Instructions for Withdrawal without Academic
and/or Financial Penalty
Who should complete this form? The form is primarily for the use of students in a coursework program (eg Bachelor, Masters etc) or Non Award
program seeking to withdraw without academic and/or financial penalty due to experiencing unavoidable disruption to
studies.
Local students that have experienced unavoidable disruption may use this form to request:
Refund or remission of fees due to withdrawing after census date (domestic students only)
Withdrawal without academic penalty due to withdrawing after the last day to withdraw
International students that have experienced unavoidable disruption may use this form to request:
Withdrawal without academic penalty due to withdrawing after the last day to withdraw
Only international students studying in the Non-Award program may apply for refund using this form. All other international student seeking refund of fees must apply to Macquarie International

Unavoidable Disruption To be considered for withdrawal without academic penalty applicants must establish that they have experienced
unavoidable disruption to their studies. The timing of the disruption must have been evident after Census Date or
become substantially worse after Census Date such that it made it impossible to continue in your studies.
Macquarie University defines unavoidable disruption as an event or circumstance that:
1. could not have reasonably been anticipated, avoided or guarded against, and
2. was beyond the student’s control, and
3. caused substantial disruption to the student’s capacity for effective study and/or the completion of required
work to the extent that they were unfit to complete the unit, and
4. substantially interfered with the otherwise satisfactory fulfilment of unit program requirements.
Applicants must establish that their circumstances meet all four criteria before making an application.
Certification of Supporting Documents Supporting document must be provided to Macquarie as either original documents or a certified copy. A Justice of the
Peace (JP) or other Authorised officers can certify photocopies of original documents after sighting originals.
Documents may be certified at Student Connect, Level 2, MUSE (C7A).
The person certifying the photocopies must not be related to you and must, on each page:
write “This is a true copy of the original document sighted by me”;
sign it
print the following details: name, contact phone number, type of authorised officer and date verified
affix the official stamp or seal of the verifier’s organisation on the copy, if the organisation has a stamp
How will you know the outcome? Assessing your application for withdrawal without academic penalty will take approximately six to eight weeks. You will
be notified of the outcome by email to your student email account.
After the academic decision has been made, the application will then be forwarded to the relevant departments to be
considered for fee refund/remission. International students must make an additional application to Macquarie
International and meet the guidelines for international fee refunds.
Support for Students Campus Wellbeing offers support and assistance to students through their Medical, Counselling, Disability and Welfare
services. Students feeling in need of support are encouraged to seek assistance through these services.

How to make an application
1. Check that your circumstances meet the definition of unavoidable disruption
2. Complete the application form
Include a statement detailing how your circumstances meet each of the four criteria for unavoidable disruption.
3. Attach supporting documentation
You must include independent supporting documentation to support the circumstances you are claiming.
Documents must be either original documents or a certified copy of the original documents
Examples of independent supporting documentation include:
Medical certificates
Statement from medical practitioners
Statements from your faculty/department
Statement from your counsellor
Statement from your employer
Statutory declaration (in conjunction with other independent supporting documentation)
4. Lodge the application and supporting documentation with the relevant administration office
