Value of User Reference

1. Reduces redundant data entry2. Enables identification and counts

of unique activities3. Provides a way to integrate

supplemental information about collaborators into reports• Example: Cross-discipline

collaboration

Challenges

• Collaborators’ concerns with lack of control over their records• Who can edit and needing to ask for changes• Lack of notification and approval

• Editable Linked User Reference means sacrificing some unit customization

• Mixed usage across users limits value of benefit #2• Managing linked records as the faculty at your

university come and go can be tricky• Historically, the combination of User Reference and

maiden/pen names wasn’t supported

Recent Enhancements

• Field is faster and easier to use!

• User Reference and Maiden/Pen Names work together

Page 7: Welcome User Reference Kate Kaczmarczik and Brad Saffell Digital Measures

Priority: Give Faculty Full Control

Configuration: Remove linking, keep User Reference field

(Linking can be configured per screen)Pros:•Users have full control over their records and what appears on their reports•Units are not limited in customization

Cons:•Data entry burden increases•Cannot identify unique collaborative activities across users

Priority: Editability for All Collaborators

Configuration: Editable User Reference(Instrument-wide setting - applies to all screens with

User Reference field)Pros:•Get all 3 major benefits of the feature•Reduce concerns about control over records

Cons:•Limits unit customization on subset of screens – all collaborators must see the exact same screen

Priorities: Reduce Data Entry and Preserve Unit Customization

Configuration: Linked, Non-Editable User Reference

Pros: •Get all 3 major benefits of the feature•Continue to customize by unit on screens with User Reference

Cons:•You face each of the challenges mentioned•Non-record owners are more likely to create duplicate records•Can’t have dueling unit customizations – record owner’s unit customizations win

What’s next for the feature?• User Reference: User Notifications on

Linked Records (2 pts)With this enhancement in place, a user would receive a notification whenever a record to which they have been linked is created or updated.

• User Reference: User Reference Linking Queue (6 pts)This enhancement would give users the ability to approve or reject records to which they have been linked before they can be included in their reports.
