Executive summary

This report includes project management practices and how various projects can be managed in

an effective manner. There are some set guidelines and standards that can be used as the base for

the project management. These guides or practices includes framework of project management

book of knowledge under which there are many areas in the effective management of the

undertaken project. PMBOK has the capability of managing projects and provides capability to

project manager or project team in the implementation of project in an effective manner.

This report includes project management activities related to implementation of enterprise

resource planning software in the Antony Plc. In order to manage its growth in the business

operations, management of Antony Plc has planned to implement enterprise resource planning

software. For this purpose practices or framework provided in the PMBOK has been used. In this

report activities related to project management of enterprise resource planning software has been

defined. Critical analysis of PMBOK (each steps or activities involved in it) has been done in

this report. There are many activities in each stage of project management practices and how

they will be implemented in the project management has been discussed in this report. For the

purpose of project management, many resources including time have to be managed and

integrated in each practice of PMBOK. This report also includes recommendation that will be

required for the purpose of identifying improvement areas in the project management like

incremental approach shall be applied for implementing project; project shall be reviewed, etc.

These are to be taken care by the project manager. This report includes findings on

implementation of ERP system in different areas of business organisation. This report includes

recommendation that is to be adopted by the management of Antony Plc so as to implement and

test implemented ERP system in business operations. Incremental approach shall be adopted for

implementation of ERP system.

Introduction

Purpose: Purpose of this report is to analyse the implementation of concept PMBOK knowledge

in the development of ERP software for Antony Plc. Project or PMBOK knowledge is the most

desirable form of project management because of its many capabilities. Every business

organisation has to build and implement any sort of plan that is required for betterment or

improvement of business. Several small or huge projects need to be undertaken so as to

effectively manage their business operations. Focus point in every project is in its development

or implementation stages or phases that enables organisation to manage their work of project

development.

Structure: Therefore to manage these development or implementation stages project management

comes into play. For every kind of project PMBOK knowledge is of core importance. This report

is prepared so as to know how work or PMBOK knowledge is being managed in an effective

manner so that implementation of ERP software can take place. This assignment includes

analysis how project has been managed in an effective manner so as to overcome from issues

faced during the management of project.

Resources required: This report includes various stages of project management i.e. PMBOK

(Project Management Body of Knowledge) during the implementation of ERP software in the

Antony Plc. Human resource i.e. project manager, developers, project leader, other skilled

employees, etc. are required for the project. Financial resources are also required for

development and implementation of ERP system in Antony Plc.

Background and environment of project

PMBOK knowledge area has the capability to divide and manage different stages of the project

development that management of organisation is intending to develop and implement. For the

purpose of this assessment, this report has the story of Antony Plc operating its business in

Melbourne, Australia. Antony Plc is incorporates since 6 years and dealing leather products (like

gloves, wallet, purse, etc.). Antony Plc is in growth stage therefore they need to manage their

business operations more effectively. For that management has suggested to lower its operational

expense by integrating many divisions of the organisation. It is its seventh year of business

operation, now management of Antony Plc desires to have Enterprise Resource Planning

software integrated in its existing business system so that they will be able to manage different

resources of the organisation. Therefore for this purpose, separate team has been appointed for

better management of this project. Project team is engaged in development of project breakdown

structure of this project i.e. implementation of Enterprise Resource Planning software in Antony

Plc (Katz, 2013). For this purpose project management team has been appointed by Antony Plc

as project manager of the same. This project is of implementation nature that is undertaken to

implement enterprise resource planning software in the growing business of Antony Plc. Various

steps needs to be undertaken in the process of implementation of this project so as to effectively

manage the whole implementation project. Therefore objective of this report is to manage

implementation process of enterprise resource planning software in the Antony Plc and to

identify what issues has come across during the implementation process (Piscopo, 2012).

