This introductory document aims to guide our new doctoral students into their doctoral studentships, and also to give information about being a doctoral student at the Department of Statistics.

We want to keep this document updated, so we are grateful if everyone, doctoral students and -supervisors, contribute with their knowledge, tells us what they need to know and find in such a document, and helps to keep the information updated, via [email protected]

General information on doctoral studies at Stockholm University

The information at Stockholm University website states: “The general goal of research is to gain knowledge so that we may better understand the world we live in and if possible change it for the better. The purpose of PhD studies is to train doctoral students in the disciplinary and academic tradition, but above all to develop independent and critically minded researchers.”

This also requires a well-functioning cooperation between department representatives, supervisors and doctoral students, where everyone is able to share their thought freely and equally.

Employment for doctoral students

Employed doctoral students get their salary according to a fixed salary scale. The starting salary for those hired Autumn 2019 is 26 500 kr. When at least half of the requirements for a doctoral degree are fulfilled the salary is raised to 28 400 kr. When at least 80 % of the requirements for a doctoral degree are fulfilled the salary is raised to 29 300 kr. You may be employed as a doctoral student for no longer than eight years and the total employment may not exceed the equivalent of four years full time doctoral studies. But the employment can be prolonged if there are special reasons, such as sick leave, parental leave or commissions for the union (HsF 2006:1053).

The employed doctoral student may work for the Department of Statistics as a teacher or with administrative work, but not on more than 20 % of full time. This work entitles you to a prolongation of your employment as a doctoral student.

You have 28 days of paid vacation per year until you are 29 years old, 31 days between 30 and 39 years old and 35 days after you have turned 40 years old. Normally you should take your vacation during the summer, but exceptions can be made.

Your employment entitles you to insurances such as: employment insurance within the Swedish A-kassa, health insurance, parental leave, and all social benefits that employees at Stockholm University enjoy.

Industrial doctoral students

As a so called industrial doctoral student you are hired by an external employer, and do your research within this employment. You will get your salary according to your employer’s salary system. However even if you are an industrial doctoral student you must complete your doctoral studies within eight years total time, equivalent to four years full time studies. The industrial doctoral student has at least one of the supervisors at the department and the other may work at the employing company.

Activity reports

Each term your level of activity will be registered, how many percent of your employment consists of studies/teaching/other, if you are on leave full- or part time, etc. This report lays ground for the prolongation of your doctoral studies.

At the Department of Statistics

An individual study plan..

..should be written for each doctoral student no later than 3 months after the doctoral student is accepted at the department. The doctoral student writes the individual study plan with input from the supervisor. It should contain an outline for the following years of doctoral studies. The outline should contain both a general time plan and a description of the contents of the studies/research/work.

The individual study plan should also contain a detailed plan for the following year, and it shall be revised once a year with new detailed plans for the following year and an evaluation on how the plan has been followed. The plan should also contain information on the outline for the supervision and how the doctoral studentship is financed (Hsf 5 kap 36 §). The doctoral student, the supervisor and the head of the department must sign the individual study plan before it is binding.

The contents of the doctoral studies

The doctoral studies at the Department of Statistics leads to a PhD in Statistics. To earn the PhD you will have to take research courses to a total of 120 ECTS credits (not more than 60 ECTS credits of the courses can be at the master’s level) and you have to complete a thesis equivalent of 120 ECTS credits.

You may take a Degree of Licentiate in Statistics (licentiatexamen) when you have completed half of your doctoral studies; 60 ECTS credits courses and a thesis equivalent of 60 ECTS credits. The Licentiate thesis may be a part of the doctoral thesis after an agreement with the supervisor.

The Courses..

.. are partly given by the Department of Statistics, and for the rest of the coursework you will have to go to other departments/universities. Some of your conference papers can also be counted as courses. Talk to your supervisor about this. There are four mandatory courses: Inference Theory, Probability Theory, Stochastic Processes and Statistical Computation. Three of these four courses are given by the Department of Statistics, but Stochastic Processes has to be taken at another department. Our PhD students can take two undergraduate courses from the Department of Mathematics of 7.5 ECTS credits each, which together counts as a 7.5 ECTS credits course in Stochastic Processes at the PhD level in statistics.

.. give all researchers including the doctoral students an opportunity to present their current research and receive constructive feedback from their colleagues. At the Department of Statistics the research seminars are usually given on Wednesdays, and the presentations may be made by one of the doctoral students, other researchers at the department, or by invited guests.

The thesis..

.. written at the Department of Statistics can be a compilation thesis, compiled by articles for which an introductory chapter is written to summarize the articles, or it can be a monograph. A compilation thesis should contain publishable articles.

