Windows Basics

How to deal with windows; maximize, minimize, restore, move. To deal with a window first we have to define what a window is. A window by itself is an interface in the windows operating system. Any single item that is running in memory is represented by its own active window. Multiple windows (running programs or folders) can also be used. Each Window is a rectangle. Each Window has a Title Bar and on this bar the name of the window is represented (a folder or a program). On the right-top corner of each window there are three buttons. In the following picture you can see the window corresponding to a newly created folder.

• Also top-right corner has three buttons.

• The first button is for minimizing the window.

• The second button is for maximizing / restoring the window according to the window’s nature.

• The third button is for closing the window.

Note: Any window can be moved to another location on the desktop by using the mouse pointer and the left button of the mouse.

How to Create/Delete a Folder. To create/delete a new folder there are several methods. To create/delete a new folder user can use commands of the operating system or the operating system menu. The operating system menu can be reached by the help of Windows Explorer program or with the right button of the mouse. The active window must be chosen correctly. The location of the new folder must be determined. When right button of the mouse is clicked the following menu will appear. Move through the menu to the NEW menu item to have a sub-menu as shown in the figure. The highlighted path tells the operating system what to do. (Here, a new folder will be created)

Mustafa T. Babagil & Filiz Bilen Page 3 To delete a chosen item right button of the mouse can be used. Move on the item that you want to delete and click on the right button of the mouse. Then the following figure will appear.

Move the mouse pointer on the menu to choose the option according to the operation to be done. • Send To, Cut, Copy, Paste, Delete and Rename commands are the most common ones to be used. • Send To command must be preferred if the user wants to send one copy of this file/folder/program to another suitable location. This suitable location can be a floppy disk, My Documents directory or a shortcut of the item can be sent to Desktop if it is desired. • Cut and Paste options together can be used if an item is chosen to be moved from one location to another location. • Copy and paste can be

used if an item is preferred to be copied to another location. • Delete option will remove the item to the recycle bin. • Rename option will give chance to change the new name of a chosen item.

A mouse is a hardware device to input data. It has a ball under it and needs a flat surface to be moved. The motion of the mouse on a flat surface is translated to the motion of a pointer on the screen. Therefore the user can point the needed material or free space on the screen.

A mouse has generally two (important) activity buttons. The left button is used for running or opening an application (folder) and the right button is used to operate or activate the operating system commands. These basic jobs of the buttons can be redefined by any user of any time according to the needs of the user. Left-handed users may need different button definitions.

How to save in a folder and to a diskette? Copy-Cut-Paste. All application programs run in primary memory (RAM). Therefore all programs

need to be saved in safe locations for later use. These safe locations are secondary storage devices such as floppy disks, hard-disks, flash memory, magnetic tapes or CD-R (CD-RW or DVD-R, DVD-RW). The most common secondary storage devices are floppy disks which are also known as magnetic disks (hard disks are also magnetic disk storage devices).

Save and Save-As are basically has the same jobs. A file to be saved in windows operating system generally calls Save-As option first. Save-As means, save the document by using the name and location that the user will provide. Actually if the user calls Save option to save the document at first save attempt, Save-As option will be called. If the file is saved once, then the Save option will not expect any new name or location from the user to save the file. If the user wants to have same file with another name and another location then the Save-As option must be preferred to be used. • A review of the previous week’s topics.

Introduction to Internet Explorer (Browsing). Internet is formed by interconnected computer systems which can be a single computer or local area networks and wide area networks which can communicate with each other by the help of some commonly used programs (internet protocols). Therefore, a computer user who connects to internet can access web pages if the computer systems are available (connected). Sometimes connection problems can occur during browsing. In this case the user’s computer must be unable to download files and/or browse web pages. Another problem may be with the computer or server which stores the information about the desired web page.

Mustafa T. Babagil & Filiz Bilen Page 5 Actually, it is simple to browse any web page if it is available and if the address of the web page is known. Otherwise, to find web pages about the topics the user is interested in you can use search engines. There are dozens of search engines to search a subject, a title or even a word sometimes. It is important to narrow down a search material to find correct materials in a shorter time.

Search engines. There are lots of search engines. You can find some of them at the addresses, www.google.com.tr or www.google.com, www.altavista.com, www.yahoo.com and www.arabul.com . Whichever search engine the user chooses to use the common idea is to find available web pages, which have connection at the search time period, on the time the user asked to be found. We can not give details about all the search engines here but we can take one of them as an example to show how a simple search can be done by using this kind of program.

Search and narrow search. The picture shows the google web page. This page has a free space text bar to write the text to be searched. Anything can be written to this bar and then Enter button on the keyboard can be pressed to search the desired information. This does not mean user can find anything he/she asks. Keep in your mind that the searched material must be supplied by some other user and the links can be followed by the internet service provider to find the searched information. To search Mustafa Kemal Ataturk, we just write this text to the text bar in the page.

