Guarantee Number

During the initial planning of your event we request an estimated number of guests. A final

guarantee is required two weeks prior to the function. This count is not subject to reduction.

You will be financially responsible for 100% of your guarantee number or the actual number of

guests served, whichever is greater. If a guarantee is not provided two weeks in advance, your

last estimate will be used as the guarantee.

Windham Mountain’s policy states that no food, beverages, or alcoholic beverages, may be

brought on premise by the patron or any of the guests.

Decorations

We ask that no decorations be affixed to any walls or structures without the approval of the

Banquet Manager. Any special room arrangements may be discussed in advance. Fog machines,

taper candles, wall or ceiling hangings, and confetti are not permitted. All candles must be in a

holder. DJ or band must be insured. Windham Mountain is not responsible for lost, stolen, or

left over items at the reception or ceremony.

Payments

The room usage fee is required along with the signed contract. A second payment of 50% of the

guaranteed minimum expenditure will be due four months prior to the event. Final payment

will be due 7 days prior to your event in the form of cash, check, or money order. Payment by

American Express will be subject to a 3% finance charge. Payment by Visa will be subject to a

1.5% finance charge. There will be no separate bills.

Banquet Fees

Room fee includes dance floor, china, glassware, set and cleanup.

Inclement Weather

In the event of inclement weather, ceremony will be relocated indoors or in the breezeway.

Windham Mountain reserves the right to re-schedule, or move an outdoor event due to

weather.

Cancellation Policy

A non-refundable deposit is required at contract signing. If event is cancelled, your party is

subject to forfeit all payments prior to cancellation. Re-scheduling of an event is dependent

upon available dates and will be honored with no additional expense to client.