Rights and Responsibilities

Supervisor

According to the law (Högskoleförordningen kap. 6, 28 §) all doctoral students shall have at least two supervisors, of which one should be the main supervisor. The main supervisor has the ultimate responsibility, but the assistant supervisor can take care of the supervision, if this is agreed upon.A supervisor can help with:

The choice of topic for the thesis and assuring that it is realistic and viable Examining the manuscript and other material Recommending courses and interesting and relevant literature Establishing contacts with other departments in Sweden and abroad Help the PhD student to find opportunities to take part in international

conferences and meetings Recommending foundations from which the doctoral student can apply

for scholarships

If you experience problems with your supervisor, the first step is to try to talk it out. Prepare by writing down issues to raise and propose constructive solutions if you can. If this does not work, or if the supervisor has behaved improperly, contact the PhD Student Ombudsman for informal advice – this will be strictly confidential. http://www.sus.su.se/doktorandombudet

The right to change supervisor is stated by law (Högskoleförordningen kap 6, 28 §: ”En doktorand som begär det ska få byta handledare”) This right is unconditional and the department cannot deny you the right. Talk to the head of

the department, whose responsibility is to find you a new supervisor. Individual study plan as a document of rights and responsibilities

In the beginning of September the director of PhD studies reminds the PhD students to update their individual study plans. The PhD students are then required to update their study plans within a month and sign it together with their supervisors. When the study plans are signed, they shall be handed in to the head of the department. They are then officially registered and sent to the Faculty of Social Sciences.

The main purpose of the individual study plan is for the doctoral student to get an overview over his/her research and coursework, with a reasonable time plan which gives room for research as well as writing, attending research seminars and all other parts of the doctoral studies that has to be planned for.

The individual study plan is an important document should there be any of economic or other disagreements about the employment and responsibilities for the doctoral student. The individual study plan is in these cases binding for both parts, which for instance means that a doctoral student cannot be forced to work for the department with teaching or administration for a larger part than is agreed upon in the individual study plan.

The individual study plan which you and your supervisor write together functions as a contract between you and the department, for your research education. The study plan is also a help to structure your time. (Högskoleförordningen kap 6, 29 §). The study plan ensures that the department promises to provide good supervision, necessary equipment and good study conditions, and that the doctoral student works towards goals that are decided upon.

The board of the Faculty of Social Sciences has the main responsibility to make sure that all PhD students have individual study plans, which are updated once a year. The work with the individual study plans has been delegated to the departments but the faculty board still has to make sure that the departments

handle the study plans properly.

During the yearly revision, the doctoral student and the supervisor examine the study plan together. If the PhD studies are not going according to plan it can have great consequences. A department which doesn’t keep up to its promises with regards to for example supervision, financing, resources and courses may have to give the PhD student a prolongation of the employment.

A workplace

Your department is obliged to provide you with a workplace and good working conditions, which for instance includes your own desk.

Become a visiting researcher

It is generally recommended for doctoral students to visit universities abroad. To do so the department and the supervisors have to approve of the arrangements. The supervisors can also usually help the doctoral student with contacts, certificates and introductory letters.

Financing of extra costs

This is a matter of negotiations with the department’s representatives. It could for instance relate to specific software or hardware. Try to put it in your individual study plan and establish your needs at an early stage of your PhD studies. If the department can’t help financing for instance purchases or fieldwork, they should be able to help you with advice on how to apply for scholarships.

Health care

All employees at Stockholm University have access to health care and preventive health care.

You are also entitled to a compensation for up to 1500 kr/year for preventive health care (“Friskvårdsbidrag”). This can be used for gym cards, fees for sporting, dance classes, massage, etc.

Ask for help with filling out forms and leaving receipts. The refund will be paid with your salary.

Insurance

As an employee you are insured for personal injuries during work hours plus travelling to and from work. If you only have a study grant you are only covered by the general student insurance by Kammarkollegiet. All doctoral students are covered by work travel insurance.

Parental leave

If you are employed as a doctoral student at Stockholm University, you are covered by insurance so that you can take parental leave with 90 % of your salary and your employment on hold until you come back from your leave. This is covered partly by Försäkringskassan and partly by the university.If you are supporting yourself with a scholarship the foundation might not have regulations which make room for parental leave.

Vacation

You have the right to have a vacation and employees in Sweden also get paid during their vacations. The department is not entitled to ‘just fill in the forms’ for vacations when you are actually working. The employee has to take at least 20 days of vacation each year, and the employer has the right to decide when, although it is open for negotiation. It is the responsibility of both the doctoral student and the department to make sure that the vacation is taken within a time period that is acceptable for both. The individual study plan may be of help when deciding this.

