Introduction

Introduction

This document is a supplement to the Cryoserver v9 User Guide and is intended for Cryoserver Administrators to transcribe & highlight the new modifications in the v9.x.x releases.

Cryoserver helps organisations manage their email better, it is more than an email archive – it is a business efficiency tool, a productivity tool which will benefit every individual in an organisation. Cryoserver captures the organisational emails, storing in real time all the email in/out and around the organisation in a secure and tamper evident way.

Login with two factor authentication

Login with two factor authentication The login process has now been extended. AD, Single Sign On and SAML have been supported for sometime. With the introduction of OAuth, Cryoserver now supports Microsoft two factor authentications with ADFS. Future releases will be extending other additional popular platforms.

Searching

There are four search interfaces; Simple, Standard/Classic, Advanced and Search with Preview Pane. All approaches enable you to generate a list of emails that are ranked according to how closely they match the search criteria:

Searching

Simple Modern Search Interface Version 9 introduces an additional search interface which was developed after extensive customer feedback and UX workshops. To access this interface please look in the top right hand corner of the interface to switch to new UI.

To go direct to the new interface, amend the Cryoserver URL to: https://yourcryoname/cryoserverv9/cryoserv/login.do

When you log in to Cryoserver, there is a single Search tab. Standard searches are used to retrieve email where you know any of these details:

• Any words in the subject or body • Any words inside the attachments • Emails where there must have an attachment - checkbox • Who the email was from From, From or To • Who the email was addressed To, To or From • Approximate start and end dates when it was sent or received • Search all correspondence to and from an address.

All the search interfaces have been designed to fully work within the mail client, such as Outlook.

Standard Searches

When you log in to Cryoserver, the Search tab is selected by default. Standard searches are used to retrieve email where you know any of these details:

• Who the email was from • Who the email was addressed to • Any words in the subject or body • Approximate start and end dates when it was sent or received • File names of attachments • Any words in the name or body of the attachments you are looking for • Search all correspondence to and from an address.

Use as many search criteria as possible to achieve the most accurate results. The more criteria you enter, the closer the results will match what you are looking for.

Note: If you leave a blank field (box), it is not used for searching.

Search Results

When a search is made the results are now displayed using the whole page without wasted space at the top of the results. There is now a breadcrumb tab to return to the initial search criteria. A user can specify how many results are displayed on a single page rather than being restricted to 10 results per page, as well as specifying how much of the email preview is displayed under preferences.

When an email is displayed a user can quickly navigate using the arrows to move to the next result via the Action Bar. Users can also reply to emails directly from the archive as well as re-injecting emails into their inbox.

Auto Suggest

Auto Suggest To help with more accurate searching Cryoserver now supports auto suggest, which works particularly well with email addresses. By pressing CTRL & SPACE at the same time after typing in two or more characters, a drop down suggestions list is provided, as shown in the following screenshots. This can help users find the email


Right Mouse Click

Right Mouse Click We now provide right mouse click on the search results to enable the action icons to be available from within the results page. This helps users to use the interfaces even more quickly than previous versions.


Search Statistics & Get Email List

Search Statistics & Get Email List

The search statistics tab provides information about the search criteria, search speeds.

It now provides Get Email List Button. This enables you to export the email addresses from the search, which can prove useful for building a list of email addresses for a mailshot or other requirements. The email addresses can be exported to Excel / XML / CSV file.


Search History

Search History Just like your web browser history, Cryoserver now offers a similar history facility of Cryoserver searches enabling to replay a search. Complex searches & regular searches can be reloaded.

On the menu, Search will now have a drop down menu arrow which reveals the favourite searches.


User Bulk Mail Items Restore

User Bulk Mail Items Restore All users are now able to restore multiple items in bulk from a search.

Potentially useful for restoring a week or two’s worth of emails. This empowers the user to be able to self restore blocks of emails without the need for IT to be involved.

Clicking on the restore to mailbox icon allows users to restore bulk of emails at one time. A pop-up will appear allowing users to restore the emails to either their Inbox or Sent Items.

If a user has selected certain items on the result list then only those items or the inverse of those can be restored.

Administrators will define whether the restore is either done via IMAP or EWS.

An alternative interface is available to Active Directory/Basic Users where the search interface resembles a mail client style email list interface. The UI aims to presents the archive results in a familiar Outlook / mail client style with a Preview Pane View.

