Mission Ranch Events Department Welcome to Mission Ranch. Imagine your wedding or special event set in our beautiful location above the water’s edge in Carmel with sheep filled meadows framed by mountain and ocean views. The Mission Ranch offers a graceful, picturesque property which includes our historical event barns and varied charming hotel accommodations. Our location, overlooking the Pacific Ocean, has been the site of many beautiful events. Our Patio Barn has stunning views and is the barn in which most events start and finish. The Patio Barn has a wall of glass doors that open onto our brick patio with views towards the green meadow and ocean beyond. It is the perfect location to enjoy beverages at the start of any event and to star gaze at the end of the evening. The interior of the Patio Barn boasts a large copper-top bar at one end of the room, a dance floor and built-in stage at the opposite end which can be used by your band, DJ or entertainment. The Patio Barn accommodates up to 96 guests for a full seated meal service with room to dance. The Large Barn is a generous room with a vast open beam ceiling and is used primarily for the dining portion of an event for larger groups. The Large Barn will accommodate parties up to 176 guests for a full plated meal service. The Mission Ranch Event Barns are the original milking and hay barns of the then local dairy farm dating back to the 1850’s. Enclosed is a package which includes property and event policies and our agreements, a variety of menus for different event styles and our wine list. Please note menus may be customized to fit your taste. Barn rentals include round tables, which seat up to eight guests, standard white linens, service ware, white wood chairs and heaters for the patio. Mission Ranch Events Department

Barn Rental

Patio Barn: Accommodates a Maximum of 96 guests for a served meal

or a Maximum of 80 for a buffet meal $4000

Patio Barn and Large Barn:

By using both barns, (the large barn for the meal service only) we can accommodate up to a maximum of 176 guests for a served meal

152 guests for a buffet meal $5000

Event Time

The above rental fees reflect a maximum 5-hour period of time (including ceremony, if applicable).

If the wedding ceremony takes place off-site, the reception at Mission Ranch shall be scheduled to begin within ½ hour after the ceremony concludes.

Functions must end by 10:00 PM.

Fees

The rental fee/deposit and signed policy agreement are required to reserve an event date and is payable by major credit card (Visa, MasterCard, and American Express) or check.

Rental Fee and or Deposits on account are non-refundable and non-transferable.

A set-up labor fee of $250.00 will be charged.

A $2.00 per chair setup fee will be charged for all ceremonies that take place on the 4-Plex lawn.

Billing

A service charge of 20% will be added to all food and hosted beverage charges, including corkage fees.

All charges, including the 20% service charge and Barn Rental Fee, are subject to state and local sales tax.

60% of all estimated costs are due sixty days prior to the function. The remaining balance of the estimate is due fifteen days prior to the function, when the final guaranteed guest count is due. Failure to comply with payment requirements can result in cancellation of the event and forfeiture of all deposits. Any outstanding charges (additional hosted bar charges, etc.) shall be due at the close of the function.

A Credit Card is required at the time of the final guaranteed count for any balance exceeding the prepaid estimate. Any additional final billing charges will be charged to this credit card the day after the event.

General Information

Mission Ranch accommodations customarily sell out months in advance. If guest rooms are essential to your wedding plans, please call our group sales department at (831) 624-6436 to check availability. Hotel accommodations are not automatically held for you.

Mission Ranch staff will try to accommodate rehearsal dates and times. Rehearsals are scheduled prior to 3 p.m. and based on site availability.

Mission Ranch cannot be responsible for the weather, as it may affect any outside event. Mission Ranch will make every effort to implement an alternate plan.

Mission Ranch is not responsible for lost, stolen, broken or forgotten articles. All personal items must be removed from the barns at the close of the event; it is suggested that someone in your party be designated to collect these items before leaving the Mission Ranch barn(s).

Safety Issues

Children must be supervised by adults at all times and must be seated next to a parent or supervising adult during meal service.

Due to safety concerns guests are not permitted to sit or climb on the fence outside the Patio Barn or enter the meadow at any time.

For the safety of guests, and in compliance with Mission Ranch policy, tossing of rice or birdseed, or the use of sparklers are not permitted. Bubbles are allowed on the lawn area only. Any other items require prior approval by Mission Ranch.

No live animals are allowed on the property, inside or outside the barns. This includes, but is not limited to, dogs, butterflies and doves.

Food Service All food is provided by Mission Ranch Banquet Department. Food tastings can be accommodated

but only on event days at the time of the scheduled meal service, you will be served the same meal for the day’s event. The fee for tastings is the meal price and will be charged to your final billing.