Areas of PMBOK Project Management

(Peixoto, 2014)

For the purpose of effective management of implementation of enterprise resource planning

software in the Antony Plc, framework of project management book of knowledge has been used

for the successful implementation of the required project. Knowledge area of PMBOK is

standards made for the effective project management that is undertaken. Following are

knowledge area of PMBOK that is used in this project management and following is the critical

analysis of the implementation project:

Project Integration Management

Under this stage different stages or activities of the project are to be defined and identified so as

to plan and implement in an effective manner (Warner, 2011). Since ERP software is to be

implemented in overall organisation therefore all activities of the Antony Plc needs to integrate

activities of the undertaken project. In this project following are different project activities that

needs to be integrated with current activities:

a) Accounting software is to be integrated with the new tailored made enterprise resource

planning software (made for accounting) under which new heads, sub-heads and other

information is to be inserted along with existing accounting information(Warner, 2011).

b) Existing activities of material procurement like following all steps for material

procurement i.e. identify demand of material, make PO, issue PO, intake material, etc.

these activities are to be integrated with the new ERP software. These activities now (i.e.

after implementation of ERP software) shall be conducted in computerised system and

manual activities shall be abolish.

c) Customer (i.e. wholesaler and retailer) are to be integrated within the ERP software i.e.

adequate information shall be provided to customers. Therefore this step requires

integration of customer management and relationship activities with the new enterprise

resource planning software (Warner, 2011).

d) Inventory Management is another theory that is to be managed or that is to be integrated

with new ERP model developed. Amount of inventory and units of inventory shall be

kept in the new developed ERP system. Automatic addition and reduction of units of

inventory shall be maintained in system.

e) Management information system is to be linked with enterprise resource planning

software, where many accounting and business operations information shall be stored in

separate reports that can be generated in printed copy. These report includes many

information that can be used in the decision making process of the management of

Antony Plc.

Project scope management

Project scope can be define as the area within the organisation that project covers and within the

areas undertaken project is to be (Chung, 2015). In this case, enterprise resource planning

software is to be implemented therefore area that covers is overall business operations of Antony

Plc. Different business activities like material procurement process, customer management

process i.e. sales process, human resource management process and all other processes that is

required in the successful operation of Antony Plc is to be managed in an effective manner. This

stage will ensure that all required steps or activities in the project management are there (Chung,

2015). In the same manner project manager has identified the same with the help of work or

project breakdown structure made in the planning stage. Scope management and scope planning

is required for the same so that proper management of project can be done. This stage also

defines the control aspect and monitoring aspect that project manager shall undertake to ensure

himself or herself that all activities required for implementation of enterprise resource planning

software in Antony are aliened and their control measures has been defined(Chung, 2015).

Project Time Management

Time management is the most important concern for the project management since timely

completion of the project is the core requirement of every project. For the purpose of timely

completion of undertaken project i.e. implementation of ERP software in the business operations

of the Antony Plc. Management will be keen to complete the project as soon as possible and on

the other hand project manager also wants to complete the same on time (Pratama, 2013). Time

management is most important concern for the project manager and project team. For the

purpose of timely completion of undertaken project, at the time of planning stage time is to be

assigned to each activity so that it can be completed within time. Therefore for the effective

management of project implementation or for timely completion of project critical path analysis

has been done. Under critical path analysis, flow of activities was defined that is required to

implement or complete the project (Filev, 2010). Different paths can be possible or the

completion of project but with the use of critical path analysis shortest path or flow of activities

can be identified. Another project time management tool that is used under this project

management is Gantt chart. Gantt chart is prepared so that each and every activity can be

identified and managed. Gantt chart has the capability of managing different activities of the

project and has the capability of managing project. Following is the data for the Gantt chart:

Project Cost Management

Another important factor that needs to be considered by project manager is the cost involved in

the project that is to be implemented. Project cost needs to be estimated so that various aspects of

the project can be estimated. In implementation of enterprise resource planning software in the

business operations of Antony Plc there are various costs centres that is to be analysed and cost

needs to be incurred(Minegar, 2014). Cost centres includes service cost of IT experts, material

required for the ERP software implementation, tailored made ERP software, employees cost and

other cost related to different cost centres. Project manager has the responsibility of preparing

budget that is required for the effective implementation of the project. Management of Antony

Plc has identified different sources of finance for procuring and implementing enterprise

resource planning software as required for the business growth. Project manager in consultation

with management of Antony Plc has planned cost control measures of the project. These cost

measures needs to be implemented through the project implementation. Cost control activities or

steps will take place at the time of implementation of the project. Risk management also includes

variance analysis i.e. variation in the estimated cost and budgeted cost shall be managed and

controlled so that project can be implemented effectively (Minegar, 2014).

