Policies FOOD AND BEVERAGE The DoubleTree Suites by Hilton will request your meeting room requirements no later than two weeks in advance of meeting or food function. No food or beverages, alcoholic or otherwise, shall be brought into the Hotel by the patron or attendees from outside sources. The Hotel, as a licensee is responsible for the administration of these regulations. The Hotel reserves the right to assess a service charge for any food or beverage brought into the facility in violation thereof. All bars will close at the hour mandated by state law. A service charge and applicable sales tax (subject to change) will be added to all food and beverage purchases. All menu prices are subject to change. It is the Hotel policy that no banquet food be removed from the Hotel premises. All banquet checks must be signed by the on-site contact or a designated representative at the completion of each function. Any discrepancies in counts or charges should be identified and resolved at that time. CANCELLATION POLICY The prices offered by the Hotel are based in part upon the total gross revenue anticipated by us from your agreement to use and pay for events. You agree and understand that in the event of a cancellation by you, our actual damages would be difficult to determine. Therefore, you have agreed to pay reasonable liquidated damages to the Hotel for cancellation as described in this paragraph. Cancellation damages will be calculated as a percentage, based on the date of cancellation listed below, of total anticipated gross revenues from all food and beverage and meeting room rental listed. Date of Cancellation Percentage Due Date of signing contract to 180 days $ 179-90 days in advance 40% 89-60 days in advance 50% 59-30 days in advance 70% 29-4 days in advance 80% 3-0 days less in advance 100% DEPOSIT / BILLING Wedding receptions require a deposit which is nonrefundable if wedding date is cancelled or changed after the date of signing the con-tract. All social functions require a prepayment based on guaranteed numbers or more people three weeks prior to the event, based on an esti-mate from the Catering Department with a credit card on file for any overages. GUARANTEES All banquets must have a guaranteed number of people. Guaranteed numbers can be increased but, not decreased after the signing of the contract. The Hotel requires a confirmation of attendance at least 72 hours in advance. The final confirmation must not be less than the minimum number of people as stated on the contract. This will be considered your final guarantee number, not subject to reduction. All charges will be based upon this guarantee or, the actual number of guests if the number is greater. The Hotel will prepare to serve 5% more than the guarantee. In the event that there is variation in guaranteed attendance, the Hotel reserves the right to assign a different space more compatible with the particular function in attendance. If the guarantee is not received, the Hotel will assume the guarantee to be the minimum number as stated on the contract. BANQUET AND SEMINAR ROOMS As other groups may be utilizing the same room as you, prior to or following your function, please adhere to the times agreed upon. Should your time change, please contact the Catering Office and every effort will be made to accommodate you. Function rooms are assigned by the number of people anticipated. If attendance drops or increases, we reserve the right to change, without prior notification, groups to rooms suitable for their attendance. DECORATIONS The Hotel will not permit affixing of anything to the walls, floors, or ceiling of rooms with nails, staples, tape or any other substance unless approval is given. Any damage incurred will be the responsibility of the on site contact for the function where the damage was incurred. All decorations must be removed after the event. INDEMNIFICATION AND INSURANCE To the extent permitted by law, you agree to protect, indemnify, defend and hold harmless the Hotel, Hilton Worldwide, and the owner of the Hotel, and their respective employees and agents against all claims, losses or damages to persons or property, governmental charges or fines, and costs (including reasonable attorney’s fees), arising out of or connected with your function, except those claims arising out of the sole negligence or willful misconduct of the Hotel. You represent and warrant that your activities conducted at the hotel and in connection with the function shall not infringe the patent, copyright or trademark rights or violate rights of privacy or publicity of any third party. You further agree to obtain and keep in force General Liability Insurance covering the event described in this contract with limits of not less that $2,000,000 per occurrence and to provide the Hotel with certificate of insurance naming Hotel, Hilton Worldwide and the owner as an additional insured for your event. MATERIALS Doubletree Suites by Hilton Raleigh-Durham will accept, upon notification and approval, prepaid moderate sized shipments within 72 hours of a scheduled function. Large shipments (i.e., crated goods) must be handled through local moving and storage firms, to be delivered on the function arrival date when an organization representative is registered in the Hotel to accept the shipment. Removal of all conference materials must take place within three business days of your event. MISCELLANEOUS Please note that the Director of Catering and/or Managers act as the liaison between the hotel and wedding receptions. It is recommended that a bridal coordinator, day of director / coordinator or family members be delegated the task of place setting favors, flower/centerpiece arrangements, name cards, ceremony and reception decorating, ceremony directing and any other task that may require set up and/or breakdown of rental items from outside vendors. If the hotel personnel are required to complete any of these tasks, a service fee of $250.00 per hour will be imposed. Our Banquet staff will be available two hours prior to the event for set-up. If the client request an earlier set-up, a service fee of $100.00 per hour will be imposed. LOSS AND DAMAGE The Hotel shall not assume responsibility for the damage or loss of any merchandise or article in the Hotel prior to or following the banquet or meeting. SERVICE CHARGE AND TAX All prices are subject to 22% service charge and applicable taxes. WEATHER POLICY DoubleTree Suites by Hilton Raleigh-Durham is not responsible for the weather.