Clients and guests are not permitted to bring food onto the premises. All wedding cakes, cupcakes or other desserts must be provided by a commercial bakery. You may choose three selections from the Menu, and it should be confirmed 90 days prior to the

event date. The Chef is happy to customize menus. A vegetarian meal can be provided in addition to the two entrée selections. Vegetarian count must be

given at same time as guaranteed guest count. At least one hors d’oeuvre must be served if the Reception Hour includes alcoholic beverages. Meal guarantee: The guaranteed number of guests shall be confirmed no later than 15 days prior to the event

date. This guaranteed number is not subject to reduction. If Mission Ranch does not receive notification of a guaranteed number of guests 15 days prior to the event, the number used for the estimated billing will be considered the guaranteed number of guests. If the number of people attending the function should increase, you will be charged accordingly. Mission Ranch will set and staff for the number of guaranteed guests.

Décor and Entertainment

Any and all flowers, candles, centerpieces and/or decor must be provided and coordinated by one of the Approved Florists on our Vendor List.

White linens and napkins are included in the Barn Rental Fee. Special linens, upgraded chairs, or rafter décor/lighting can be arranged for an additional charge and must go through the Events Department. Please contact the staff at Mission Ranch for any of these items.

Balloons are not allowed as décor at Mission Ranch. Music and entertainment must be approved by Mission Ranch Events Department. All entertainers

performing at Mission Ranch are required to carry general liability insurance, written proof of such insurance shall be provided prior to the event, or they cannot perform.

If sound from musical groups interferes with hotel guests or local residents, Mission Ranch reserves the right to control the volume.

If a DJ requires equipment, tables, or skirting for a table to be provided by Mission Ranch, a $75.00 fee will be charged.

Vendors are not allowed to consume alcoholic beverages. To avoid additional fees, entertainers and equipment shall vacate the building within 30 minutes after

the end of the event (additional fee $50.00 per hour or any portion thereof.) Vendors/Performers must park their vehicles off property. Bar and Beverage Service

Liquor, wine, beer and any non-alcoholic beverages must be provided by Mission Ranch Banquet Department. The only exception may be wine and champagne. If provided by the guest, wine/champagne must be delivered to the Banquet Department the day prior to the event. Said wine or champagne must be served by Mission Ranch Banquet Staff. Wine and Champagne not purchased through Mission Ranch is subject to a corkage fee of $25 per 750 ml bottle plus 20% service charge and sales tax.

Wine selection must be confirmed at least 60 days prior to the event in order to guarantee availability.

If you choose special order wines, they can only be ordered by the case and you will be charged for the entire case. All unopened bottles will be returned to you at the end of the event.

Prices, availability and vintages are subject to change based on inventory and or allocation.

All hosted beverages are subject to a 20% service charge and sales tax.

A fee of $250 will be charged if consumption does not exceed $500 in hosted bar beverages.

A bartender fee of $150 will be charged for cash bars.

Alcoholic beverage service will end 15 minutes prior to the end of the event.

Barns must be completely vacated within 30 minutes after the end of the event.

Mission Ranch reserves the right to close the bar if at any time alcohol consumption has reached an excessive amount.

Any beverages brought into the event area either by the client or guests with the intention of being consumed during the event will be confiscated by Mission Ranch Personnel.

Coffee Service is an additional charge, and is dependent on the number of guests. ($100 minimum)

Mission Ranch pours alcoholic drinks responsibly.

No shots of alcohol will be served.

No outside liquor is permitted in either of the Mission Ranch barns by the client or guests. If found, a corkage fee will be charged to the client’s final bill.

If guests purchase drinks from the Mission Ranch Restaurant they must be consumed at the Restaurant.

Alcoholic beverages are not permitted to be consumed while in the parking lot area.

Under no conditions will the consumption of alcoholic beverages by minors be tolerated on

Mission Ranch property; identification is required for any person who appears to be age 30 or

under. Clients and/or guests giving alcohol to minors may result in closure of the bar.

I/We have read the above Bar and Beverage Policy and understand the policies concerning alcoholic consumption.

Signature of Client(s)

Guests Responsibilities Client is responsible for the proper behavior of event guests and agrees to abide by the alcohol policies set by the Mission Ranch Banquet Department. Intoxication, rowdiness or any behavior by your guests deemed by Mission Ranch as disruptive and/or unacceptable will not be tolerated. If client fails to control the guests’ behavior, Mission Ranch will take necessary steps to control such behavior and/or remove offensive guests from Mission Ranch Property. Client agrees to accept responsibility for any damage to or theft of Mission Ranch property and equipment by event guests during Client’s event, and necessary charges will be billed to client.