How to narrow down the search results? There are several methods to make efficient search. It completely depends on the users preferences. For example, a user may want to search information about Mustafa Kemal Ataturk, but user would like to search those pages which does not contain the word ‘Ataturk’ but contains only Mustafa Kemal. Another example may be to search those pages which have the characters Mustafa Kemal next to each other and also the pages can have Ataturk also. Example: Search 1- Mustafa Kemal 2- Mustafa Kemal Ataturk 3- Ataturk 4- Mustafa Kemal Ataturk 5- “Mustafa Kemal Ataturk” 6- “Mustafa Kemal”+Ataturk 7- “Mustafa Kemal”-Ataturk-Atatürk For each search example write the search results and compare the number of results you found. Conclude your exercise by telling what does difference it make if “is used and what does it mean if – or + signs are used in the search.

The page either can be saved as .html file or some of the paragraphs or pictures on the page can be copied and pasted to a word document. This is important to be known because the material that is found in internet can be used in some other time. Therefore, a secondary storage device can help the user to save the material for later use. Internet Explorer is an application program which can browse the web pages at certain addresses. The address bar is the field at which users can write the web address. Web pages may have pictures, text, sound, animations, graphics which are altogether known as multimedia applications. The internet explorer has the following view.

Home page is the first page when a user run internet explorer program to browse web pages. Home page can be adjusted by the user with the help of Tools menu. Clicking on Tools menu internet options item will appear in the menu.

Babagil & Filiz Bilen Page 7 By choosing internet options the following menu will appear and home page section has an address bar to write any address to make it as home page to the user for each attempt to internet explorer. After the address is written click the Apply button on the bottom-right corner. Then Ok button must be clicked.

Babagil & Filiz Bilen Page 8 Mail accounts or students portal web page for the students can be found at the web address http://students.emu.edu.tr The page can be scrolled down to find the WEB/FTP Login section on the page. The first line in this section is Mail Logon name: and Password: The mail logon name is the student number. The password will be given by operators who are responsible with computer labs. After writing the mail logon name and password the user must click on Sign-in and connection with the mail server will be formed. On this Web page, Information section on the left hand side can be accessed. This information section is not activated unless the student logs on to the portal. Portal user name and password is same as e-mail user name and password for all students. Students can find useful information in portal site such as examination dates, times and classes, unofficial transcripts etc.

Left hand side has a menu which helps the user to manage e-mailing process. • Get Mail: User can use this option to check NEW e-mails during he / she is online. • Compose: User can use this option to write and send a new e-mail. • Calendar: User can use this option as a reminder etc. • Address book: User can use this option to store the e-mail addresses of his/her contacts.

• Options: User can use this option to change the view of his/her e-mail account. • Help: Help can be provided about web-mail by this option. • Empty Trash: Deleted items are automatically sent to Trash directory (folder). These deleted mails are occupying space of the e-mail accounts. The e-mail accounts have limited storage capacities. Therefore a user must delete any unwanted e-mail from the account.

• Sign out: After e-mailing process is finished the user must exit the account. • Folders: A user can group the received, sent or deleted emails in different folders in their account by creating new folders by this option.

The menu on left hand side continues with inbox, drafts, sent and trash folders. These are the automatically created basic folders. Initially, e-mail account starts with inbox folder. If there is any new e-mail it can be checked in this folder by clicking on the subject box of the corresponding e-mail. Inbox: Holds received e-mails. Drafts: Holds prepared and not sent e-mails (probably not completed or sent yet). Sent: Holds those e-mails which are sent by the user. Trash: Holds those e-mails which are deleted from any folder of the account. The right hand side of the e-mail account shows the folders as it was explained. All e-mails have a check box next to the e-mail. User can click by the mouse to fill the check box by a sign given automatically and then can be deleted from the directory and sent to trash folder or delete the item permanently by using the button . Compose option opens a new window as follows.

From: Gives information to the user about who is the sender. (automatically filled) To: This field must be filled by the user. It should contain the receivers e-mail address. Subject: Short information must be written to this field about the subject of the e-mail to inform the receiver about the e-mail. Attachments: can be chosen by the

user if the user wants to send file/files with the message.

Mustafa T. Babagil & Filiz Bilen Page 10 If the attachments is clicked by the user then another window appears. This window guides the user to add a file (e-mail account limit is important!) which is saved before to a storage device. Browse option helps the user to find the location of the file to be attached. Attached file name will appear in the left-bottom corner in a rectangular box named as Attachments. Then the user must choose the “Finished” option. After this process the mail must be sent by using the option Send Now. If every

field of Compose window is filled correctly the e-mail will be sent without having any problem. Otherwise corrections must be done and sent again.

