So, we don?t sit around with snow shovels and sleds, ready for winter. Then, when we expect snow, there is a mad dash to grocery and hardware stores. People around here know that this area does not have enough equipment or personnel to maintain business-as-usual.

By now, you?re either thinking I must have been traumatized by an errant snow-person, but I was sitt ing here focused on what VCA has recently done and our upcoming events. I noticed that we are prepared/preparing for the ?snow.? To prepare, we held a successful conference near the end of last year. We had great sessions, helping to develop professionally. Our next state-wide event is VCA Annual Legislative Day. On January 30, we will unite in Richmond, VA to speak with our government representatives about the importance of counseling. I think of this as the dash for groceries before the storm hits. By advocating for counselors and counseling-related items, we are trying to make sure the ?equipment? is ready for the storm. VCA is positively impacting Virginia, working to develop and advocate for counselors and counseling init iatives.

If you want to join in, start by becoming a member. If you?re already a member, come to Legislative Day, join a committee, or run for an off ice. If you raise your hand, we will gratefully accept your help.

Congratulations on surviving Winter Storm Helena! Talk about starting the year off with a bang. I was pleased to see something named after me, but wished it was more like a much needed rain in a drought. In any case, we got a lot of snow here in southeastern Virginia. Everyone I?ve spoken with has reported the same throughout the state. The dif ference between here and northern Virginia, for example, is preparedness. There is simply a lack of snowfall here.

Annual Legislat ive Day

As many counselors as possible are urged to participate in VCA's Annual Legislative Day on Monday January 30, 2017 in Richmond.

Please join VCA for this free event in Richmond on Monday, January 30, 2017 for VCA?s annual Legislative Day. This important advocacy event begins at the University of Richmond Downtown at 8:30 a.m. with a brief ing about current legislative activit ies and ?how to advocate effectively? by VCA?s Lobbyist, Becky Bowers-Lanier. From 9:30 am ? 11:30 am, we?ve reserved the 5 West conference room. During this time we?ll host a continental breakfast reception for legislators and their aides. Plan to spend some time in the conference room as well as making an appointment to visit with your delegate and senator. When you call for your appointments with your legislators, be sure to mention the reception and invite them to it. Legislative Day is your opportunity to join counselors from across Virginia in advocating for the counseling profession. Learn more about Virginia?s legislative process and how your involvement makes a dif ference in the lives of fellow counselors and the people we serve.

Introduction of Speaker:

Anne Stewart, Ph.D., currently works in the Department of Graduate Psychology at James Madison University. Anne?s teaching experience includes: Teaching Couple and Family Systems Theory, Couple and Family Counseling Techniques, Ethical Decision-making in Healthcare: An Interprofessional Approach, Clinical Supervision, Issues and Techniques in Research, and Theory and Practice of Play Therapy, Interprofessional Practice in Early Intervention. Anne is a doctoral graduate of the University of Virginia?s Institute of School and Clinical Psychology. She has also written several books, book chapters, book reviews, as well as, published professional publications and manuscripts. Anne continues to participate in conferences and workshops throughout the country, as well as, internationally.

Workshop Objectives:

- State the rationale for using trauma informed care with clients across the lifespan;

- Recognize trauma symptoms in children, adolescents, and adults; - Describe common misdiagnoses of trauma; - Identify best trauma-informed practices and (note the support from

neuroscience to determine interventions); - Provide a therapeutic environment that fosters resiliency; - Practice at least 4 trauma-informed interventions; - Explore ways to promote well-being in colleagues and ourselves.

I?m on the phone with a gentleman (lets call him Dan) who owns a counseling practice in the Midwest.

He starts the conversation by describing some of his operational problems: ?Anthony, recently some of my best counselors have left the practice. I have issues with notes not being completed. Our culture and team morale are low. We have lots of new clients schedule, but most don?t come back. And I?m losing money...?

After hearing his pains, I ask him about the size of his operation.

He says, ?It?s a big practice! I have three location, 18 therapy rooms, 20 counselors... .?

I then say, ?Dan, the number of employees and locations you have are only ?vanity metrics.? How many clients is your company helping a week? That is? how many sessions in total??

Dan says, ?About 165.?

?Okay, that means your practice is the equivalent of 5 full-t imers.?

?... ? Yeah. I guess so.?

I see this mistake all the time. Practice owners pay attention to ?vanity metrics,? but they?re blind to the f igures that matter. Dan and I spent the next 30 minutes exploring how the challenges he?s experiencing in his practice are directly related to his supernumerary size. I used one of my own practices as an example. Thriveworks Counseling Atlanta, for instance, started with a small number of providers to help stay eff icient.

This month, as a nod to keeping things small, I?m going to keep my advice short and concise. Below are two areas were practices tend to grow too big, too quickly.

1. Counselors: Hire as few as you need to serve your incoming cl ients.

Your practice?s success is greatly dependent on the counselors you hire, and how you manage and train those counselors. Hire excellent clinicians who can be coached to exceed their own expectations.

Employing fewer clinicians means you can train your team well, manage well and keep administrative costs down.

As you cultivate high performance, you?ll have the ability to pay your counselors higher wages. This increases morale and reduces turnover.

Part-t imers tend to be less dedicated to the company. They?re also more dif f icult to coordinate with for meetings, performance management and ongoing training.

2. Space: Keep your space as smal l as possible.

More off ice space is an expensive consequence of success, not a symbol of success.

A single therapy room can often accommodate in excess of 40 sessions a week.

If space is getting tight, consider expanding hours into Saturdays (and Sundays?) before you expand your off ice.

Maximizing off ice space is easiest when you have fewer counselors that are working more (and more consistent) hours (see above).

Opening a second location is often about vanity. When additional space is needed, f irst try to expand at your current location.

Regarding Dan, even at 165 sessions a week, his practice is a clinical l iability that?s losing money. However, if he can right-size his operation, he?ll be able to improve patient care, monitor notes and bill ings, build a stronger team culture, increase pay to his staff and even pay himself for his labor.

Which counseling practice would you rather run ? one with three locations and 20 employees, or one with one location and f ive employees that?s helping the same number of clients?

Message f rom the EditorsWe are so excited and thril led to serve the VCA in a new and dif ferent capacity. Thank you to everyone for trusting us to serve as co-editors and providing so much support. We would also like to thank Lauren Robinson for all of her hard work, t ime, and dedication put into ensuring an amazing newsletter. While we know many of you, many of you may not know us! Here is a litt le information about your editors:

I am a doctoral candidate in the Counselor Education and Supervision Doctor of Education program at Marymount University. When I am not working on my dissertation, I see clients as a Resident in Counseling at a private practice in Northern Virginia, and I teach graduate counseling courses. I have been a VCA member since 2012. I had a great t ime at my f irst Leadership Academy this summer. and I learned so much. For fun, I love hanging out with my husband and my friends, traveling, cooking, and visit ing art galleries and museums in Washington DC.

Maya Georgieva, MA, NCC

I am a 1st year doctoral student in the Counselor Education and Supervision program at James Madison University. I became a member of the VCA in March 2013 but did not become involved until after the 2015 Leadership Academy. At the academy I felt so welcomed and encouraged by the board members, professionals, graduate students, and of course counselors! I knew I wanted to serve the VCA in any capacity and be a part of something bigger than I could imagine!