Project Quality Management

Most important concern that project manager and project management team has is of quality in

the project management activities and project that is undertaken. There are many standards that

are formulated for the purpose of managing project that is undertaken. Project manager is

required to formulate quality plan that includes inclusion of quality in the implementation of

project. Quality in terms of IT team, quality services, etc. Quality management policies during

the implementation of ERP software in Antony Plc is made and implemented at the time of

implementation of project (Schwalbe, 2012). Quality material and service has been used for the

project. At the time of execution stage, project team shall conduct quality assurance activities

during the project implementation stage. During the monitoring and controlling stage of the

project activities shall be checked for quality control so that project manager can be assured of

quality. Project manager shall specify quality standards that each and every employee or project

team needs to include in its services. Employees of Antony Plc shall ensure quality standards

after implementation of ERP software. Quality is the most important requirement at each stage of

the project management and this can be achieved through strict follow of practices of PMBOK.

Since enterprise resource planning software has to be tailor made therefore quality in each stage

or process is required. This capability enables project manager to implement activities with

quality standards (Schwalbe, 2012).

Project Human Resource Management

Human resources are assets for the organisation that is required for the purpose of doing business

operations in the organisation. But in this case human resource is related to project management

i.e. project team shall be made for the successful implementation of project. Project manager is

required to build their team that will support in project management and implementation of ERP

software in Antony plc. Plan human resource management is required at the planning stage of the

project management (Joshi, 2015). In this project, different types of human resource is required

i.e. IT personnel is of prime importance in the project team. Other technical and skilled human

resource is also required for the development and implementation of project i.e. implementation

of enterprise resource planning. At the time execution stage of project acquisition of project

team, development of project team (technical, skilled and semi-skilled team members) and

management of project team is required for the implementation of the enterprise resource

planning software in Antony Plc. Project team members are required to manage operations of

implemented enterprise resource planning software in the Antony Plc. Training and development

to the existing employees of Antony Plc is to be given by the project manager or other specified

personnel. This shall be specified at the time of planning of project management (Joshi, 2015).

Project Communications Management

Since information is required at each stage of project management for supporting decision

making process of the organisation. Same is applicable on the project management of the Antony

Plc in terms of information requirement. Information alone does not satisfy need of project team

and project manager. Therefore there shall be proper communication channel establish in the

planning process stage. For the successful implementation of project management there shall be

effective communication of information that is required in the project management in Antony

Plc. Information related to shortcomings in existing system shall be well communicated by

employees of Antony Plc to the project team (Foong, 2014). Following points has been included

in the project management process:

Planning: At this point, communication channels shall be made so that there is no ambiguity

among employees of project team and employees of Antony Plc. This step will ensure

identification is exact issues and its solutions in ERP software.

Collection: Information shall be collected by project team from various sources in the Antony

Plc so that they will be able to manage their project management activities (Foong, 2014).

Distribution: Under this step of planning of communication management, distribution channel

shall be established so that effective communication can be there. ERP software requires various

information related to its operational area. For the project management, intranet has been

established for the effective communication and distribution of information has been

implemented (Foong, 2014).

