The tutorial also walks the parts manager through the process of updating the server computer with daily parts shipment information and also sending e-mail confirmations to dealerships who should be expecting parts.

I created the tutorial to teach two otherwise technically challenged co-workers how to transfer a file from one workstation in the warehouse, to the front office using a thumb drive.

The tutorial also walks the parts manager through the process of updating the server computer with daily parts shipment information and also sending e-mail confirmations to dealerships who should be expecting parts.

How to transfer daily data from shipping area to parts office 1. Run UPS “End of Day Report” before doing anything. 2. While still on the AVO Manager “main menu” screen, open the “Daily Report” by clicking option 3. This box will appear. Enter today’s date in month/day format (i.e. 10/31 for Oct. 31st) Then click “OK” 4. Report will open. Be sure that the number of records at the top-right corner equals the number of yellow AVO’s you are turning in. i.e. 5. Print 3 copies. 6. Click on all red x’s to close all windows 7. Insert thumb-drive into slot in front of computer. This box will open.

8. Ignore this box for a second, but do not close it. Instead click AND HOLD DOWN on the AVO manager icon on the desk top. Drag the mouse over the screen above and then release button.

9. This message will pop up asking you if you really want to replace the old file saved on the thumb-drive with the new one you’ve entered data into all day long Of course you do . . . Click Yes

10. Again click all to close all screens.

11. Down at the very bottom-right corner, you should see this icon . Click it. 12. This box will open. Click “Stop” 13. Then this box will open. Click OK (A message will appear at the

bottom of the screen where this button was that says it is now OK for you to take the thumb-drive out and up to the office with the rest

of the paperwork.

How To Update Parts Dept Computer with Daily AVO Info. 1. Insert thumb-drive into slot in front of computer. 2. This box will open…Double Click the AVO Manager icon. 3. This box will then pop up… Click “Open” 4. Then this box will pop up…Click “OK”

5. The Main Menu should now be open. Click option to begin emailing shipment confirmation to dealers.

6. This box will open. Note: the Report Date will default to the current date. If you’d like to send a different report simply press the down arrow once to select date. If not, simply click “e-mail reports.” 7. You will see the Recipients box begin to shuffle and one by one list the names of dealers to whom parts were shipped today. Microsoft Outlook will open into compose mode for each entry. Simply press send, for each dealer until you see this message.

8. Next close all windows again using 9. Finally, go back into Microsoft Outlook and click on “tools,” “send/receive,” and “send/receive all.” 10. The last step is to save the database onto the “G” drive in the parts office. Once

again close all windows using .

Saving AVO Database from Thumb-Drive to “G” Drive 1. Go to on the desktop and double click. 2. This box will pop up

3. Ignore this screen for a second and double click on 4. The screen should now look something like this. . 5. Single click and hold the mouse button down and hold on the icon on the right. Then drag the mouse to the folder and release button.

6. Again you will see this message Click “Yes”

7. Close all windows once again using 8. Double Click at the bottom of the screen. 9. Then “stop” 10. Then “ok” 11. It is now safe to remove the thumb-drive. 12. The last step is to “lock” the database on the Parts office computer. Double click on Double click on . Right click on .

Then this box will open. Put a check mark in the box for “Read Only” and then click “Apply” and finally “OK” YOU’RE DONE.

Close all windows with And take the thumb-drive back to The shipping area and repeat all Steps tomorrow after you run The UPS “End of Day” report.