Introduction to Microsoft Word. Microsoft Word is part of the Microsoft office package. This program helps the user to prepare professional looking documents. Microsoft office helps the user while he/she uses Microsoft Word (or any other office program). This property makes the office programs user-friendly. The first step in using this program is to find the Word program from the Start menu. Choose Programs option then find Office program Word. When you click on Word, a window similar to the following will appear. There is a menu on top of this window. This menu has File, Edit, View, Insert, Tools, Table, Window and Help options. Let us start to define the most commonly needed File menu options one by one.

File Menu: New…: To create a new blank document.

Open: Calls a document which has been prepared and saved before. Close: Closes the document which is already running. Save: Saves the document immediately if the file is saved before. Otherwise Save As… option is activated automatically. Save As…: This option lets the user to save the document to a specified folder with a given new document name.

Mustafa T. Babagil & Filiz Bilen Page 11 Page Setup: Helps the user to define the margins. Print Preview: Displays the document on the screen as it will be on the paper. Print: Prints the document on a paper if a printer is connected to the computer.

Edit menu has several options. The most commonly needed options are as follows. Cut: This option cuts and prepares a selected character set to paste it on the same document or any other document. It means cut option prepares a selected portion of a document to move somewhere else. Copy: This option prepare a copy of the character set to paste it other place on the document as another copy. Paste: If a character set is prepared to be copied or to be moved (Cut option) then this option does the expected duty. Find-Replace: Searches a character or a character set in a prepared document and gives chance to the user to replace if with a given character or a character set.

View menu is used for adjusting the user’s working window according to personal preferences. Normal, Web Layout, Print Layout and Outline options provide four different appearances to the user. Task Pane: This option can be chosen to show the tasks and several shortcuts that are used by the user. Toolbars: This option provides the user to place any toolbar on the window so that the user can find related shortcuts according to the task in process. Ruler: This option places rulers on the left hand side and on the top of the window. Full Screen: This option is used by the user to fill the screen completely. Zoom: This option give chance to the user to give a zoom percentage to the document in process.

There are several things that can be inserted to a prepared document. These may be page numbers, pictures, automatic date and time, page break or symbols which are not on the keyboard. All these insertions can be done by the insert menu. The most commonly used options in insert menu are as follows. Break…: To stop writing on a page and start with a new page. This option gives different break options with a sub menu after clicking on it. Page Numbers…: This option is used to insert automatic page number. Format submenu gives chance to change the format of page numbering. Date and Time: To insert date and time into a document. Different styles of automatic date options can be found and inserted. Symbol: Sometimes users can not find some special characters or symbols on the keyboard. This option in the insert menu helps the user to search and find such a symbol to insert in the document.

Picture menu: Basically there are two ways of inserting a picture. One of them is from clip art, which has ready to use pictures (loaded during installation) and the others are user defined pictures. Users generally can download pictures from Internet, take photos by camera or prepare a picture or chart by use of a program. All these can be inserted to a document. WordArt option in picture menu can be used to prepare fantastic looking documents. See the following examples.

Format Menu: This menu helps the user to make necessary format definitions to a document. The document can be written in columns, character fonts can be defined differently or line spacing can be changed any time needed. The user can format the whole document by using this menu. The following options are the frequently needed ones.

Font…: Basic changes like the character style and size, and some other like bold, italic or underlined can be done by this feature. Paragraph…: This option gives chance to change the line spacing of the document, indentation of the paragraphs etc. Bullets and Numbering…: This feature is used by the users in listing a number of subject. Borders and Shading…: Sometimes a paragraph may need to be in a frame. The borders of the frames can be changed and shading can be done with this option. Columns…: A page can be written in columns. More than one columns can be created with this option. Change Case…: All characters in a document may need to be uppercase. This can be done easily with this option in format menu. The users do not have to rewrite everything again.

Tools Menu: This menu provides several tools to the user such as spelling and grammar check, changing language settings, counting the number of words in the prepared document and auto summarize the document written.

Table Menu: This menu provides options to insert a table into a document and add/delete row(s)/column(s) from a document or from an already existing table. Manual table sketching and merging/ splitting cells in a table can also be done. Sort option provides the users to input data in the table and sort these data according to the user preferences.

Draw Table: User can use the drawing tools to draw a new table. Insert: User can choose this option to insert a new table (automatically prepared) or insert new columns/ rows and also cells. Delete: This option can be used to delete a table or rows/columns or chosen cells. Merge Cells: Chosen (by blocking) cells in a table can be combined to be one cell. Split Cells: A specified cell can be split into more cells (dividing a cell into more cells). Table Properties: This is used to change the border lines of a table and to change the color of the table or cells.

Microsoft Power Point

How to prepare a presentation? Insert new slide. Slide Layout. Slide transition. Timing, animations and background colors. Insert slide number, date and time and also, if needed how to print out a power point (slide show) presentation.

Microsoft Excel How to manipulate a table of data, using average, sum or some other basically needed mathematical functions, sorting data, changing data format in cells. Also graphical representations of the data in a table by using bar charts or pie charts or any other graphical representation method which is available.