Remember that vacations are not only your absolute right; it is also an investment in yourself, your health and your thesis project. Take your time to

recharge your batteries and avoid getting exhausted by stress. The vacations are usually a constructive asset to your research, when you get time to slow down, reflect on your work and come back with new energy.If you get criticised by your supervisor for taking vacations, talk to the PhD Student Ombudsman to get support and advice.

Raising your salary

As an employee at the department, you should receive a higher salary two times during your PhD studies: when you have completed 50 % of your PhD studies and when you have completed 80 %. There should be guidelines for this in your individual study plan.

Prolongation

You have the right to prolongation of your employment as a doctoral student if you have been working for the department with for example teaching, if you have been on parental leave, etc, or if you have had a commission of trust for example for the PhD students’ council. You have to update this in your individual study plan.

Part time

A doctoral studentship is supposed to be a full time employment. But if the doctoral student asks for it the employment may be on part time, at a minimum of 50 %.

Teaching

The individual study plan is binding for both parts, which for instance means that a doctoral student cannot be forced to work for the department with teaching or administration for a larger part than is agreed upon in the individual study plan.It can also be stated in your employment contract that you are supposed to teach up to 20 % or full time.

University Pedagogics is compulsory for doctoral students who teach. Talk to your supervisor about this!

You will need to add teaching into your CV for most post doc employments after your dissertation. Experience in organizing seminars and conferences is also a merit and administrative work will give you an insight into how your workplace functions. Note that if you teach courses at evenings (after 6 pm) you should get extra payment for this.

Sources of funding and scholarship support

PhD students are encouraged to attend international conferences related to their research fields and to perform short-term academic visits abroad.

Primarily, financial support can be obtained from the department. However, you can also apply for funding from other sources. For example, each year the university’s donation scholarship and the Royal Swedish Academy of Science may offer assistance to doctoral students for the above purposes. You have access to a library for statistics (room B774 and room B718, talk to Jenny about borrowing books), and also to the general university library, www.sub.su.se

You have access to a quiet reading room at the department, B720, which you can book in the calendar on the door.

You will be invited to kick offs and end of the term dinners, sometimes with an optional stay at a hotel

There is a staff gym located next to Lantis, this is one of the things for which you can use your “Friskvårdbidrag”. To get access, contact Johan Cederström, [email protected], and book a mandatory introduction.

The department board has regular meetings. Every year representatives are selected to represent the PhD students in the department board.

Remember that a PhD title contains much more than publishing a thesis and articles. It is an education in which you are expected to take part in the research group at your department, take part in seminars as a presenter as well as an active participant. You are also expected to take courses and broaden your knowledge within Statistics.

You are obliged to follow your study plan, and to update it with your supervisor if anything happens that makes it difficult for you to meet your goals. In case of gross negligence with regards to your individual study plan you may lose your salary, supervising and other resources. This may not happen, however, if there was no individual study plan or if the supervision and/or research environment had large deficits (in which case you may on the other hand get a prolongation). If you get involved in such an investigation you should contact the PhD Student Ombudsman.http://www.sus.su.se/doktorandombudetA doctoral student who has lost his/her resources may regain them if he/she can prove that it is probable that he/she now can complete her/his doctoral studies according to the individual study plan.

You and your supervisor must make sure that all your completed courses get registered in Ladok, the contact person for PhD students (Jenny) will help you with this.

You are expected to participate in the research seminars, as well as your colleagues’ licentiate- and doctoral dissertations.

Keep track of the work you do for the department, such as teaching, creating teaching materials, etc. Make sure that this gets documented so that you can receive a prolongation on your employment as a doctoral student.

All staff members at the department help out with ”kitchen weeks”. All staff members participate in the monthly department meetings. According to the law, universities in Sweden are obliged to provide

teaching and conduct research but also to cooperate with the surrounding society. This means that we should provide information on our research. A large part of the research is conducted by doctoral students. An important part of the PhD studies involves explaining and discussing your research with people without special knowledge in the area. This is important to improve the exchange of knowledge and ideas between the university and the surrounding society.A good way to fulfil this exchange of knowledge is to take part in the Stockholm University arrangement “Forskardagarna”, where researchers who recently had their doctoral dissertations present their research for the public.

Resources and advice

One good advice is to join the PhD Council, which chooses the PhD students’ representative at the department board and has a formal impact on the conditions for doctoral students at the department. Contact the PhD Council at [email protected]

The PhD Council has one meeting every month in the conference room (B700), where matters of common interest are discussed. The purpose of the council is to see to the PhD student’s interests regarding the studies and research as well as working conditions in general.

The PhD Council is currently working at getting formal guidelines for PhD students work at the department, with regards to for instance teaching. In a comparison between the departments at Stockholm University it is found that doctoral students who have formal guidelines are more happy with their workplace.

