Darby’s philosophy of food is simple; “Great food starts with good wholesome ingredients”. He has built a culinary team that not only supports this philosophy, but is passionate about providing outstanding service, innovative ideas and exceptional worldly cuisine.

Following graduation from the New Hampshire University, Darby’s Culinary career has flourished internationally with positions in New York, Paris, Munich, London, Geneva and Auckland.

Since joining Wainui in 2016 Darby’s main focus is to deliver a unique culinary experience for all guests. His inspiration derives from the freshest ingredients and his drive to present a creative and memorable experience in every bite. Darby is a local food pioneer and has dedicated his passion to support local businesses, growers and suppliers, utilizing theirgoods at every chance.

General Planning Information

Wainui is governed by a Board of Directors which welcomes the public to utilize the facility setting for hosting your special day within the clubrooms available. All events are governed and mandated by Club policies and regulations.

Tentative BookingsTentative wedding booking dates will be held for a maximum of 7 days. Your event will be held as tentative until the deposit amount is paid in full.

Confirmation PolicyAll wedding bookings will be required to pay a non-refundable deposit of $2,500, which acts as confirmation. After your event, this deposit will be credited to the final statement of billing.

Event ContractA catering contract will be prepared, detailing all goods and services to be provided for your event. This contract will be prepared for the wedding couple’s review and signature, aminimum of 14 days prior to the event.

CancellationsShould it become necessary to cancel a function, the Club will refund a deposit only if it receives another booking of a similar size and scope for the same day. If another booking is not received, the $2,500 deposit will not be returned.

Wedding Rooms and AreasThree main areas are used for your wedding reception: The Trubridge Room (seating capacity 61 - 200 people) The Orewa Room (seating capacity 37 - 60 people)

The Peninsula Room (seating capacity up to 36 people)

Weddings for up to 200 people can be accommodated.

In the Winter months, or in periods of inclement weather, we have the facilities to hold ceremonies inside the Trubridge Room for up to 200 guests. During the Summer months, outdoor ceremonies can be held on the Pine Valley Range or in the feijoa orchard.

Please note: wedding ceremony chairs over 140 are not included. Rental vendors can be referred. The wedding ceremony rental chair set-up and dismantle fee is $150 + GST.

FoodAll menu and event foods are prepared on premises by our team of talented Chefs, using only the finest, freshest ingredients. It is highly recommended that people with allergies and special dietary requirements contact the Clubhouse Event and Catering Manager in advance so that a suitable alternative meal can be prepared. Questions regarding meals can be directed to the Clubhouse Event and Catering Manager. Only food provided by Wainui may be served on our premises. In the interest of best-practices related to health, food safety and sanitation, Wainui does not permit the removal of any unconsumed food items that have been previously displayed. Wainui reserves the right to make changes to food selections without notice depending on the availability of the product and the discretion of our Chef.

AlcoholThe regulations of the “Sale and Supply Licensing Act of 2012” will be strictly enforced at all times. Our bar will close at 11:00 p.m. sharp Monday through Thursday and Friday through Sunday 1:00 a.m. sharp the following day, with no exceptions. Important – “Sale and Supply LicensingAct of 2012” licenses the Club and all staff to be “LCQ” certified. Therefore, we cannot and will not serve alcohol (including wine with dinner) to any person who appears to be intoxicated or has yet to reach the age of 18. Persons who appear younger than the legal limit will be asked to produce photo identification to verify their age. Those persons denied service due to intoxication or knowingly obtaining alcoholic drinks for minors will be asked to leave the Wainui premises immediately, by taxi if required. The police will be called for those not obeying Club policies.

Minimum Billing PolicyIt is important that the Club receive the guaranteed number of attendees 10 business days in advance of the function date for food purchases and final billing. In the event that the number is not provided within this 10 day business period, the Club will bill for the estimated number given at the time of booking or, if greater, the actual number of attendees. Large attendance overages at function time may be subject to a surcharge.

Billing and PaymentThe Club will prepare a detailed billing statement and mail it to you shortly after the conclusion of your function. Payment in full is due within 14 days of the conclusion of your event. Accounts that are not paid within the allotted time will be charged interest. The Club will accept cash, credit cards (2.9% surcharge for administration fees) eftpos and bank transfers.

Dress Code PolicyWainui maintains a business casual for its functions rooms at all times. No jandals, singlets, torn and tattered garments, and/or clothing displaying suggestive or offensive slogans will be permitted at any time.

Cell Phone PolicyIt is expected in today’s world to allow the use of cell phones. Out of respect of our Members and their Guests, please ensure cell phones are on vibrate while in use in the clubhouse facility and that all calls are taken and placed away from ear shot of all patrons.

Please note that the above Dress Code and Cell Phone Policy also applies to all vendors including musicians, photographers, florists, etc. Please advise your vendors of the Club policies. There may be some functions where it would be difficult to adhere exactly to the Club’s dress code. Any modifications should be pre-approved through the Administration office.

ParkingParking is available and complimentary in the Club’s spacious, safely-lit parking area.

Restricted AreasGuests are permitted to circulate in the area of the rooms booked, but are not permitted in adjacent rooms where other functions are underway.

PhotosPhotographs for weddings are permitted on the property only in designated areas determined by Club Management during the golf season. No photographs will be allowed in the general clubrooms or will be taken of other patrons who are visiting the club without their express permission.

DecorationsWeddings are welcome to decorate the banquet facilities to suit individual tastes (flowers, flame protected candles, ribbons, bows, balloons, etc.). All décor is to be discussed and approved by the Clubhouse Event & Catering Manager. Decorations may be put up the day of the event (earlier decorating times must be arranged through the Clubhouse Event and Catering Manager). Due to limited storage space, we respectfully request that all decorations be removed on the evening of the wedding or by special arrangements with the Clubhouse Event and Catering Manager within 12 hours of the conclusion of the event. No pyrotechnics, confetti, bird seed, rice, sparkles or glitter in or outside of the Clubhouse please.

EntertainmentFacilities are available to accommodate many different forms of entertainment (bands, disc jockeys, string quartets, etc.) Upon request, the Clubhouse Event & Catering Manager can provide information on booking quality entertainers. We recommend that entertainers set-up and perform soundchecks before guests arrive. We also request that all entertainment respect the Club’s General Code of Conduct and closing times.

Audio-Visual Equipment RentalTo assist with your audio visual wedding presentation, the Club has the following audiovisual equipment available on a rental basis:

L.C.D. Projector $75 + GST

Chromecast/Apple TV $50 + GST

Video Wall Trubridge Room $75 + GST

Colour Television Orewa, Peninsula, and Boardroom $50 + GST

P.A. System is available at no charge, patrons must provide Ipod playlists.

Damage to Wainui facilitiesThe convenor assumes responsibility for any damages to the facilities at Wainui and any necessary repairs or clean-up costs associated with restoring the facilities to a useable condition as a result of misuse accidental or otherwise.

Lost/Damaged Personal ItemsGuests should also be informed that Wainui does not take responsibility for any personal items or property, including automobiles, which are damaged, lost or left in any ofits facilities.

Smoking PolicyWainui is a Smoke-Free clubhouse, smoking is prohibited on any and all parts of the property which has a roof covering.

SMOKING IS NOT PERMITTED IN ANY INTERIOR PART OF THE CLUB, OR ON ALL BAR AND RESTAURANT PATIOS, WHETHER COVERED OR NOT.

There are two designated “smoking areas” one at either end of the clubhouse east and west.
