spelling and try again. Workday fixing this soon.

• No Offer Letters Attached for Neogov New Hires• Initiator doesn’t have signed offer letter OR

• Initiator doesn’t attach the offer letter in Workday.

• Workaround: two items:

• Get signed offer letter in hand before Saving and Approving in Neogov.

• Attach letter in Workday.

• Pre-hire Info Loaded in Kronos Before Hire

• Workaround: Technical fix under consideration. Please remind manager that the appearance of a new employee in Kronos does NOT mean they can start.

USCIS “What’s New” Page

Revised Form I-9 Now AvailableUSCIS released a revised version of Form I-9, Employment Eligibility Verification, on July 17. Instructions for how to download Form I-9 are available on the Form I-9 page. Employers can use this revised version or continue using Form I-9 with a revision date of 11/14/16 N through Sept. 17. On Sept. 18, employers must use the revised form with a revision date of 07/17/17 N. Employers must continue following existing storage and retention rules for any previously completed Form I-9.

Revisions to the Form I-9 instructions:

• We changed the name of the Office of Special Counsel for Immigration-Related Unfair Employment Practices to its new name, Immigrant and Employee Rights Section.

• We removed “the end of” from the phrase “the first day of employment.”

Revisions related to the List of Acceptable Documents on Form I-9:

We added the Consular Report of Birth Abroad (Form FS-240) to List C. Employers completing Form I-9 on a computer will be able to select Form FS-240 from the drop-down menus available in List C of Sections 2 and 3. E-Verify users will also be able to select Form FS-240 when creating a case for an employee who has presented this document for Form I-9.

• We combined all the certifications of report of birth issued by the Department of State (Form FS-545, Form DS-1350, and Form FS-240) into selection C #2 in List C.

• We renumbered all List C documents except the Social Security card. For example, the employment authorization document issued by the Department of Homeland Security on List C changed from List C #8 to List C #7.

Position Management –Understanding Edit Position

Scenario

“An employee (we will call him Steve) was reclassed from a MA III to a Strategic Advisor in April. Steve resigned last week. I just noticed that the position went back to a MA III, but I don’t see that anyone actually initiated this action in Workday. Does this change happen automatically if an employee is reclassed then resigns (or leaves the position as a result of a Job Change)?”

• If you do run across this, the manager (or another role), will need to complete a new Edit Position Restrictions to change the position to the desired classification.

• Be sure to add text in the comments field that this position was previously reclassified

What about Progressive Reallocations?

Edit Position > Progressive Reallocation

The process is the same, however, typically we want the position revert to the original/lowest level of the progressive series.

• Remember, position data was loaded from PS with current employee’s position > therefore, some employees who were already in a series will not manually return to the lowest classification

A quick side note on Locations

• If you or your clients are completing an Edit Position or Edit Position Restriction task, please update the location! (Also done with Edit Position)

• This data is confidential and is not readily accessible across security roles in Workday. In addition, many employees have tagged it as private meaning it would not show up on the reporting

1. In the search bar, type CCD HR Unfilled and select the report

2. There are no required or optional prompts; the report will just run and come up on your screen.

1. In the search bar, type View All Posi and select the report

2. Fill out all required prompts (asterisks) and Include Subordinate Organizations if you like.
