The Role

This is an opportunity to join ENO in a role reporting directly to the Director of London Coliseum. ENO is in the early stages of transformation across all departments and the new PA to the Director of London Coliseum will play an important support role in the successful delivery of the new business plan and strategy

The Director of London Coliseum is the designated licensee for the venue and oversees the management of Commercial Operations, Technical, Front of House, Health and Safety and Facilities departments.

Reporting to the Director of London Coliseum, the Personal Assistant is responsible for the effective provision of full secretarial and administrative support, ensuring the effective running of the Director's office.

Key accountabilities include:

1 General office Administration:

Post: Receive and assess incoming e-mail and post and, as appropriate, reply directly, direct elsewhere, or forward to the Director in order to ensure that prompt action is taken.

Diary: Organise the Director's diary appointments, co-ordinating internal and external arrangements, and acting as a point of contact for the office, to ensure that best use is made of the Director's time, and that appropriate access to the Director is available.

Documentation: Organise and process all documentation, including typing letters, emails, reports and other documents, to ensure a high level of presentation and communication at all times.

Telephone calls: Screen telephone calls, answering enquiries where possible and passing to Director or other personnel as appropriate, to ensure callers are dealt with promptly and politely and that the Director's time is not taken up unnecessarily.

Filing: Set up and maintain filing and bring forward systems as appropriate to ensure effective storage and retrieval of the Director's documentation whilst reviewing outstanding items to maintain a priority system.

Live Show list: Maintain and keep the live show list up to date in consultation with the Producing department, Production department and Stores.

General administration: Provide general administrative support, to include ordering stationery, arranging cabs/couriers and photocopying, to ensure the smooth running of the office.

Writing purchase orders.

Entering purchase orders into commitments records.

Arranging travel and accommodation and per diems as required.

2 House management

Assist the House Manager in the weekly data entry and the front of house payroll is inputted weekly in a timely manner.

Cross check development and FOH recharges for visiting companies (VC).

Collate information from Front of House, Facilities and Catering for VC recharging.

Be the point of contact for first aid enquiries (training and supplies).

Maintain supplies for subcontractors (security etc).

Preparing credit card and expense forms for department.

Stock checking programme, merchandise and ice cream stocks.

Updating visiting companies schedule sand assisting with correspondence.

3 Meetings:

Organise and attend meetings as required, arranging and circulating agendas and relevant papers, thereafter taking and circulating minutes, to ensure the effective administration of meetings and an accurate record thereafter, such meetings include: Production Meetings, Model Showings, Advance Technical Scheduling meetings, Contractor meetings, Health and Safety Meetings

4 Transport and shipping:

Assisting in the preparation of Carnets and import/export documentation as and when required

5 Communication and internal/external relations:

Participate in the provision of effective information to internal and external clients, maintaining a high standard of communication at all times.

6 General Administration:

Provide additional secretarial/administrative assistance on departmental projects as required by the Director.

Assist the Director of London Coliseum in maintaining all necessary licensees for all of ENOs premises and ensuring statutory compliance is maintained.

Maintain data base of all ENO licensing

7 Capital projects

Assist with the administration of all capital projects at concept, procurement and delivery phases.

Work closely with the director of London Coliseum on the future development strategy of all ENO properties.

8 Ad hoc duties as required.

HolidayAnnual leave entitlement will be 20 days, rising to 25 days after three years continuous service. In addition to annual leave, you will be entitled to eight Public Holidays per annum.

Salary Range: £26,000 – £27,500 depending on experience

Hours of working: Normally 10am – 6pm Mon-Fri with evening and weekend work as required