To the right of the preview screen there is an Action Bar:

= Full Search – Click on the Cryoserver Logo, will switch to the Cryoserver Standard Full Search interface within the same interface.

• - Navigate back / forward one result

• - Reply to the email straight from the archive. This will restore a truncated message and use your local default mail client to reply to the sender of the email.

• - Reply to all – this will restore a truncated message and use your local default mail client to reply to all of the senders & recipients of the email.

• - Restore Via IMAP – will restore the original email into your mailbox on the original day

• - Download the email as an .EML file. If you are using Outlook 2010, this will open directly into your Outlook client.

Folder Replication

If you see Folder Replica View in the top menu system, then folder replication has been enabled by the Cryoserver Administrator.

Folder replication replicates users Outlook Folder Structure within the archive. Depending on the synchronisation period set by the Administrator the folder structure maybe out of sync by a short period.

The side panel aims to show a similar folder structure as presented in Outlook. Emails will be shown in a preview pane with the Cryoserver Actions bar.

If an email is moved from one folder to another, Cryoserver will update the movement on the next polling cycle. Polling cycles are set to either every hour, 12 hours, 24 hours, 48 hours as defined by


Folder Replication Search

Folder Replication Search Within folder replication view, you can now do searches for terms with in the folder.

The search will also search other folders with the folder replication and will report the count of emails in the folder which match the search term.

The Red Arrow residing to the left of the folder name indicates whether there are results within the expanded view of the folder tree.


PST Upload

PST Upload When configured in the Administration Area, a new top menu item can be enabled which is called PST Upload. This enables the end users to upload their PST file via a PUP up window.

Typically enabled for a temporary period, whilst an Import projects are being undertaken, and the Administrator can invite end users to self-serve and present and upload their PST files.


Clientless stubbing

Clientless stubbing Cryoserver now offers clientless stubbing. Removing attachments & embedded images* from the original email and replacing a CryoLink to the Attachment direct in the archive. This functionality helps reduce the Exchange store size.

No client installation required for the email client. Supported by Exchange 2000/03/07/10*/13*

Stubbing link with Security Only the recipient or sender can click on the Stub link. With SSO enabled, authentication is completed transparently in real-time. If you are not authenticated then you are prompted:

Search Date Limits

Search Date Limits Within the Admin Area, under the retention panel it is now possible to restrict Users to a search range. This can be either globally or an individual basis. i.e. LDAP users can be restricted to a rolling 2 year search range, but nominated users can have a broader 7 year search range.

NOTE: The following restrictions cause the "Search Start From" date to become limited. This allows you to set perceived retention period, while retaining the actual data for a longer duration. Some users may be given special access rights to view the whole repository. Setting 0 will revert to an unlimited search.

Privileged & Basic User Export

Privileged & Basic User Export

Privileged and Basic users can Bulk Export emails into three different formats:

• Standard Email format – limited information is exported in reference to the header information

• Enveloped Wrapped– full header information is exported including expanded distribution lists

• PDFs – exporting the emails into a long pdf with each email one after the other in a pdf file.

Export Type:

• Backend – Backend exports can be completed much faster (x30) and should be used if exports are large, i.e. over 100MB

• Fronted – Frontend exports are reliant on the download speeds via a web browser and can be slow. Frontend exports should only be used if exports are a few MB.

Preserve Sort Order:

Maintain the order of the export to the order on the results list in the Cryoserver UI.

Using the Cryoserver PSTCreator, we can convert the zip files containing the .EMLs into a PST format. Requires the Cryoserver PSTCreator which is provided free of charge. Please contact [email protected] to receive you free copy.

Privileged User Search requiring another user to authorise search

Privileged User Search requiring another user to authorise search There is now an option to request for another person to authorise a Privileged Search. Enabled in Local User Accounts, a Privileged User may require another person to authorise the search as configured. This now creates a Four Factor Authentication process before a Privileged Search can be performed. 2FA for the Basic User Account > Switch to Privileged User Account (with password request) > The approval by another to proceed with the search.

Pop up window requesting for the nominated Privileged User or Data Guardian to enter their details confirming the Privileged Search can proceed.

• No message summary, • Short Message summary – 300 characters • Long Message Summary – 600 characters