Locally at the Department of Statistics, the study councellor also works as a contact person for doctoral students. The contact person for PhD students functions as a neutral person, with whom PhD students can discuss problems or questions. The contact person for doctoral students works under a professional secrecy. Another function for the contact person is to help with questions regarding applications for example to travel grants for [email protected]

Preparations for defending your doctoral thesis

A final editing..

..of the thesis may take a lot of time. It is a good idea to plan this well ahead and discuss it with your supervisor. You will also have to write a summary, and abstract with keywords, check copyrights if you are using pictures, etc.

A final review..

.. of the thesis can be made at a research seminar before the doctoral student defends his/her thesis. The thesis will also be evaluated of the department’s supervisors, “Handledarkollegiet”.

Publishing a doctoral thesis

The Faculty of Social Sciences contributes with 40 000 kr for every defence of a doctoral thesis. This contribution should pay for salary and travels for the discussant (“opponent”) and travels for the examining committee (if needed). It should also contribute to the publishing costs for the doctoral thesis. If the money does not cover the publishing of the doctoral thesis, the PhD student has to seek other funding as well. The PhD student can chose between having the thesis published by a commercial publisher or by the Stockholm University Acta-series. Usually PhD students at the Department of Statistics chose the Acta-series.

The minimum number of copies of the doctoral thesis that has to be printed

At the latest 12 o´clock the day before the public notification date (“Spikningsdatum”) the following should be delivered in boxes to each recipient by the internal mail

3 copies in a box marked “Doktorsavhandling” to “Studentavdelningen”97 copies in a box marked “Doktorsavhandling” to “Department of Statistics”18 copies in a box marked “Doktorsavhandling” to “Universitetsbibliotketet”

These copies contain a “spikblad”.

The doctoral student will also receive a mailing list from his/her supervisor with all the people, departments, etc. that ought to get the thesis. The doctoral student is responsible for mailing the thesis.

(7 copies shall also be delivered by the publisher to Swedish libraries.)

Regulations for printing a licentiate thesis

The public defence of a doctoral thesis must be announced..

.. to the Faculty of Social Sciences at the latest six weeks ahead of the event. If the defence takes place at the beginning of the term, vacation between terms are not counted in the six weeks. It is the head of the department who informs the Faculty of Social Sciences. The information should contain a proposed chair of the defence act, a proposed opponent and examining committee. It should also contain an abstract of the thesis written by the doctoral student.

The doctoral student has to publicly notify of the upcoming defence of the thesis, by nailing the title page (in Swedish “spikdatum” and “spikblad”).When the doctoral thesis has been publicly notified, “spikad”, we celebrate it by letting the doctoral student nail one copy of the thesis to a board in the departments lounge. The doctoral student may also expect to be celebrated with cake and coffee by his/her colleagues.

The doctoral student can discuss the choice of opponent with his/her supervisor. The opponent should be at least an Associate Professor (docent).

The doctoral student should also take responsibility for booking a room for the defence act, with assistance from the supervisor and the student office.

The public defence act

The public defence is usually something the doctoral student looks forward to with some nervousness. But if you attend the dissertations of your colleagues during your PhD studies you will be well prepared and have a good insight into how the defence act is usually done. Your supervisor will also support you in your preparations.

The individual study plan (see further information on page 5 and 8) will help you with the planning of your PhD studies so that you will find sufficient time to write your thesis.

At some point in most thesis projects the author is stricken by a writer’s block. If/when this happens, the best scenario is if you can talk to your supervisor and get help sorting it out, little by little.

Degree and Promotion

The student counsellor will help you with applying for your doctoral degree.

When you have received your degree you will be invited to celebrate your graduation at the Stockholm City Hall, a ceremony (“Promovering”) where you will receive a diploma and a laurelwreath. The ceremony is held the last Friday in September each year, so you may have to wait for the next years’ celebration.

Individuell studieplan: För varje doktorand ska det upprättas en individuell studieplan. Planen ska innehålla högskolans och doktorandens åtaganden och en tidsplan för doktorandens utbildning. Planen ska beslutas efter samråd med doktoranden och hans eller hennes handledare.

Den individuella studieplanen ska innehålla en finansieringsplan för doktorandens utbildning, uppgifter om hur doktorandens handledning är organiserad och vad som i övrigt behövs för att utbildningen hela tiden ska kunna bedrivas på ett effektivt sätt.

När finansieringen inte består av anställning eller utbildningsbidrag bör det framgå av finansieringsplanen vilken social trygghet i händelse av exempelvis sjukdom eller föräldraledighet som är förknippad med den aktuella studiefinansieringen.

Den individuella studieplanen ska följas upp minst en gång per år. Doktoranden och huvudhandledaren ska skriftligen intyga att de har tagit del av den individuella studieplanen och de ändringar som görs i den.