Project Risk Management

Risk management in the project management is required so that different types of risk can be

identified and mitigated (Peixoto, 2014). At the time of planning stage risk management shall be

given due importance since risk in implementation of enterprise resource planning software may

lead to unsuccessful implementation (Peixoto, 2014). This may result in heavy losses, loss of

goodwill, wastage of resources and other losses (Peixoto, 2014). At the time of planning

different types of risk involved in project like identification of wrong issues in the existing

system, non-detection of issues or shortcomings in the existing business, inappropriate

requirements from ERP software, etc. Another important factor is to analyse the impact of these

risk in project management and how these risks can be controlled (Peixoto, 2014). At the stage of

planning risk management plan shall be made and at the time of execution stage control activities

in the project management shall be implemented. Project manager and project team is liable and

responsible for the detection and control of different risk at different stages of project

management shall be managed (Peixoto, 2014).

Project Procurement Management

In this phase of project management material required for the purpose of project management

shall be planned. Material required and service required apart from project team shall be

analysed. In this case, enterprise resource planning software is required which is tailored made

and will be implemented in the Antony Plc. Apart from this software no other material is

required for the project management.

Project Stakeholders Management

This stage of the project management includes identification of key stakeholders and what are

their expectations from the project and their expectations can be fulfilled. Enterprise resource

planning integrates different business processes and different division of the Antony Plc

therefore almost stakeholder will be impacted. Stakeholders like employees, key material

supplier, board of directors, line manager, project manager, project team and other stakeholders

(Narasimhan & Freeman, 2015). Priority of stakeholder’s needs to be established and their

expectations from the project is better transparency of the information so that they will be able to

achieve their objectives from the Antony Plc. On the other hand accountability is the second

most important factor that should be included in the project management. Stakeholder

management impact this project as ERP software is related to overall business operations of the

Antony Plc. For the sake of effective management of project support of stakeholder is required.

As stakeholders can influences the success factors of the project management. Therefore they

need to be management (Narasimhan & Freeman, 2015).

Conclusions

From the implemented project of enterprise resource planning software in the Antony Plc it can

be analysed that project management is required for the effective and successful implementation

of project undertaken by Antony. In the undertake project there are various factors that were

managed for effective management like risk management, time management, quality

management and human resources management. During the project management, findings

include project management strategies and its implementation during project management is the

learning outcome. During the project i.e. at implementation stage human resource and risk

management activities were taken care by the project manager. Project manager and project

management team had specified the requirements from the project. During the project

management practices that were used for the purpose of implementation of project in Antony

Plc. Project Management Book of Knowledge is used as framework for the purpose of

implementation project management practices. From the above report it can be concluded that

project management practices implemented in this project management has complied or in

consistence with the proven theories and practices for the same. Another issue that were faced

during the ERP system development is the lack of information or knowledge of requirement

from the project. But these were handled effectively by project manager. Since practices related

to PMBOK has been applied and analysed during the project. Most important issue that were

faced during the project implementation are of risk management, human resource management

and time management that impacts project in negative manner. Strength of project management

practices is that it leads to effective management of project and timely completion of project.

Weakness of project management practices is that it provides ridged and forced practices to the

project manager and project team.

Recommendations

The case highlights that how the ERP system has been implemented in an organisation and what

are its benefits. It is clear that ERP gives great solutions to the organisations but from the

analysis of the management of the project, there are certain recommendations which are required

for the successful operation of the ERP system in Antony PLC, which is given below:

It is recommended to record the list of the requirements of the project and then plan ERP system.

The organisation should involve all the stakeholders of the company while making

decisions regarding the implementation of the ERP system.

For the successful implementation of ERP in Antony PLC, it is required to give proper

attention, careful consideration to each stage while implementing the system.

It is recommended to implement the ERP system with active and incremental approach so

that it does not take too long to get implemented.

It is also recommended that the system of ERP should not be used uniformly for all the

projects and it should be used appropriately according to the projects.

The process of implementation of ERP does not end with the implementation but it

should also be reviewed after the implementation.

The organisation should make itself prepare for the changes which are brought up by the

implementation of ERP system.

The shortcomings of the implementation of ERP system in Antony PLC are that it involves a lot

of time and cost in planning, testing and implementation of the ERP system. It is also a challenge

for the organisation to transfer all the data from existing systems to the new ERP systems. It may

become complex to understand for the employees and requires training for the proper

maintenance of the software.
